1 REQUEST FOR PROPOSAL Easyford Community Centre Custodial, Grounds and Facility Management Services Date Issued: December 1, 2017 Date Close: January 2, 2018 On Site Facility Tour: December 20, 2017 at 3:00 p.m. (by request) Brazeau County is currently seeking a Request for Proposal for the operation of the Easyford Community Centre located 16 km northwest of the Town of Drayton Valley, in rural Brazeau County. Individuals, community groups, businesses or organizations interested in the operation of the Community Centre are encouraged to submit a proposal outlining their proposed terms of agreement and enter into a contract with Brazeau County. Project Scope The Easyford Community Centre is a multi use, year round facility ideal for weddings, family gatherings, business functions, organized recreational events, sporting events and much more. A spacious yard allows for group camping with basic power outlets; a fire pit, horseshoe pits, and playground, round out the amenities. The Community Centre is wheelchair accessible with accommodating washrooms and has a 250 person capacity. This facility is one of the few in Brazeau County to have a commercial kitchen and an AED (Artificial External Defibrillator) machine. Brazeau County requests a bid for all facilities management, coordination and maintenance for the Easyford Community Centre as it relates to the operation of the facility on an annual basis. 2 Primary Responsibilities Booking of events; Promotion of facility; Running daily operations including maintaining payables, receivables, invoicing, etc.; Maintenance of the building (internal and external) and grounds including mowing, minor repairs, etc.; Staffing requirements; and Carrying liability insurance*, WCB, licensing, health & safety certificates, etc. by you and/or your rental party. Proposal Requirements Proposed monthly lease/rental fee; Proposed operational plan including hours of operation; Proposed staffing requirements; A letter outlining the commitment to WCB coverage; and A letter indicating intended insurance coverages. *Minimum Insurance Requirements Insure operations under a contract of comprehensive general liability insurance in an amount of not less than five million ($5,000,000) dollars per claim which insurance shall name Brazeau County as additional insured. 3 RFP Evaluation Proposals will be opened and evaluated as soon as practicable after the closing time.
