5 EXHIBITION RULES & REGULATIONS GENERAL Failure to Exhibit Any organisation which, having signed a contract for exhibition space, fails to exhibit on the actual day whether or not for any reason of the Exhibitor s own choosing and has not been released from the Contract by the Organiser shall be liable for the full amount stated in the contract plus any additional costs incurred by the Organiser as a result of such failure to exhibit. These terms cannot be varied under any circumstances. Limitation of Liability The Organiser, shall not be liable for the safety of the Exhibitor, their representatives, agents, contractors or invitees during the Exhibition nor for any exhibits, articles or other property of whatever kind brought into the Exhibition by Exhibitors, their representatives, agents, contractors, or invitees or members of the public. The Organiser shall not in any event be held responsible for any restriction or conditions which prevent the construction, erection, completion, alteration or dismantling of stands or the entry, sitting or removal of exhibits or for the failure of any services or amenities provided by the hall owner or other third parties. Exhibitor s Insurance Exhibitors shall make sure that they are fully covered by insurance including, but not restricted to, all risks on their property, exhibits or articles of any kind, public liability and comprehensive protection against any loss or damage caused by any circumstances whatsoever whether by reason of fire, water, theft, accident or any other cause. The Exhibitor shall insure against, indemnify and hold the Organiser harmless in respect of all costs, claims, demands and expenses to which the Organiser may in any way subject as a result of any loss or injury arising to any person (including members of the public or the Organiser s staff, agents or contractors) or property howsoever caused as a result of any act of default of the Exhibitor, his representative, agents or contractors or invitees. If the Organiser so demands the Exhibitor shall provide proof to the Organiser that the Exhibitor has adequate insurance cover. Exhibitors must ensure that their temporary staff and their representatives, agents or contractors are insured against claims for workman s compensation. The period for which such insurances shall be maintained shall run from the time the Exhibitor or any of their representatives, agents or contractors first enters the exhibition grounds, and to continue until he has vacated the exhibition grounds and all his exhibits and property have been removed. Duties, Taxes, Fees, Licenses & Charges All duties, taxes, fees, licenses and charges due and owing to the Malaysia Government in connection with any sale or other disposition of goods, property or equipment during or after the exhibition shall be borne and paid for by the Exhibitor. Subletting of Stands The Exhibitor must not transfer, dispose of, part with or otherwise sublet the whole or any part of his site, whether for financial consideration or otherwise. The Exhibitor must, if he is an agent, distributor or licencee, state at the time of contract the names of the principals to be represented. This does not prohibit an Exhibitor from displaying the products of a principal for whom he becomes agent, distributor or licensee after the time of contract, with the prior written permission from the Organiser. Force Majeure Exhibition may be cancelled, postponed, shortened or extended due to any cause whatsoever beyond the control of Organiser. The Organiser shall not be responsible for any loss sustained by the Exhibitor directly or indirectly attributable to the elements of nature or by events of force majeure, including orders of directives imposed by any governmental authority. In the event of such circumstances, the monies paid by the Seller or any part thereof are refundable at the sole discretion of the Organiser. 5

6 Payment Terms and Conditions No Exhibitor will be allowed to occupy their space or stands until the Organiser has received full payment. These terms will not be varied under any circumstances. Cancellation of Exhibition Space In the event of the Organiser agreeing to any request for release from the contract, the Exhibitor will be liable for all, or part, of the cost stated in the contract in accordance with the following scale. 1.9 Cancellation period Cancellation made on or after 26 September % of cost payable by Exhibitor This scale of charges will apply only from the date the Organiser receives written notice by letter or fax. In addition to this scale, the Exhibitor will be liable for any specific cost incurred on his behalf by the Organiser. These terms will not be varied under any circumstances. ADMISSION AND USE OF BOOTH 2.1 Only registered exhibitor delegates will be allowed in the Exhibition Hall area. Each exhibitor will be issued with badges. Admission in the Exhibition Hall area will be on the basis of these specially-issued badges. 2.2 The booths assigned to the Exhibitors will be for the use of their registered companies or subsidiary companies and registered Exhibitor representatives only. The booth may not be subcontracted to any other company or delegate. The Organiser is empowered to cover up any booth not ready by 7.00 pm on 20 November In such instance, no refund of booth rental will be made to the Exhibitor concerned. LICENSES 3.1 Demonstrations and Presentations By the governing laws of Malaysia, any promotional activity involving the demonstration of games, organised competitions, quizzes or entertainment, celebrities will need a permit from Jabatan Pelesenan (Licensing Department). 7 3.2 Films and Video Tapes By the governing laws of Malaysia, all films and videotapes, even if they originated from Malaysia MUST obtain the approval of Censor Board. Clearance takes about six weeks but Exhibitors are advised to send their films in good time with a covering note indicating For Exhibition Purposes. As inspectors might visit the site, please keep a copy of the censorship certificate on hand during the Exhibition. For direct enquiries, please contact Lembaga Penapisan Filem (Film Censor Board). Exhibitors are encouraged to use the Official Booth Contractor for safety reasons and to ensure that installation and stand-fillings proceed smoothly. Exhibitors who wish to do additional construction decoration or design may consult for assistance at the following address: INNOGEN SDN BHD No. 1 Jalan Perusahaan 1, Taman Industri Selesa Jaya Balakong, Selangor Darul Ehsan Tel: Fax: info@innogen.com.my STAND-FITTING 5.1 SHELL SCHEME The Organiser has appointed Innogen Sdn Bhd as the official contractor. The Exhibitor may employ a contractor of his choice to construct and install any additional standing display or fixture that he may require. The name of the contractor must be given to the Official Contractor and that contractor must agree to abide by the terms as laid down by the Organiser. It is recommended that all additional work be placed in the hands of the official contractor as this will not only facilitate installation but will normally be financial advantageous to the exhibitor. 5.2 UPGRADING BOOTH DESIGN A drawing in duplicate showing the proposed upgrading design of the stand (with measurement) and ideally, an artist s impression must be submitted to the Organiser for approval before any work is put in hand and in any case NOT LATER THAN 24 October The stand contractor must establish that these plans/drawings have been approved, signed and returned by the Organiser before the construction of the booth. Failure to obtain approval can result in costly alteration on site being required by the Organiser. The following regulations must be observed when preparing a stand. 7

