5 Subrogation or Overview When you receive a subrogation or salvage referral, you will need to investigate and determine next steps. This information is entered into ClaimCenter by the Subrogation or Unit unless otherwise directed by management. Procedures in this Entering Subrogation Information into ClaimCenter Setting Recovery Reserve Reimbursing Deductible Entering Information into ClaimCenter Subrogation Prerequisites Prior to completing a subrogation request, you must: Review claim for subrogation potential. Submit an activity to the field adjuster to submit a subrogation referral including any additional items needed for subrogation evaluation. Set the calendar for appropriate timeframe based on the cause of loss. Prerequisites Prior to completing a salvage request, you must upload the Personal Property Inventory Form (PPIF) and salvage photos to the claim file. Citizens Property Insurance Corp Page 5

6 Entering Subrogation Information into ClaimCenter Procedure Follow these steps to enter subrogation information into ClaimCenter. 1 Review new incoming referrals from the Activities desktop. Citizens Property Insurance Corp Page 6

7 Entering Subrogation Information into ClaimCenter, 2 Review the claim for subrogation potential. If there is Then Subrogation potential Enter a file note indicating subrogation activity. Send an activity to the field adjuster requesting a subrogation referral form. Set appropriate calendar for follow up. Proceed to Step 3. No subrogation potential Close the file. Enter a file note with closing comments. Close the subrogation status: o Click the Subrogation link. o Click the Edit button. o o Select Closed from the Subrogation Status menu Click Update. 8 Entering Subrogation Information into ClaimCenter, 3 Click the Subrogation link. Result: The Subrogation window displays. 4 Click the Edit button. Result: The General editable fields display. 5 Populate the General fields as required. Citizens Property Insurance Corp Page 8

9 Entering Subrogation Information into ClaimCenter, 6 Click the corresponding Add button to add new responsible parties. Result: The listing in the Party drop-down menu lists all current parties involved in the claim. Optional: To add a new party not already listed, click the picker to add a person, company, or to search for other existing contacts. 7 Click the Responsible Party Detail link. Result: The New Party window displays. 9 Complete the information needed in the New Party screen Populate the Responsible Party, Plan of Actions, Primary Contact, Recoveries, and Scheduled Payments sections. Click the Update button. Result: The party is added. If you wish to view the financial information related to the subrogation then click the Financials link. 11 Setting Recovery Reserve Procedure When a recovery is anticipated, you must set recovery reserves for that amount. Follow these steps to set the recovery reserve amount. 1 From the Actions menu, click the New Transaction Other Recovery Reserve link. Result: The Set Recovery Reserves window displays. 2 Click the Add button. Result: The columns become active and can be edited. Citizens Property Insurance Corp Page 11

12 Setting Recovery Reserve, 3 Use the Exposure drop-down menu to select the appropriate exposure. 4 In the Cost Type column, select Claim Cost - Indemnity. 5 In the Cost Category column, select Unspecified. Citizens Property Insurance Corp Page 12

13 Setting Recovery Reserve, 6 In the New Open Recovery Reserves column, enter the expected recovery amount. 7 In the Recovery Category column, select the appropriate category type (Subrogation or ). 8 Click Save to update the changes. 15 Setting Indemnity Reserve Procedure Before you can reimburse the deductible, you must set the Indemnity Reserve. Follow these steps to set the Indemnity Reserve. 1 From the Actions menu, click the Reserve link. Result: The Set Reserves screen displays. 2 In the Exposure column, select the correct exposure. 3 In the Cost Type column, select the Claim Cost - Indemnity option. 16 Setting Indemnity Reserve, 4 In the New Available Reserve column, add the deductible amount as appropriate. 5 In the Comments column, enter a brief comment reflecting the deductible refund. 6 Click the Save button. Result: The Financials screen displays the new available reserve. End of procedure Citizens Property Insurance Corp Page 16

17 Reimbursing Deductible Procedure After setting the Indemnity Reserve for the deductible amount, you must reimburse the deductible. Follow these steps to reimburse the deductible. 1 Click the Payment Worksheet side bar link. Result: The Payment Worksheet displays. 2 Click the Claim Deductible link. Result: The Claim Deductible tab appears. Citizens Property Insurance Corp Page 17

18 Reimbursing Deductible, 3 Click the Edit button. Result: The Modify Deductible? field becomes editable. 4 In the Modify Deductible? field, select Yes to make changes to the deductible amount. Result: The Deductable Amount field becomes editable. 5 In the Deductible Amount field, enter 0 to clear the current amount. Citizens Property Insurance Corp Page 18

19 Reimbursing Deductible, 6 In the Edit Reason field, enter the applicable reason. 7 Click the Update button to save changes. Result: The new deductible amount is applied to the claim. Citizens Property Insurance Corp Page 19

22 Reimbursing Deductible, 11 Complete the following: In the Reserve Line drop-down menu, select the Indemnity line (if not already selected). In the Payment Type drop-down menu, select Final. If you are aware that future payments will be issued, then select Partial. Under Line Items: o o o Click the Add Item button to add a new item. In the Category drop-down menu, select Deductible Recovery. In the Amount field, enter the deductible refund amount. Click the Next button. Citizens Property Insurance Corp Page 22

23 Reimbursing Deductible, 12 Complete the following: Enter a note in the Memo field to reflect the deductible refund. Click the Attach Documents to Check button to attach the Deductible Refund letter to the payment. Click Finish. 24 Entering Information into ClaimCenter Procedure After the PPIF and photos have been uploaded to the claim file from the field adjuster, follow these steps to enter salvage information in ClaimCenter. 1 Click the side bar link. 25 Entering Information into ClaimCenter, 3 At the Loss Location drop-down menu, click on the arrow and select the location of the salvage. Result: The address information from the loss location populates the address fields. 4 Enter available information about the salvage in the remaining editable fields 5 Click the Update button.
