The hotels would provide the venue (Lawn and Hall) and Food & allied Services for specified minimum guaranteed persons. The successful bidder will have to deposit the minimum guaranteed amount i.e. Rs.6.00 lacs for Mountview and Rs.4.00 lacs for Shivalikview within 4 days from the date of allotment of this contract through Demand Draft. The Event Management Company will have to make all arrangements for Entertainment, Infrastructure, Artists and other inputs including marketing of the event by way of sale of tickets etc., obtaining of statutory clearances/ppl & IPRS licenses etc. will also be done by the Event Management Company. Interested agencies may apply alongwith EMD of Rs.1,00,000/- in form of Bank Draft separately for each venue/hotel. 2 TERMS AND CONDITIONS FOR CONDUCTING NEW YEAR EVE FUNCTION AT HOTEL MOUNTVIEW AND HOTEL SHIVALIKVIEW CHANDIGARH Chandigarh Industrial & Tourism Development Corporation Limited (CITCO), an undertaking of the UT Administration having its Registered Office at SCO No , Sector-17-B, Chandigarh proposes to outsource its venue consisting of Banquet Hall and Back Lawn (Pool Side) of its 5 Star Hotel Property, namely Hotel Mountview, Sector-10, Chandigarh and Banquet Hall (Majlis) at Hotel Shivalikview, Sector-17, Chandigarh to an experienced and reputed Event Management Company for 31 st December, 2017 for conduct of New Year Event thereat. For the purpose, offers are being invited through the press. The broad terms and conditions of the event are as follows:- 1. The hotel s responsibility will be to provide the Venue and Food & Beverage Services as per banquet menu at Annexure Rs.3000/-per person inclusive of Taxes in case of Hotel Mountview Rs.2000/- per person inclusive of Taxes in case of Hotel Shivalikview. In case of additional requirement, suitable increase will be there as per existing policy. The timings of the event and service of hard beverages shall be until A.M. only as per directions of Excise Department. The Event Management Company can organise their own soft drinks, soda and packaged mineral water with no additional cost. 2. Hotel Mountview will provide the Back Lawn (Pool Side) for conduct of the main event along with Service of snacks/drinks. Dinner will be laid in the Back Lawn/ Banquet Hall. In Hotel Shivalikview while Services of the Snacks and Drinks and event will be held in the Banquet Hall, the food may be laid out in the Lawn adjoining the hall. The snacks shall be served from 9.30 P.M. to P.M. only and the timings for dinner will be from P.M. to Mid Night. 3. In terms of infrastructure, the respective units will provide the venue along with sitting and food lay out and requisite manpower for preparing and providing the F&B Services. 4. The Event Management Company at his own cost will have to provide for other infrastructure in terms of Tentage, Furniture/ Chairs, Stage, Light, Sound, Artists and Dance Floor, Decoration etc. The Event Management Company at its own cost shall remove the temporary structure and other material brought for this purpose early in the morning till 1200 hrs.

3 or at earlier time on termination of the contract for any reason whatsoever. 5. The proprietor of the Event Management Company shall either stay in the premises to look after the arrangement either himself/ herself or be represented by any experienced Manager by way of written authorization from the Proprietor. 6. The Event Management Company will also have to undertake the task of printing of tickets/ entry passes and marketing thereof. The Event Management Company will however, have to give 30 complementary couple entry passes free of cost in respect of Hotel Mountview and 20 in respect of Hotel Shivalikview to CITCO. If required, a sale counter could, however be provided in the respective venue for the period from 25th December to 31st December, 2017 to be manned by the Event Management Company for the promotion of event. The Event management company will also be responsible for deposit of entertainment tax with the appropriate authorities before the start of the event. 7. It will be the responsibility of the Event Management Company to release advertisement in the press and other media at their cost and to arrange for Sponsors for the event. The Hotels will however extend 30% discount on room tariff for one night for in Hotel Mountview and Hotel Shivalikview to the guests holding valid tickets of the event. 8. While the security of the hotel premises including parking area will be done by the respective units, it will be the responsibility of the Event Management Company to arrange for internal security at the venue including Security personnel for manning the Entry Point and Performance. 9. The Event Management Company will not be allowed to undertake any show, which is considered as obscene and exceeds the normal limits of acceptance of moral within the society and the units will be at liberty to stop the event in the eventuality of show not adhering to this norms and no compensation for the same will be given. 10. The Event Management Company will be responsible to take all statutory clearance including clearances from Deputy Commissioner (DC) Office, Estate Office, Municipal Corporation, Excise Department, fire, noise pollution etc. and also procure at its cost various licenses relating to performance and sound performance from IRPS, PPL etc. including Bar License. The Event Management Company will submit photocopy of all the said permissions to the respective Hotels two days before the event.

