The Earnest Money Deposit and tender fee will be accepted by Demand Draft on any Nationalized Bank / Scheduled Bank situated at AMRELI, drawn in favor of GETCO, Amreli Tender without EMD and tender fee shall be rejected. Two separate demand draft for tender fee and EMD should be submitted with technical bid. The Tenderer should have to submit with Tender on latter pad along with attested copies of the certificate of (1) PAN No. (2) Experience Certificate (3) Copy of RC Book of vehicle (4) copy of Insurance policy (8) Payment of Tender Fee & EMD in D.D. in favor GETCO, AMRELI. 5 S E C T I O N I SPECIAL INSTRUCTIONS TOTENDERERS. 1. The tenders may be sent by Registered Post/Speed Post only so as to reach this office on or before up to hours. Due care should be taken to see that the tenders sent by post are posted well in advance to ensure the delivery by the prescribed date or even earlier. Tenders which are received late after due date of receipt, will not be considered. 2. The Tenderer who offers the lowest in total amount will be awarded/recommended for placement of order. 3. The Tenderer must have experience of such type of work and placement of order will be given priority looking to the experience and working report. 4. The Mfg of offered vehicle for Tender should not be old more than Three years i.e not of before JUN The Tenderer who wants to put new vehicle will be given preference and if they want to submit documents after receipt of W.O., can be acceptable. ONLY DOCUMENTRY PROOF FOR NEW VEHICLE SHOULD BE ATTACHED WITH TENDER i.e. BOOKING SLIP/ADVANCE AMOUNT RECEIPT. 6. The offer should be valid f o r a minimum period of 180 days f r o m the date of opening of Tender 7. The tender shall be opened on after dt at 16:00 hours in the office of Superintending Engineer (TR), GETCO, Tr. Circle office, AMRELI (If possible). 8. EMD is to be paid thr D.D. 9. You have to submit your offer in terms of price bid and technical bid separately in two separate envelopes. Page 5 of 13

6 S E C T I O N : II (A) COMMERCIALTERMSAND CONDITIONS : 1 Rate: The rates may please be submitted as per Schedule-B. The rates shall be given both in figures and words. There should not be any over writing and crossing. If any changes are to be done crossing the original writing the same should be countersigned by the tendered. In case of difference between rates in figures and words the r a t e s most f a v o r a b l e to the GETCO shall be considered which have been quoted. 2 AGREEMENT : The successful tenderers will have to execute Agreement on stamp paper of value R s. 5 0 /- at our Transmission TR. C.O. Amreli before the commencement of works as per GETCO s prescribed Performa. 3 INCOME TAX: Income tax as per rules will be deducted from the bills. Other a l l taxes will be paid b y you. PAN card s h a l l be submitted by tenderer with tender. 4 EARNEST MONEY DEPOSIT : EMD of Rs.7560/- by demand draft in name o f GUJARAT E N E G R Y TRANSMISSION CORPORATION LTD. Payable at SBI Amreli.No interest will be allowed against payment of EMD. 5 SECURITY DEPOSIT : The successful tenderer will have t o pay 5 % of the contract value a s security deposit within 15 days of issuance of Order. Out of which 2.5% will be paid in cash and 2.5% i n the form of Bank Guarantee immediately on receipt of the order in the office of SE (TR), GETCO, and Circle OFFICE- Amreli or will be deducted from first RA Bill. 6 SETTLEMENTOF DISPUTE : In case of any dispute, the decision of the SE (TR), of Circle Office, GETCO, AMRELI will be final and binding to the tenderer. Any dispute or difference arising under and in connection with the Contract shall be subject to exclusive jurisdiction of Amreli. 7 Tender must be sent only in sealed cover addressed to The Superintending Engineer (TR), GETCO, Circle Office, near 66KV Sub station, Keriya Road, AMRELI The Tender No. And Tender for ( here state the title) should be prescribed on the cover. 9 The vehicle is hired for maximum 3000 KMs per month, Rates for excess KMs traveled by hired v e h i c l e b e yo n d 3000 KMs. per month shall be paid extra as per actual, with written approval of circle head. 7 10 The period of contract shall be two year. The period for another one year can be extended on mutual agreed terms as per same rates, terms and conditions. However in case o f poor services provided by the contractor, under signed shall be empowered to terminate the contract before two year at any time, without assigning any reason and notice. 