Calling of Quotations /Tenders for Annual Maintenance Contract for Electric Chimney machines NABARD intends to undertake Comprehensive Annual Maintenance Contract (CAMC) for 74 Nos of Electric chimneys provided in our residential quarters located at BKC, Dadar &, Lower Parel, Mumbai and therefore, invite offers from authorized service agents for the work. We request you to submit your offer in a sealed envelope for the aforesaid work as per detailed specifications and other requirements as mentioned in the quotation document. 2. Location of work a) NABARD House, G-block, Bandra-Kurla Complex, Bandra (East) Mumbai b) Krishi Vikas Sadan, V. S. Marg, Near Govt Catering Collage, Dadar (West), Mumbai c) Nestle-II, P B Marg, Near Deepak Talkies and Bombay Dyeing, Lower Parel(West), Mumbai Sealed quotations super-scribed should be addressed to The Chief General Manager, Department of Premises, Security and Procurement, Ground Floor (A&B Wings), NABARD, Head Office, Mumbai and super-scribed Quotation for Annual Maintenance Contract for Electric Chimneys and shall be submitted to the above address not later than hrs. on 29 November The sealed quotations will be opened at hrs. on 29 November 2017 or at a later date and time as decided by the bank, in the presence of bidders representatives, should they choose to

2 be present. The price bid for the work may be opened on the same day or at a later date as decided by the bank and shall be communicated to the eligible bidders subsequently. 4. Contractors shall visit our office at Ground floor A-wing, NABARD Head Office, G-Block, BKC, Mumbai and also the residential colonies indicated at para 2 to understand the nature and scope of the works and be familiar with the site conditions before quoting. For any clarifications, contractors may contact bank at / Before filling up the tenders, the bidders may note the following : Earnest Money Deposit: EMD of Rs.4000/-(Rupees Four Thousand only) in the form of DD/PO should be submitted along with the quotation. If the EMD is not found enclosed, the quotation shall be treated as a non-bonafide quotation and will be summarily rejected. Time period of CAMC: The CAMC shall be for one year from the day of award of Contract. Retention 5% of the contract value shall be kept with us during this period. Minimum requirement for qualifying for the tender work details may be furnished in Annexure I and II. 3 Terms and Conditions: 1. The CAMC shall be for one year from the day of award of Contract. 2. The Earnest Money amounting to Rs 4,000/-/- (Rupees Four Thousand only) in the form of DD/PO payable to NABARD, Mumbai should be submitted along with the quotation in the sealed envelope. All tenders received within the stipulated time will be opened but the quotations/ tenders which are received without Earnest Money will be rejected. The Earnest Money of the successful tenderer shall be retained towards security deposit/retention money and that of the unsuccessful bidders shall be re-funded. Earnest Money deposit will not carry any interest. 3. The rates/service charges quoted shall be inclusive of all taxes, duties, transportation and Maintenance costs etc. (Breakup of taxes may be indicated separately) and shall remain same during the one year period of CAMC. 4. NABARD does not bind itself to accept the lowest or any Quotation/tender and reserves the right to reject, negotiate any or all the quotation/tenders received and also to split the work without assigning any reason. 5. The quotation shall be valid for 30 (Thirty) days from the date of opening of price bid. 6. Quotation/Tenders which do not fulfil all or any of the conditions herein mentioned or are incomplete in any respect are liable for rejection. 7. The quotation document should be signed on each page by the bidder or his duly authorized representative. Any overwriting, correction or cancellations should be duly authenticated. Quotation documents should be accompanied by a certified true copy of an absolute power of attorney in favour of signatory to the documents. 8. Any discrepancies, omissions, ambiguities or conflicts in contract document or any doubts as to its meaning should be brought to the notice of the Bank. The Bank will review these and where information sought is not clearly indicated or specified, will issue a clarifying bulletin to all vendors/tenderers which will form part of the Contract Document. 9. The Contract shall be binding on the vendor/tenderer as soon as the acceptance of the quotation/tender is communicated to the vendor/tenderer by the Bank. 10. Supply item shall be executed as per specifications and conditions of order and items supplied should be new.

