SALES & ARCHIVES SECTION 35.1 Main responsibilities of the Section: Sales and Archives Section is primarily mandated with the following items of work:- (i) Procurement and sale of Souvenir items. (ii) Procurement and sale of MPs D.O. stationery items to the Members of Rajya Sabha (iii) Procurement and Sale of New Year s Greeting Cards. (iv) Sale of Rajya Sabha Secretariat s Publications (v) Sale of Parliamentary Paper (vi) Distribution of Rajya Sabha Debates (vii) Binding of Debates etc Procurement and Sale of Souvenir items:- During the year 2017, this Section procured various Souvenir items for sale which are as under: S. 2 G.A.Section for sale). 22 Mini Calenders(received from G.A Section for sale) NIL Note: Section had total amount of Rs. 34,32,540/- for the purpose of procurement which included Rs /- of budget provision for the year and Rs. 4,32,540/- balance of previous year. Souvenir items procured by this Section worth Rs 26,44,945/- and items namely Diaries, Wall Calendars and Mini Calendars received from G.A. Section worth Rs.62,000/-) were sold through Rajya Sabha Sales counters till 31 st December, 2017 amounting to a total of Rs. 27,06,945/ Budget: The Section has been earmarked six-minor Heads of Expenditure and allocated budget under the Head Rajya Sabha Secretariat (Minor Head) 01 Secretariat (Office Expenses). Stationary for sale to Hon ble Rajya Sabha Members. During the year 2017, Section did not procure any stationery items as sufficient stock of the same was available. D.O. Stationary items worth of Rs.32,995/- were sold to Hon ble Members of Parliament during the year Procurement and Sale of New Year s Greeting Cards:-The Section had a stock of 2465 New Year Greeting Cards from the previous year. 3,000/- New Year Greeting Cards were got printed for which Rs.19,140/- was paid to printer in December, Out of the total 5465 New Year Greeting cards, 712 cards amounting to Rs. 5,284/- were sold through the Sales Counters and 1235 Cards were issued to Officers of the Secretariat for official use. 5 35.10 Issuing of Rajya Sabha Debates:- During the year 2017 Debates pertaining to 235 th to 240 th Sessions of Rajya Sabha were received and issued to the Hon ble Members of Rajya Sabha, State Legislatures, State Universities, Library & Institutions, Local Recipients (as per mailing lists), various Sections of Rajya Sabha Secretariat and to the Lok Sabha Library. The composition of the Committee is as (i) Shri A.A. Rao, Additional Secretary- Chairman; (ii) Shri J.G. Negi, Joint Secretary- Member; (iii) Shri S. Jason, Director- Member and (iv) Director, Sales & Archives Section as the Member-Secretary Status of Computerization:- This Section is equipped with 08 Computers out of that 04 computers are installed in the Section one each is used at Sales Counters, located at Reception Office, Parliament House and 26-A, Publication Counter, Parliament House and 01 computer is used at Archives Portion of Sales and Archives Section, 223, North Avenue, New. Software, i.e. Sales Inventory Management System developed by NIC through IT Section is optimally used by the Section Training: During the year, 2017, the following Officials of the Sections attended following training programme organized by Training Unit/IT Section. Sharma, Assistant Director (E&T) on RTI application : During the year, 2017, total 03 RTI applications were received and disposed off timely. 201

7 35.18 Work done in Hindi: In total 14 receipts in Hindi were received during the year, 2017 and disposed off in Hindi Review and Weeding out of old files/receipts: 20 files and 23 receipts books pertaining to the year 2010 were reviewed and weeded out during the year New Initiatives : During the year, 03 items, namely (i) Brass Ashoka Pillars (ii) Silver Coated Plates and (iii) Silver Plaque Oval with Wooden Stand were introduced in the list of souvenir items for sale through sales Counters. 202