8 (a) (b) (c) (d) (e) No additional stand fitting and display fixture may be attached or affixed to the shell scheme stand structure, i.e. no nailing or drilling will be permitted. No freestanding fixture or exhibit may exceed a height of 2.44metres (8.0ft) or extend beyond the boundaries of the site allocated. No painting, wallpaper or nailing of the shell scheme stand panels will be allowed. Exhibitors who wish to have the panels painted must inform the Organiser or the Official Contractor. An exhibitor occupying a corner booth has a choice to have the side panel replaced by a fascia board, complete with fascia name at no difference in cost. No financial credit will be given for any shell scheme package item not utilized. 5.3 SPACE ONLY The Exhibitor may make arrangements with a contractor of his choice for the design and construction of a stand upon his site provided that the name of the contractor is given to the Official Contractor (i.e. Innogen Sdn Bhd). Exhibitors and their contractors are kindly requested to check-in at the Exhibition Registration Counter, Exhibition Hall 5: 19 November 2014 (Wednesday) from 2.00pm to 7.00pm, and 20 November 2014 (Thursday) from 9.00am 7.00pm to collect workers badges for the building up crew and to receive further instructions. Before a contractor is permitted to start work, either he or his employing exhibitor / group is required to place a non-refundable Administration Fees of RM20.00 per sqm (minimum levy of RM100.00) and a refundable Performance Bond of RM per sqm (minimum levy of RM and maximum of RM10,000.00), with the Official Contractor and sign an undertaking to guarantee conduct, proper schedule of production and observance of the Exhibition and Hall Regulations. Only when the Administration Fees and Performance Bond is placed and the Undertaking signed, will the contractor be allowed to bring in the materials into the halls and commence work. Provided no damage is caused during build-up, open days and tear down, the Bond will be returned to the Contractor in full within 30 days of the completion of the exhibition. Six (6) Contractor Passes, which are valid during the build-up and tear down periods, will be issued for every 9 sqm of construction, up to a maximum of fifty (50) passes per contractor. Additional and/or lost passes can be requested/replaced at RM20.00 each. Please note that a complete name list with details of identification card/passport numbers must be provided. EXHIBITS REGULATIONS a) Structure that exceeds the height of 2.44metres (8ft) must seek the approval of the Organiser. Failure to obtain approval can result in costly alteration on site being required by the Organiser. b) All dimensioned design plans, including cross sectional and elevation views (3D picture), must be supplied to the Centre for all stand structures or design exceeding 3.0 metres in height no later than 14 days prior to the move-in date for Centre review. c) The tops of all stands must in all cases to be opened, in order not to impair protection by the sprinkler system 8

9 d) All construction works for booths etc must be fully completed during the build-up period. No touch up or corrective works whatsoever will be permitted one hour before the event. e) No excessive or major carpentry works shall be carried our within the Exhibition Halls. f) Spray painting, nitrate paints/lacquers are not permitted within the Centre g) Maximum structure height permitted is 6.0 metres h) The Organiser reserves the right to request the exhibitor to change, modify, lower or shorten any back wall and sidewall proposed in the Space Only designed if, in the opinion of the Organiser such back wall or sidewall will obstruct the reasonable exposure of any adjacent exhibition booth. i) All booths must be constructed with back wall and sidewall, except island booth, which does not require any wall. In the case of a one-corner booth, a back wall and one sidewall must be constructed, while a two-corner or peninsular booth requires only a back wall. j) Where structure, such as a wall or a sign, exceeds the height of the neighboring booth, the exhibitor with the higher wall must decorate the visible portion to a standard acceptable to the Organiser. In addition, the external side of any wall, which faces another exhibitor or public area, must be finished to a quality acceptable to the Organiser. k) No part of any structure may extend beyond the boundaries of the site allocated. l) No suspension may be made from the ceiling of the exhibition hall nor any fixing be made to the floor, walls, pillars or any part of the building structure. m) No false ceiling is allowed to be constructed on the stand. n) The name and stand number of the exhibitor must be prominently displayed. Should this requirement not be observed, the Organiser reserves the right to affix stand numbers that they consider fit and to charge the costs to the Exhibitor. o) A drawing indicating the position of electrical fittings and supplies for exhibits ordered must be forwarded with FORM 4 NOT LATER THAN 24 October DOUBLE STOREY STAND a) The exhibiting company of the lower level of a particular booth must be the same as that of the upper level. b) Double storey booths will only be allowed provided the minimum contracted floor area for the lower level of the particular booth is 36 square metres and that the minimum length of any dimension on the area is 6 metres. c) The contracted floor area at the upper level shall not exceed 50% of the contracted floor area at the lower level of the particular booth. d) Subject to the ceiling height limitations, all objects exceeding 2.44 metres in height must be placed at a minimum distance of 1 metre from all boundaries adjoining a neighbouring booth. e) Maximum structure height is 6.0 metres f) The upper floor must in all cases be open-topped in additional to the fire extinguishers already available on the ground floor, at least one extinguisher per stairway shall be placed so that it is visible and ready for use g) The interior room in two floor structure must have a clear height of 2.44 metres on the ground floor 9

