2 Notice for inviting Tender (NIT) Hiring of Vehicles Sealed tenders are invited from the agencies to provide vehicles on hire basis As and when required by BMHRC Bhopal. Interested parties may quote their hiring rates of vehicles on or before up to 14:00 hrs on the prescribed form containing terms, conditions & others details which is available from Engineering Services department on all working days from 10:00 am to 04:00 pm on deposit of Rs 500/- (non refundable) as tender fee in cash / bank draft of any Commercial Bank payable at Bhopal which is not refundable. The DD is to be drawn in favor of Director BMHRC, Bhopal. 4 Tender Form Sealed quotations are invited from the agencies to provide Vehicles on hire basis as and when required by BMHRC, Bhopal. 1. Agency having valid PAN no, Service Tax Registration number are eligible for procurement of the tender documents. The covering envelop must be superscripted with Tender for Vehicles The certified copy of the following document should be attached with the tender: a. PAN no. b. Service Tax Registration No. c. Shop Registration under Municipal Corporation for agency. d. Earnest Money Deposit (EMD) in the form of Bankers cheque / Demand draft of any commercial bank drawn in favor of Director BMHRC Bhopal payable at Bhopal. e. Receipt regarding payment of tender document. f. Taxi operators should have minimum 2 private taxies registered in their name. Copy of the Registration Certificate of the taxi should be attached. g. Taxi should be duly authorized by the concerned RTO for use as public transport. h. Taxi operator should have minimum 3 years experience in related area. 2. Tender document signed by the bidder in every page with seal and mentioning All the terms and conditions accepted to be placed in separate envelope. 3. The period of this contract will be for One year from the date of work award issued, which may also be curtailed / extended, at the discretion of the BMHRC. 4. Required vehicle should report to the concerned staff / guest within 30 minutes before the scheduled time of the trip failing which 10% payment shall be deducted from the bill. 5. Before and after the trip, meter reading of the vehicle should be noted in duty slip in front of user, which shall be signed by the user / Transport Supervisor it will be the responsibility of the driver to get the duty slip signed by the user / Transport Supervisor. 6. Entire expenditure incurred during travel & compensation to the victim and user due to any accident or emergency is to be born by the tenderer not by the BMHRC. 7. If the vehicle(s) is / are not provided as per our requirement, contract may be terminated. 8. Printed bill with Sl no s & relevant statutory particulars in duplicate along with duty slip signed by concerned user / Transport Supervisor should be submitted immediately to the office for early payment. Duty slips not endorsed by the Transport Supervisor will not be entertained. 9. The last date of submission of completed tender form is on up to 14:00 hrs in the tender box at Admin Block at BMHRC Bhopal. The tender will be opened on same day i.e at 15:30 hrs in the presence of tenderer if any. Tenderer should ensure that tender would reach well in time. For any delay in submission of tender due to any reason BMHRC will not be responsible. The tender must be addressed to The Director BMHRC, Bhopal. 10. Contract shall be terminated at any time within the contract period if the services are not satisfactory. Decision of the Director BMHRC Bhopal will be final and binding. 11. The institute reserves the right to accept or reject any tender without assigning any reason thereof. 12. Canvassing in any form is prohibited. 13. The decision of institute shall be final and binding on the tenderer. 14. Incomplete tender form shall be rejected. 15. The tenderer must comply with all the relevant acts as applicable for travel agencies. 3

5 16. All statutory deductions shall be as per Government Norms. 17. Tenderer must sign in each paper of the terms and conditions in token of acceptance of the terms & conditions. 18. The parking charges & toll charges shall be borne by the institute on actual basis. 19. The taxi operator must have the evidence of outstanding record towards services in terms of punctuality; behavior maintenance of vehicles. The vehicle should be in good operative condition with presentable interiors and accessories. 20. The vehicles provided must not be earlier than 2011 model. 21. Conditional tender shall be rejected. 22. Offer of the vendors not fulfilling terms and conditions of the tender shall be rejected. 23. The institute reserves the right to book the vehicle from the market as per the needs. This is not an exclusive arrangement. 24. No driver is applicable for hiring local taxis. 25. EMD Rs 10,000/- (Rs Ten Thousand only) must be submitted by the way of demand draft of any Commercial Bank payable at Bhopal. The demand draft must be drawn in favor of Director BMHRC, Bhopal, if participants in the tender do not submit the EMD amount as mentioned then their offer shall be rejected and will not be considered. EMD shall also be forfeited if any terms of this tender is violated and / or if successful bidder(s) fails to commence and complete the work as per the terms & condition of the contract. 26.
