1 To All Ayala Football Program Booster Members, Parents & Supporters, In the Ayala Football Booster Club Executive Board s efforts to keep all Football Booster Family Members & Supporters as in-the-know as possible (albeit potentially far more informed than you ever wanted or thought you ever needed to be), I drafted this informative Question & Answer formatted document. It answers many of the questions I had as a Freshman Parent, and just through persistence and involvement I was able to collect the answers along the way. I hope you find it informative. A HISTORY OF CUTS: Over the last 5 years, the Chino Valley School Board, District and School Administrators have had to make very tough budget cutting decisions. In the process they have gradually cut the athletic program budgets. Over these past 5 years the cuts have added up to an approximate 67% reduction. Although the District has been fortunate to acquire grant and bond funding to pay for various large-scale facilities remodels and equipment upgrades, the ever shrinking baseline district budget is what actually keeps the athletic programs at risk. To maintain a football program within this school district, the Chino Valley School Board, District and School Administrators have only budgeted a very limited in scope and rudimentary budget which is far from enough to keep the program viable. SO HOW IS THE AYALA FOOTBALL PROGRAM KEPT AT RISK? In other words, what DOES that 67% budget cut equate to; and where does that money now come from now if not the district? The burden of raising those funds has now fallen onto the shoulders of those who wish to keep the program alive (i.e., the players themselves, the parents, family and friends of players; individual and organization supporters; and local small business to corporate sponsors). In short, these funds come from a variety of sources, but mostly from our general registration donations and the variety of fundraising efforts throughout the year.

2 Although the overall football program expenses have increased over these past five years as general costs have increased, our Program s Leaders (i.e., Head Football Coach and his Coaching Cadre) have managed to keep the program costs stable and still provide a quality program. UNDERSTANDING THE FOOTBALL PROGRAM S MULTIPLE BUDGETS HELPS: The Football Program s Budget is comprised of three components: o School District Budget Those are the monies described above which have been cut so drastically. These Districts funds are controlled by the District and School Administrators, and are used to pay for critical safety equipment (i.e., such as new and/or refurbishing helmets and pads); limited personnel, such as game-day officials, event security, janitorial services, field maintenance, minimal coaching staff and at a very limited stipend; and for now transportation, but ONLY to league events ( and know that transportation has been at risk of being cut from the district budget every year). o United Student Body (USB) Budget The USB budget allotment for the Football Program is in itself two-pronged: First prong: A small amount of monies are directed to the Football Program from general USB fundraising opportunities throughout the school year. (Ironically a large amount of those USB Funds are actually raised through admission ticket sales at the Varsity football home games but are spread throughout all the USB programs); Second prong: Coach Reams conducts several fundraisers (i.e., Summer Football Registration, Community Discount Card Sales, Donation/Contribution Letters and HUDL View ). The funds raised by the Coach s fundraisers are specifically for the football program. Combined, the Coach s USB Budget is used to pay for preseason passing tournaments and linemen competitions; some limited recognitions and awards; Leadership Retreat; team building events; Varsity game day meals; and a variety of other elements that support our football program at all levels (i.e., Freshman, JV and Varsity). o Football Booster Club Budget These are monies raised through the initial Fall Season Registration, as well as the various fundraisers held throughout the year (i.e., Food Fair, Bench-a-Thon, Goodwill Donation Trailer, Pancake Breakfasts, Casino Turnaround Bus Trips, Photographer s Fundraisers, Game Program and Banner Advertisements, as well as the Tuesday Night Restaurant FUNdraiser Events).

3 The Football Booster Club Budget provides funding to pay for expenses the Coach s USB Budget cannot, as well as everything the district cannot or will not, such as: pre-season and season uniforms; modern training equipment, additional weights and weight training apparatus; side-line communication devices and coach assisting electronics and software; website; on-line web-video services for pre-game scouting and post-game review, to include college recruiting highlight video creating capabilities; awards banquet event, as well as recognitions and awards; additional coaching staff and their minimal stipends; advanced pre-season training for coaches; various team building events; and a variety of other elements that support the football program at all levels (i.e., Freshman, JV and Varsity). o The spending of the School District Budget specifically for the Football Program is controlled and spending authority authorized by Ayala s School Administrators / Athletic Director. The spending of USB monies are very restrictive, and the funds are accessed through a school district controlled payment invoicing request process. The Booster Budget is governed by IRS 501 (c)(3) Non-Profit Organization spending restrictions and the Ayala Football Booster Club Bylaws, and comparatively speaking are far less restrictive in comparison to the two others. SO WHAT DOES IT COST TO RUN THE AYALA FOOTBALL PROGRAM? To run the quality program that Ayala High School enjoys, depending upon a few variables year-to-year, the Coach s USB Budget and Football Booster Club Budget combined is roughly $150,000+/- per year; which averages around $1,000 per player per season. (And again, this is above what funds the school district allocates and governs.) How we collectively reach $1,000 worth of per-player income into the program s budgets is up to you. WHAT S THE BOTTOM LINE; WHAT AM I BEING ASKED TO PAY: Head Football Coach Reams and the Ayala Football Booster Club have worked very closely to build a Football Program Budget that is both realistic based upon anticipated needs and expenses. We have listed all the expected/anticipated revenue sources and outlined them in a matrix format. Our goal is to clearly outline the budget, registration fees and all fundraisers UP FRONT NO SURPRISES. In light of our current economic times, we re trying to be as realistic and as flexible as possible. We ve arranged for payment options that allow for the flexibility. We ve also created The Buck Buy-Out option, a write one (check) and get it done! We re doing our best to make this football program affordable and memorable for every player and their family.

5 Option #2 = The Buck Buy-Out Write one (check) and get it done. $999 on May 16 th Option #3 = The Buck Buy-Out Payment Plan $499 on May 16 th $250 by June 16 th $250 by July 16th Although both Options #2 & #3 are financial buy-outs of all the individual fundraisers colored BLUE on the matrix above. However the player(s) is still expected to physically be present and participate in fundraising events where appropriate (i.e., Bench-a-Thon, Food Fair, etc.). May 10, 2013: We will be setting up a secure PayPal Account which will be available for access to all team levels through our website on May 10 th, On-line Electronic Bank Transactions (EBT/debt) or credit card payments will be available starting on May 10 th, (Those who prefer to use this payment method will be responsible for the PayPal transaction fees.) May 16 th, 2013: We will be holding our Varsity & JV Team Registration Meeting & Coach s Parent Huddle on May 16 th, 2013 in the Ayala Gym. On-line Electronic Bank Transactions (EBT/debit) or credit card payments will be available. (Those who prefer to use this payment method will be responsible for the PayPal transaction fees.) Checks will be accepted and can be made out to Ayala Football Club; and of course cash is always welcome. June 19th, 2013: We will be holding our Freshman Team Registration Meeting & Coach s Parent Huddle on June 19 th, 2013 following Freshman Summer Practice, and will be held in the Visitor s side of the Ayala Stadium within the Stands.
