1 1 of 8 8/19/2011 1:31 PM One of the most recognizable changes that Self Service will deliver to the University of Wisconsin System is the new and improved Earnings Statement. The new statement offers more detailed information than the old one and the content is clearly displayed. It will facilitate employees in managing their hours, earnings, taxes, benefits, deductions, and leave balances more effectively. New Earnings Statement Samples: Biweekly Monthly Employee with Additional Pay View detailed information about sections included on the new earnings statement using the links below: Hours and Earnings Section Includes for biweekly jobs: Description of the earnings type, listed by job record and earnings type code Current rate, hours, and earnings amounts for the specific pay period, listed by job record and earnings type Year-to-date sum of hours and year-to-date sum of earnings for that calendar year Total of all current hours and earnings and the total of all year-to-date hours and earnings Various other earning types and furlough reductions split by job record, if applicable Includes for monthly jobs: *Note: this is only a sample of earnings from a biweekly job Description of the earnings type, listed by job record and earnings type code Current earnings amount for the specific pay period, listed by job record and earnings type

5 5 of 8 8/19/2011 1:31 PM paid benefits Includes Imputed Income for State Group Life (SGL), as noted with an asterisk to signify that the amount is taxable and impacts taxable wage amounts Difference between before-tax State Group Life and the taxable SGL portion listed under Employer Paid Benefits, as noted with the asterisk, would equate to the pre-tax amount on the old Earnings Statement If SGL is all after tax, the employer paid benefits is equal to the taxable portion on the old Earnings Statement Includes Imputed Income for State Group Life, as noted with a asterisk to signify that the amount is taxable Includes DOA prior service fee, a non-taxable fee paid by the employer Totals Section Displays the Total Gross for current and year-to-date earnings, which corresponds to the total current earnings and total YTD earnings in Hours and Earnings section Displays the Total Employee Taxes for current and year-to-date taxes, which corresponds to the total current deductions and YTD deductions in the Taxes section Displays the Total Deductions for current and year-to-date deductions, which is a sum of all the current and YTD amounts in the Before-Tax Deductions and After-Tax Deductions sections Displays the Net Pay for current and year-to-date amounts, which corresponds to the amount the employee receives on the paycheck for this period or previous periods in this calendar year. Net Pay Distribution Section Shows the net pay amount that the employee will receive for the specified pay period Indicates if employee receives a paper check or if their earnings are directly deposited *Note: this is only a sample of net pay distribution types Shows the pay distribution between financial institutions, if the employee has created up to 3 direct deposits into different bank accounts Leave Balances Section

6 6 of 8 8/19/2011 1:31 PM *Note: this is only a sample of monthly leave balances First pay period in HRS, employees will only see the Ending Earned Balance and the Available Balance, the other balances will appear on all future payrolls Includes leave types for all eligible employees with monthly positions, per fiscal year: Vacation Carryover Sick Leave Unclassified ALRA (Annual Leave Reserve Account) Personal Holidays Legal Holidays Furlough Includes leave types for all eligible employees with biweekly positions, per calendar year: Vacation Carryover Sick Leave Personal Holidays Legal Holidays Furlough Comp Time Classified Sabbatical Includes 5 columns differentiating the leave balance amounts: Beginning Earned Balance: earned balance from the prior pay period Earned: leave earned in the current pay period Used/Adjusted: leave amount used/adjusted in the current pay period Ending Earned Balance: the beginning earned balance plus the hours earned in the current pay period minus the hours used or adjusted in the current pay period Available Balance remaining balance available to be used Separates leave balances for each job, if employees have multiple positions Allows employees to more effectively manage their leave balances, per job Determines the amount of leave earned year-to-date, per job Leave Balance Notes: Earned Balance represents the year to date number of hours earned less number of hours used Important balance if you consider leaving UW, if you transfer to another agency, or if you are between classifications. Positive Earned Balance would represent the number of hours to be paid out, with the exception of Sick Leave

7 7 of 8 8/19/2011 1:31 PM Negative Earned Balance would reflect that you would owe this back to UW Available Balance represents the remaining balance available to be used Available Vacation, Legal Holiday and Furlough hours are based on the amount projected to be earned for the entire year less the year to date hours used Special Considerations Earnings Statement from HRS will include converted hours, earnings, taxes, deductions, and leave balance values from the legacy system Additional information for employees with multiple job records: Receive a earnings statement for every check issued during the pay period Pay end date determines if employee will have pay earnings combined on one check If the pay end date of jobs are the same, receive one check with multiple earnings rows Taxable gross is calculated from the combined job earnings If the pay end date of jobs are different, received multiple checks for the pay period Taxable gross is calculated from the earnings from each checks Benefit deductions: Benefit deductions by default will be taken from the primary job record Earnings Statement will list all the employee s deductions and taxes, regardless of the job record from which they were deducted Earnings Statement reflects a 0.00 in the current amount field and includes the YTD deduction amount to denote that the deduction or tax was not taken from the job earnings on that pay period Deductions can be taken on one job earnings but not the other, and vice versa Additional Benefits Information Use the Earnings Statement in conjunction with the Benefits Summary on Self-Service Benefits Summary displays the plan in which the employee is enrolled Benefit deductions listed on the Earnings Statement show the cost paid for that benefits plan May Multiples, or the deduction amounts collected in advance for employees who will not receive earnings for a long period of time, will appear dramatically different on the new Earnings Statement PREBTX deduction code will combine all before tax deduction amounts to take on May paycheck PREATX deduction code will combine all after tax deduction amounts to take on May paycheck Budget Repair Bill (if passed, the following applies) Specific WRS deductions will be eliminated for future payrolls due to this bill Deductions not applicable to future payrolls will display on the Earnings Statement as a year-to-date balance for the remainder of the calendar year Imputed Income Employees with a Wisconsin dependent child not tax qualified, 26 years of age and

8 8 of 8 8/19/2011 1:31 PM under: Earnings code, State Imputed Income Adjust, will appear in the Hours and Earnings section Increase the employee s state taxable gross Employees with a domestic partner not tax qualified and/or a dependent older than 26 years old where the employer share exceeds deductable amount: Indicated by two line items for health insurance, one being the taxable amount which will appear in the Employer Paid Benefits section Taxable amount, represented with an asterisk, will increase employee s state and federal taxable gross Some employees may see before and after tax employee share Offset the increased amount paid by the employer Additional Payroll Information Taxes are paid to the penny Unclassified hourly employees will be paid on the classified payroll in HRS and will receive biweekly paychecks Employees who have an Additional Withholding Tax amount and receive multiple checks will have this Additional Amount taken from each check each pay period. Unclassified job cannot be paid on a classified payroll run or vice versa Union dues based on percentage of either total gross or hours worked will be deducted from all wages Additional Time and Labor Information All hours will round to the quarter of an hour Overtime will be calculated for each individual week Hours exceeding regular hours will be classified as Overtime or No Pay, depending on whether the employee is Exempt or Non-Exempt Call back and night and weekend differentials will be paid based on the hours they actually worked, not based on the minimum amount of callback pay. Saturday night / Sunday morning Daybreaker hours will be placed on the day in which the shift started