11 The contractor shall immunize company s personnel against any claim Arising out of accidents or misbehavior of the drivers. The vehicle shall be kept properly insured all time to cover the risk for all passengers and suggested to take full insurance and Simultaneously immunized company on account of likely claims from Public, police deptt. etc. 12 The 100% bills for traveling of the vehicle shall be paid on monthly Basis after deducting taxes as per rules. 13 If the contractor fails to provide a vehicle, Getco will hire the vehicle from open market and same should be the deducted from his R. A. bill of respective month.it should be made on prorate base considering the monthly rate payable with 26 Working days per month or actual payment made. 14 The Drivers should be provided with enough money to cover the cost of Diesel, repairs and incidental expenditure while in journey. 15 If you fail to execute the order successfully, the order will be got completed through other agency and if required to pay hire rates, in that case, difference of rates will be recovered from you. 16 No price variable on cost of oil/ tyres, tubes, etc. Only changes in price of Diesel will be a d j u s t a b l e. You must quote prices on the basis of prevailing 15 days before the due date of tender. This basic rate shall be indicated in the offer. 17 For every 10 paisa increase/decrease in price of fuel per liter, then per KM payable price shall go up/go down by One paisa. This will b e applicable to actual K M traveled during the month. At present Diesel price is Rs. 64=01/- ( ) 18 The hired v e h i c l e will be utilized with effect from issue of order. 8 SECTION:I I(B) TECHNICAL TERMSAND CONDITIONS : 1. Driver s h a l l qualified and be preferably the age of 40 years and never above 5 5 years. The lodging and boarding of driver shall be born b y owner. 2.1 Type of vehicle : You will have to provide standard make vehicle as mentioned above not older than three years. 2.2 Area of traveling : Any where in Gujarat. 2.3 The Vehicle for 24 Hrs. hiring 3. Type/Condition of vehicle : The vehicle proposed to be deployed for company (GETCO) in good conditions. having Taxi passing RTO permit, insurance papers and other requisite documents shall be periodically inspected/verified by users/department officer authorized by GETCO. The vehicle which is proposed for the taxi use must be purely registered in the RTO office i.e.:- 1. In Taxi quota registration. 2. No Private registration number vehicle will be allowed for company. 3. Taxi which is provided by the owner must be insured comprehensive risk policy of occupant s risks by insurance policy. 4. Taxi owner must always provide:- a) One certified zerox copy of RC book and Road tax b) Insurance policy which covers comprehensive risk and Certified zerox copy to be kept in the custody of the taxi driver. c) Copy of PUC certificate (regularly renewed every six month). Before starting journey, taxi driver must be in the position to have the log book of journey of the registered taxi and it must be filled up by the vehicle user officers by mentioning opening and closing kms. of the journey. 6. Log book of the vehicle is also to be filled up day to day by the user/officers mentioning the place visited by him along with the duration of journey, traveled and duly signed. 7. The vehicle to be deployed shall be inspected by authorized representative of GETCO at any time during period of contract & if any defect is noticed, it should be rectified by the contractor immediately. GETCO shall have r i g h t t o reject vehicle i f condition of vehicle i s not satisfactory. 8. DRIVERS/ UNIFORM :- The contractor shall employ qualified and well behaved drivers having valid permanent license for driving vehicle as per RTO and insurance rules. This shall be subjected to scrutiny and checks by the OFFICER-IN- CHARGE h a n d l i n g the execution of the contract from time to time. If any legal liability occurs on account of any lapse in this regards, the same will be at contractor s account. The driver should behave courteously and respectfully with traveling officers. He should be free from habits of smoking/drinking intoxicant liquors. No any allowance shall be paid by the GETCO to the driver. Any misbehavior of the driver will be reported to vehicle owner & if vehicle owner fail to provide new driver within 24 Hrs. GETCO reserves the right to terminate the contract or hire vehicle from open market at the risk & cost of the contractor. Driver should wear a uniform supplied by contractor. 9. In case of breakdown of vehicle or in case of a vehicle not acceptable to GETCO under clause. No.6 mentioned above the contractor will Page 9 of 13

