5 RULES AND REGULATIONS A. ADMISSION TO EXHIBITION HALL i. EXHIBITOR PASSES Exhibitor Passes are valid for EXHIBITORS during the moving in, exhibition days and moving out periods. Exhibitors and their representatives must wear the Exhibitor Passes at all times inside the exhibition hall. Exhibitor Passes must be collected by exhibitor or an authorised representative on 7 October 2009 between 9.00am pm from the EXHIBITORS SERVICE Hall 2 ** NON-OFFICIAL CONTRACTORS Passes Validity/Usage During the setting-up and dismantling of the stand Passes Entitlement Maximum of 15 passes only for special design/raw space stand First 15 passes are inclusive in Administration Fees. Additional or replacement of lost passes at RM 5.00/passes Special Design Submit a detailed scaled, dimensional drawings, perspective drawings and electrical layout plan showing the proposed design for their stand to the Official Contractor by 23 Sept 2009 for approval before commencement of any work. Performance Bond (Refundable) Administration Fees (Non-Refundable) Deposit to cover of any damages done during the setting-up and dismantling. Submit by 23 Sept 2009 to the Official Contractor. Will be refunded in full or after deduction of any damages within one month after the exhibition. 36m² and below - RM 3, m² and above - RM 5, RM30.00 per m² (non Refundable) must be submitted by 23 Sept 2009 to the Official Contractor. These fees are inclusive of the 15 Contractor Passes. iii. TEMPORARY PASSES Temporary Passes are for dispatch or lorry driver (except exhibitor or authorise personnel) to enter the exhibition hall. These passes are valid for the duration of build-up / moving in/ teardown. Temporary Passes can be obtained from Exhibitors Service Counter Hall 2 ** B. GENERAL STAND CONSTRUCTION RULES Construction 1. No person under any circumstances shall cut into or through any floor covering or wall nor alter any stand service structure. Any such damage to stand structures or exhibition premises will be invoiced to the exhibitor. 2. NO welding, heavy sawing, suspension from the exhibition hall ceiling structure, nailing, drilling or fixing onto the floor. Inclusive of any column, wall or any other part of the venue. 3. DO NOT use the back panel of a wall or neighboring stand to put up decoration. 4. NO exhibitor may place any display material and exhibit or allow dividing wall or any part their stand design and fitting beyond their contracted boundary. 5. NO display of company name on the side / back panel / reverse side of neighbouring stands. It must be prominently displayed. If requirement is not observed, the Organiser/Event Manager reserves the right to affix stand numbers / display board and the cost shall be borne by the Exhibitor concerned. 6. All other constructions, installations or activities carried out, apart from those agreed in the sales package, shall be at the expense and responsibility of the Exhibitor, and be done in such a manner as to cause no unnecessary disturbance or disruption to the activities of the other users of the venue. Electrical Installation 7. Power Points supplied are used for running equipment / exhibit only and cannot be used for lighting purposes. Multi socket points may not be fitted as it may cause an overload and tripping. Exhibitor whose lighting fixtures are found to have been the cause of trips in power supply will be responsible for all re-connection charges. 8. All lighting connection work must be done by Official Electrician. Without any exception, Exhibitors including those who provide their own lighting fixture will be charged the lighting connection rate of RM35 (100 watts maximum) per fixture. Water and dispenses 9. A plastic underlay beneath the carpet is required for display of wet items at the exhibition space. 10. Do not damp the Electrical Trench on the ground. The trench is mainly used for electric cabling and structuring. 11. Water supply can be obtained from the Industrial Wash Area. Kindly refer to the Event Manager for assistance. 6 C. RAW SPACE / SPECIAL DESIGN STAND CONSTRUCTION RULES 12. It is compulsory for exhibitor to provide carpet/ finishing or other material to decorate the flooring without damaging the surfaces. 13. All stands, irrespective of height must have at least one-half of any frontages facing an open aisle. 