4 11. The successful Tenderer / Contractor shall execute an agreement on Rs.200/- non- Judicial stamp paper agreement. (format of agreement is annexed herewith for reference only) 12. The Contractor shall provide services under CAMC and all spare parts provided shall be conforming to relevant BIS standards and shall be new to the satisfaction of the bank. 13. The scope of work under CAMC - a) All the electric chimneys should be serviced once in 4 months with basic/deep cleaning as per the manufacturer specification and should be reported to the supervisory staff. The contractor should take prior consent from the residents staying in the flat/caretaker at the site for servicing of the chimneys. b) In case of any fault reporting, it shall be attended within 24 hours. The contractor shall also attend the defective machines on reporting to him by the bank on call basis. Spare parts, if any, required to be supplied for the fault repair shall be communicated to Bank prior to installation. It may be noted that for fault repairing, only the price of the spare part(mrp)shall be given to the contractor on submission of bill for the same and no labour charges shall be paid. c) Dismantling/reinstalling the machine for any purpose shall also be covered under AMC charges. 14. The contractor should maintain logbook/jobcard for the work in each colony and should submit the same, duly certified by Bank s Caretaker at site, along with bills. 15. Payment of AMC charges will be made once in 4 months, after submission of the service record/job card report duly authorized by ACT of NABARD. Breakup of taxes may be indicated separately in the bill. All applicable Govt.( State and Central )Taxes will be deducted from the bills as per rules from time to time. 16. Payment will be released through RTGS/ NEFT. 17. The Contractor shall provide all tools and parts required for work / maintenance. 18. The Contractor shall abide by all safety norms as stipulated in factory Act 1948 / NBC/ Contract Labour Abolition and Regulation Act/ Minimum wages Act The contractor agrees to keep NABARD indemnified against any claims arising due to execution of this work. 19. The staff deployed shall be in proper uniform and must carry authorisation letter/identity card issued by Contractor/Agency.

5 20. A of 0.5% per week subject to a maximum of 5% of contract value shall be imposed in case of delay in servicing/fault repairing of the chimneys, in case the delay on part of the contractor/agency. 21. Contractor shall deposit a refundable security amount of 5% of the contract value within 14 days from the date of award of contract. In case of any breach of contract or default by the contractor, in any manner, which affects the satisfactory services, the security amount may be forfeited or adjusted against any dues payable to the contractor. The security amount will not carry any interest and shall be re-funded to the contractor after completion of AMC period. 22. In case of any dispute the same shall be dealt within the jurisdiction of the court of law at Mumbai. 23. Decision of bank shall be final and binding to the contractor.

9 ANNEXURE III COMPREHENSIVE ANNUAL MAINTENANCE CONTRACT AGREEMENT This Agreement is made on day of 2017 between the following parties. M/s hereinafter referred to as the Service provider and National Bank for Agriculture and Rural Development (NABARD), Head Office, G Block, Bandra Kurla Complex, Bandra (East), Mumbai Hereinafter referred to as the Customer. M/s has agreed that the Service provider shall provide service and Comprehensive Annual Maintenance Contract for the Maintenance of Electric Chimneys Installed in the flats in Bank s residential quarters at NABARD House-BKC, KVS-Dadar & Nestle-II, Lower Parel, Mumbai from to on following conditions as per our letter. The scope of work under CAMC - a) All the electric chimneys should be serviced once in 4 months with basic/deep cleaning as per the manufacturer specification and should be reported to the supervisory staff. The contractor should take prior consent from the residents staying in the flat/caretaker at the site for servicing of the chimneys. b) In case of any fault reporting, it shall be attended within 24 hours. A of 0.5% per week subject to a maximum of 5% of contract value shall be imposed in case of delay in servicing/fault repairing of the chimneys, in case the delay on part of the contractor/agency. 7. For any dispute, NABARD s decision will be final and binding upon M/s. 8. The NABARD reserves the right to terminate the contract at any time by giving one month s notice to M/s. 9. Performance of the services rendered will be reviewed quarterly. 10. Any dispute shall be dealt within the jurisdiction of court of law at Mumbai only. 11. The payment of the last 4 months period will be settled after handing over of all the chimneys in good operational condition to NABARD.