10 Immediately replace the same by good vehicle within shortest time (say within 1 hour only). Failure to replace the vehicle will entitle GETCO to impose penalty equivalent to the average daily hiring charges for that period or actual expenditure done which ever is higher for the period, for which vehicle is under breakdown & not been accepted by GETCO. 9. In case, if you fail to provide the vehicle requisitioned by GETCO, GETCO authorities reserves the right to hire Car/ Taxies as may be required/available for the time being from open market at the risk and cost of contractor and the amount will be deducted from the monthly bill payable to the contractor. If the driver fails to report on time given by controlling officer, penalty of Rs. 50/- per hour will be imposed. 10. ACCIDENT LIABILITY : 1. The contractor shall at all time indemnifies GETCO and its officers, servants and agent against all third party claims, what so ever (Including but not limited to) property losses/ damages, personal accident, injury or death of persons of any sub contractor, and/or agents of the contractor and/or of GETCO, damage to the property of GETCO, arising out by the Hired vehicle, the contractor shall bare at his own cost and initiative at all times till the successful completion of the contract period. Contractor shall have to maintain comprehensive insurance policy in respect of all insurable liabilities, under Motor vehicle Act, workman s compensation act, Personal injuries act, Emergency risk insurance act, Approved by Secretary/GETCO. 2. If due to any reason what so ever, the GETCO has to make any payment, for vehicle or driver etc. the amount so paid by GETCO payable by the contractor to GETCO and all such payment shall be recovered by GETCO from the dues payable to the contractor and/or from the security deposit of the contractor. Balance amount if any is still payable by contractor; it has to be paid immediately to GETCO. 11. Parking charges/toll tax : The parking charges at the railway station, Air port or any public / private places for the vehicle when utilized by GETCO would be admissible subject to the production of such parking slips. These slips may be submitted along with the monthly bills for reimbursement of these parking charges & same way, Toll taxes will be paid on production of documents along with monthly bill. 11 12. COMPUTATION OF KILOMETERS : The starting and closing kilometers will be admissible from the point of starting and c l o s i n g o f journey. This will be considered from A m r e l i office & back. No additional kilometers will be allowed for to and fro journey from the head quarter. 13. MAINTENANCE OF LOG BOOK: The contractor will be required to Maintain Log Book as per the standard format which will record the journeys performed by the GETCO officer. The Log book when closed or at the end of the contract, should be handed over to the GETCO for its record. 14. MAINTENANCE OF SPEDOMETERS: The speedometers recording the kilometers by the vehicle should always be maintained in working conditions. If a t any time, the speedometer goes out of order, the kilometer traveled will be admissible according to route kilometers till the speedometer is brought back in to working condition. No average shall be admissible based on the earlier journeys to the same places Drivers which are provided by contractor must be fully conversant with the routes of Gujarat state and he must be having valid driving license and other vehicle documents with him When day to day, vehicle reports for its duty on specific time given by GETCO, at that time driver must be fully equipped i.e. Including required Money t o keep the Car running in full condition. He should not demand money from the officer traveling for repairing the vehicle on road etc As and when the driver report with the vehicle, it should be duly topped Up with fuel, oil lubricants etc. and no extra time will be allowed for such work after he report on duty Vehicle hired should be displayed board in paint with the words ON DUTY GETCO Page 11 of 13

12 15.5 If the vehicle sent by the contractor is not as per the specification, charges will not be paid though the vehicle is used because of emergency The vehicle shall have to be properly insured so as to cover the risk of the lives of the officers and staff of the GETCO traveling by the same, with their property 16. RTO r u l e s, insurance rules & s a f e t y rules are to b e c o m p l i e d by contractor and Driver. Also labour and P.F. Laws are t o b e strictly complied. 17.
