1 26 th February 2018 Dear Parent/Carer SKI TRIP 2019 AZURE TAHOE HOTEL, SIERRA AT TAHOE, CALIFORNIA, USA FRIDAY, 5 TH APRIL TO SATURDAY, 13 TH APRIL 2019 The school is planning to run a ski holiday to California, USA in 2019 and we would like to invite your daughter/son to participate in this trip. This trip will depart on Friday, 5 th April 2019 and return on Saturday, 13 th April. The trip will also include a 1 night stopover staying in San Francisco before flying home; this will give students the opportunity to explore a little of what the City has to offer. Sierra at Tahoe has become one of Lake Tahoe s largest resort areas with nearly 2,000 acres of skiable terrain. There are 46 trails that cater for beginner, intermediate and advanced skiers. The cost of the trip is 1,870 or 1,950 for students aged 16 or over at the time of travel (anyone aged 16 or over at the time of travel incurs an Air Passenger Duty charge set by the Government in flight prices). The price includes UK transfers, six nights accommodation on a full board basis, a 5 day lift pass for the area, hire of skis, boots, helmets and poles, plus instruction for five hours each day, a hooded jumper, and an evening entertainment package. If you would like your daughter/son to be considered for a place, please return the attached reply slip along with all of the information required on the reply slip to Mrs Caple, Educational Visits Administrator, in B6 Bullers Wood House. Applications will open on Monday, 26th February and close at the end of the school day on Monday, 12 th March. If this trip is oversubscribed students will be selected by ballot. A cheque for 200 is required as a non-refundable deposit. If the passport is not valid at the time of application, please provide a copy of her/his birth certificate. Without the completed information, the application will not be accepted and could jeopardise your daughter/son s place on the trip. The deadlines for further instalments totalling 1,870 or 1,950 are required as follows: Date Amount if under 16 Amount if over 16 12/04/ /05/ /06/ /07/ /08/ /09/ /10/ /11/ Please make a note of these dates in your diary and on calendars to ensure that payment deadlines are met. You will have the opportunity to pay for the trip in full or in more than one instalment if you prefer.
2 Strict adherence to the above payment dates by parents/carers is essential to enable the school to meet tour operator conditions. All medical details and emergency telephone numbers which we invite you to update every year and which we will use for the trip will be generated from the school s records. PLEASE ENSURE THAT ANY CHANGES IN THIS INFORMATION ARE PROVIDED TO US AS SOON AS POSSIBLE AND DEFINITELY UPDATED BY THE 30 th MARCH You will be advised in due course whether your daughter/son has been accepted on the trip. At this point you will be asked to log on to as you would do to pay for lunches, using your usual user name and password. There will be a box to select for Trips and Visits and then you should click onto the Ski 2019 trip and the relevant instalment. If you are not registered with Squid, please contact Mrs Caple on ccaple@bullerswood.bromley.sch.uk to obtain the necessary details. PLEASE NOTE: It is the responsibility of parents/carers to obtain an ESTA. All eligible travellers who wish to travel to the U.S. under the Visa Waiver Program must apply for authorisation on-line and then pay the fee (currently US$14.00). Your credit card/debit card is charged with the Sterling equivalent. Please also note the school reserves the right to cancel the place of any student whose behaviour prior to the trip shows her/him to be irresponsible, unreliable or disobedient. If this is the case any deposits paid and cancellation charges levied by the Tour Operator will not be refunded. It is not advised that your daughter/son attends this trip if she/he will be taking her/his GCSE or A Level Dance exam shortly after the trip due to risk of injury. Prior to the trip we will hold a parents evening where we will have a representative from a ski clothing hire company in attendance to provide advice about ski wear and equipment. Ski clothing can be hired from this company at a very modest cost if necessary. This letter should be read in conjunction with the information sheet attached which should be retained by parents/carers for reference I am confident that the arrangements we have made will give the students a tremendous week of skiing and a great experience of the Californian slopes, sights and culture. Payments are used to secure firm bookings with the Company whose services are engaged for the visit. Please note that you are entering into a contract with the Event Company and Travel Company, not the school. Any cancellations will be subject to loss of deposit and fees imposed upon us by the tour operator and will include a administration charge. Failure to meet deadlines will compromise your daughter/son s place on the trip. Please note that the school reserves the right to cancel the place of any student whose behaviour prior to the trip shows her/his to be irresponsible, unreliable or disobedient. Indeed, a student may be withdrawn from the trip if attendance or behaviour deteriorates after the offer of a place on the trip is made. 5 PARENTAL RESPONSIBILITY Medical and emergency contact details All medical details and emergency telephone numbers which we invite you to update every year and which we will use for the trip will be generated from the school s School Information Management System. Please ensure that any changes in the information held are provided to us as soon as possible. Important: Please note that should your daughter/son require any medical attention between now and departure on the trip, you should obtain a letter from her/his doctor confirming that she/he is fit to travel and to participate in the trip. If your daughter/son requires any medication for the visit please put this in a transparent bag marked clearly with your daughter/son s name plus medication enclosed, the dosage amount and times to be taken. Please hand to a member of staff on the day of the visit. Passports/Visas (overseas trips only) You are responsible for obtaining a machine readable passport which must be valid for at least 6 months from your tour departure date. It is imperative that you attach a photocopy of the valid passport. You are responsible for obtaining a visa if applicable. Please refer to or call Cancellation charges Notification of cancellation must be IN WRITING to the Party Leader. Tour operator charges will apply. Insurance arrangements for school trips Standard School Journey insurance is provided for all school trips which are overseas, residential or hazardous. This covers accidents and loss of personal effects providing that steps are taken to report such losses to the local police. Parent/carers should understand that it is very often impossible for teachers on school trips to become involved in lengthy visits to police stations. For this reason students are discouraged from taking expensive mobile phones and similar equipment on school journeys.
6 CODE OF CONDUCT FOR STUDENTS ON SCHOOL VISITS Group leaders should bring to the attention of parents and students this Code of Conduct which is based on our principles of respect and ready to learn. Each student should: 1. Observe normal school rules. 2. Co-operate fully with all staff and accompanying adults at all times and adhere to all requests and requirements made by them, including use of mobile phones. 3. The trip leader will establish guidelines for use of mobile phones on a visit. These must be adhered to at all times otherwise the phone will be confiscated until the end of the trip. 4. Participate fully in all activities and sessions, fulfil all tasks prior to and during the visit. 5. Be punctual at all times. 6. Not leave group sessions or accommodation without permission. 7. Always return to the meeting point or accommodation at agreed times. 8. If granted indirectly supervised time, be in groups of not less than three students. 9. Avoid behaviour which might inconvenience others and be considerate to others at all times. 10. Behave at all times in a manner which reflects credit on self, the party and the school. 11. Abide by laws, rules and regulations of the countries and places visited. 12. Whilst staying with an exchange family, students must never go out by themselves and must be accompanied at all times by their host. Comply with customs and duty-free regulations. 13. Not purchase or consume alcohol, tobacco products or purchase dangerous articles such as explosives or knives. 14. If in doubt on any matter, consult with staff. 15. Accept that a full written report of any misconduct will be forwarded to the Headteacher and to the parent(s).