14. Exhibitors occupying Raw Space Stands must complete and return Performance Bonds to the Event Manager before 23 Sept Exhibitors must submit 2 copies of detailed scaled, dimensional drawings and perspective drawings (hardcopy and softcopy) showing the proposed design of their stands, lighting and connection plans by 23 Sept 2009 for approval by the Organiser, Event Manager and Official Stand Building Contractor. One copy of the drawings will be returned, authorizing to proceed, if the design is acceptable and has conformed to the rules and regulations. Failure to obtain approval can result in costly alteration on site as per requirements by the Organiser / Event Manager / authorities concerned. The Organiser / Event Manager reserves the right to stop and disallow participation without any compensation in the event of failure to submit any design for approval. (Note: Please refer to Table 1, page 5 for the Performance Bond and Contractor Passes) 15. NO drilling or nailing. Any form of graffiti or painting on Shell Scheme stand panels is also not allowed. Exhibitors who wish to do any changes to the Shell Scheme stand must first obtain the Organiser/Event Manager s consent. 16. Exhibitors constructing decorating their own shell scheme stand are required to sign an undertaking, guaranteeing responsibility for any damage which may be done by any of their employees including appointed sub-contractors at the exhibition hall. D. CLEANING/DEBRIS REMOVAL During the Build Up and Tear Down periods, Exhibitors and their contractors will be responsible for the removal of their own stand building / dismantling materials and debris. Debris must not be deposited into the venue s garbage or disposal bins. All construction debris from the hall after each built up / dismantling must be cleared before the Official Cleaning Contractor takes over the responsibility. E. HALL OPERATIONS General hall lighting and air conditioning will be switched on 1 hour before the exhibition opens and switched off 30 minutes after the exhibition closes throughout the whole period except for setup and dismantling period. All activities and display items (model, bunting stand, rack, etc) conducted by Exhibitors, must be within the exhibit space only. Exhibitors are to ensure all activities must not be of annoyance and causing harm or injury to neighboring stands, visitors and to the venue fixture and fittings. No items are allowed to be placed nearby Fire Exits and Hose Reel area. Items obstructing the fire exits and hose reel are subject to be confiscated by authorised personnel. Smoking and gambling within the stand area is strictly prohibited. Do not to leave stands unattended during the Exhibition Operating Hours. The Organiser/Event Manager will not be held responsible for any loss of / damage to exhibits throughout the exhibition. Exhibitors are reminded not to place stickers, signs or posters anywhere in the hall other than within their own stand. Likewise, exhibitors representative(s) may not distribute brochures, invitations, etc. along the gangway or near the entrance. Distribution is strictly confined to the exhibitor s stand area only. F. LIMITATION OF LIABILITIES The Organiser/Event Manager, their servants or agents shall not be liable / responsible for:- Safety of Exhibitors, their servants, agents, contractors or invitees during exhibition. Exhibits, articles or other property brought into the exhibition by Exhibitors, their servants, agents, contractor or invitees or member of the public. Restriction for any conditions which prevent the construction, erection, completion, alteration or dismantling of stands or the entry sighting of removal of exhibits, or for the failure of any services or amenities provided by the hall owner or other third parties. G. EXHIBITOR S INSURANCE Exhibitor must make sure they are fully insured but not restricted to, all risk on their property, exhibits or articles of any kind, public liability and comprehensive protection against any loss or damage caused by any circumstances whatsoever whether by reason of fire, water, theft, accident or any other natural calamities cause whatsoever. All their temporary staff and the staff servants, agents or contractors are insured against claims for workman s compensation. The period for which such insurances shall maintained shall run from the time the Exhibitor or any of his servants, agents or contractor first enters the exhibition grounds, and to continue until he has vacated the exhibition grounds and all his exhibits and property have been removed. H. FORCE MAJEURE In the event the exhibition is postponed, shortened or extended due to any cause whatsoever beyond the control of the Organiser/Event Manager, the Organiser/Event Manager shall not be held responsible for any loss incurred by the Exhibitor, directly or indirectly, attributable to the elements of nature, force majeure or orders and directives imposed by any government authority. Under such circumstances, the money paid by the Exhibitor, any part thereof, is refundable at the sole discretion of the Organiser/Event Manager. I. JURISDICTION In the case of a certain dispute or any problems which occurred throughout the whole duration of the exhibition (inclusive of building and dismantling hours), the Organiser/Event Manager s decision will be final. 06