4 11. The Event Management Company will be responsible to deposit Entertainment and other taxes applicable which should be included in the price of the ticket. The Event Management Company may avail benefit of Input Credit in case applicable. 12. The venue would be handed over to the Event Management Company on 31 st December morning in respect of both Hotel Mountview and Hotel Shivalikview for setting up the arrangements. 13. The Event Management Company shall be liable to pay/bear any damages caused to the property of CITCO during the event. 14. The respective hotel shall have the right to terminate the contract by giving 48 hours notice without assigning any reason and the Event Management Company shall not have any right to claim any damages or compensation from CITCO / Hotel Concerned on this account. 15. No eatables would be allowed to be served from outside. 16. The Event Management Company shall have to give guarantee for the minimum number of guests having valid tickets i.e. 200 persons in case of Hotel Mountview and Hotel Shivalikview. Event Management Company shall have to pay for the minimum guarantee for 200 persons in case of Hotel Mountview and Hotel Shivalikview. The Event Management Company will furnish details of the tickets sold and other invitees to the respective units to enable them to make adequate arrangement for food, service, security etc. The highest quoted rates more than the guaranteed amount by the bidder will be preferred for allotment of work. 17. In case the number of pax exceeds the minimum guarantee, a discount of following percentage will be offered to the Event Management Company,. The structure of discount will be as follows:- 1. From pax : 7% discount 2. From 301 and above : 15% discount 18. The Food & Beverage Services will be arranged for a maximum persons at Hotel Mountview and at Hotel Shivalikview with prior discussion and output of tickets sold by agency. However, the upper limit will be suitably fixed with mutual discussion between the hotel and the Event Management Company, two days prior to the event based on the ticket sale etc.

The Hotel will issue final bills for providing food including snacks and drinks on per head basis as indicated in Annexure A on the conclusion of the function and Event Management Company will make this payment immediately on the conclusion of the Event. 20. The Event Management Company wishing to participate in the tender will have to:- Mention the offer by indicating clearly the hotel for which they are keen to take for organizing the event on the above mentioned terms. Deposit EMD of Rs.1,00,000/- by way of Bank Draft favouring CITCO separately for each venue/ Hotel. Furnish Blank Cheque in favour of CITCO to be kept as security deposit and the same will be returned back on clearance of all the necessary dues. Enclose their credentials including past experience for holding such events. Submit details of the event proposed including names of the artists/ group performing. Furnish Demand Draft for a sum equivalent to minimum guaranteed amount i.e. Rs.6.00 lacs for Hotel Mountview and/or Rs.4.00 lacs for Hotel Shivalikview, favouring CITCO and payable at Chandigarh within 7 days from the date of allotment of this Contract. The details of calculation of minimum guaranteed amount are as under: (In Rs.) Hotel Minimum Price Per Minimum Pax Plate Guaranteed Amount Mountview ,00,000 Shivalikview ,00,000 * The basis of selection of the Event Management Company will be the highest quote/bid to be indicated by the bidder for each unit/hotel. In no case, the minimum quote should be less than the amount as indicated below against each venue:- Hotel Mountview 200X3000 =Rs.6.00 lacs Hotel Shivalikview 200x 2000 =Rs.4.00 lacs The successful Event Management Company will have to deposit the difference amount i.e.

Other than the arbitration clause MD, CITCO is the Competent Authority to dispose of the day to day issues/disputes with licensor or other business partners/licensees of CITCO. 21. In the event of any question, dispute, or difference arising out of the agreement or in any manner touching this agreement and the solution of which is not expressly provided in this agreement, the same shall be referred to the sole arbitration of the Chairman, Chandigarh Industrial & Tourism Development Corporation Ltd., Chandigarh or any other person appointed by him. The award of the Arbitration or his nominee shall be final and binding on the parties to the license. 22. Subject to the arbitration clause, the Courts at Chandigarh shall have the exclusive jurisdiction. 23. Last date for submitting the offer is by 3:00 PM to be submitted to the General Manager, Hotel Mountview, Sector-10, Chandigarh and General Manager, Hotel Shivalikview. Sector 17, Chandigarh.
