6 2019 ASCHA Exhibitor Contract CONTRACT TERMS The Exhibitor hereby agrees to rent the space granted by ASCHA according to the terms and conditions as set out in this contract. 1. Payment for EARLY BIRD REGISTRATION must be received by Feb. 8, No exceptions. 2. All cancellations on or prior to Mar. 8, 2019 are subject to a 25% administration fee. No cancellations will be accepted after Mar. 8, Reservation of a booth by a non-sponsor will not be guaranteed unless registration fees have been paid in full. Full payment is due prior to booth set-up. 4. Event Organizers reserve the right to change the space assigned to the Exhibitor. Whenever possible, space will be assigned to Sponsors or Partners first, followed by Members. All other booths will be assigned on a first registered/paid basis. 5. Exclusivity: ASCHA does not provide Exhibitors with exclusivity to any one particular product or services unless specifically negotiated in writing through sponsorship. 6. Subletting: Space contracted by the exhibitor may not be sublet or re-sold without the prior written permission from ASCHA. 7. The Exhibitor agrees that no display may be dismantled or goods removed during the entire run of the show, but must remain intact until the closing hour of the last day of the show. The Exhibitor also agrees to remove his exhibit, equipment and appurtenances from the show building by the final move-out time limit or, in the event of failure to do so; the Exhibitor agrees to pay for such additional costs as may be incurred. 8. The Exhibitor agrees to confine its presentation to the space assigned, in addition to maintaining staff in the booth during Tradeshow hours. 9. Event organizers reserve the right to cancel this contract and to withhold possession of Exhibitor s space if the Exhibitor fails to meet the agreed upon terms. 10. The Exhibitor must ensure that any sound coming from the booth is kept to a volume that does not cause annoyance to other Exhibitors. 11. If space is not occupied by the close of the move-in period, this will be considered a no-show and the Exhibitor will forfeit the space. This forfeited space may be resold, reassigned or used by the event organizers. 12. Prizes are optional. Exhibitors are encouraged, but not required, to provide a prize. Exhibitors are responsible for providing their own draw boxes. All draws will be made from individual booths and winners names will be posted in the final hours of the show. 13. Contracts are not considered finalized until the Exhibitor receives confirmation via from ASCHA. 14. Photographs and video: Management reserves the rights to reproduce all photographs, images and likenesses taken during the show for future promotional purposes. 15. Security: Management will provide necessary security for the building during the hours the show is closed. Exhibitors must have an individual directly responsible for his/her own exhibit each day during the hours the show is open. 16. For the purpose of communications, exhibitors may receive correspondence from River Cree Resort and Casino or GES the official Show Services providers of the 2019 ASCHA Convention and Tradeshow. 17. The Exhibitor is responsible for the acquisition and cost of insurance related to the Exhibitor s participation in the 2019 Tradeshow at the Exhibitor s expense. 18. The exhibitor assumes the entire responsibility and liability for losses, damages and claims arising out of exhibitor s activities on the hotel s premises and will indemnify, defend and hold harmless the Hotel, its owner and management company, as well as their respective agents, servants and employees from any and all such loses, damages and claims.