10 h) The structure engineer s certificate must be submitted to the Kuala Lumpur Convention Centre at least seven (7) days prior to the event build-up. The Kuala Lumpur reserves the right to refuse the build-up on site if the certificate is not received within the stipulated deadline. OFFICIAL ELECTRICAL CONTRACTOR The Official Electrical Contractor, INNOGEN SDN BHD has been appointed to carry out all electrical work at the exhibition halls. ELECTRICITY SUPPLY The standard electricity supply available at the exhibition stands: Supply Voltage: 230 volts single phase 2 wire system (subjected to a variation of +5%) Frequency: 50 Hz with a variation maintained within +1% Power Factor: Not less than 0.85lagging Neon Lights: Usage of neon lights is subjected to the approval from the Organiser. Should any Exhibitors use neon lights without prior approval from the Organiser, strict action will be taken against them. Supplies to stands will normally be switched off immediately after the exhibition is closed each evening. Exhibitors requiring to work late must inform the Organiser and any costs involved must be borne by the exhibitor. 7.1 ELECTRICAL INSTALLATION REGULATIONS The following regulations will be enforced, where electrical installations are concerned. Only the Official Contractor can supply and install / carry out electrical work in the Exhibition area. No other contractor will be permitted to undertake any electrical work at the exhibition site. This is strictly enforced. Exhibitors are reminded that their shell scheme stands are provided with electrical fittings. Additional requirements must be ordered on FORM 4 and returned to Official Contractor NOT LATER THAN 24 October No electrical installation may be suspended from the ceiling of the exhibition hall or fittings, which may project beyond the boundaries of the site allocated. No flashing lights or signs will be permitted. The Organiser reserves the right to disconnect the electrical supply to any installations which in the opinion of the Electrical Consultant, is dangerous or likely or cause annoyance to visitors or other exhibitors. FURNITURE AND OTHER RENTALS A range of standard fixtures which have been specially designed and constructed for exhibitors are available on hire from the OFFICIAL CONTRACTOR, INNOGEN SDN BHD. Please refer to ORDER FORM 3 in this manual and indicate your requirements. These forms must be returned to Official Contractor NOT LATER THAN 24 October 2014 Exhibitors may order additional electrical items, furniture, audio-visual equipment and plants using the specified Forms. Please indicate and return to the respective OFFICIAL SUPPLIERS depending on the order, not later than 24 October EXHIBIT FABRICATION a) The Exhibitor shall be responsible for any physical damage to the site due to the negligence of the Exhibitor, its employer or agents. The Exhibitor shall indemnify the Organiser against any claims or liabilities to its employees, agents or exhibits during construction, tenancy and dismantling of the Exhibition. b) The Exhibitor shall not remove the exhibits during Exhibition without prior notice to the Organiser Office. 10

11 c) The Exhibitor shall remove all exhibits from the Exhibition site within the specified dismantling period and is liable for any loss to the Organiser by reason of delay or refusal of the Exhibitor to clear the site as required by the said Organiser. The Exhibitor shall indemnify the Organiser against any claims, liabilities, proceedings or actions, which may be instituted by any party as a result of the default or negligence of the Exhibitor or its employees or agents. EXHIBIT INSTALLATION AND RECEIPT OF GOODS a) The installation of exhibits and booth décor by the Exhibitor is restricted to the following: 19 November :00am Official contractor move in 2:00pm Outside contractor move in 7:00pm Hall closed 20 November :00am Official contractor move in 9:00pm Outside contractor move in 2.00pm Exhibitor Move in 7:00pm Hall closed b) Overtime request can be submitted on site to the Organiser during move in day, if need arises and the contractor will bear the overtime charges imposed by the Organiser. c) The Organiser will not allow any moving-in of exhibits after the said date and time. All exhibit items must be ready for the opening of the Exhibition area to Visitors on 21 November 2014 at 11.00am. d) Exhibits should only be delivered to the Exhibition area when the stand is ready to receive them. The Exhibitor must arrange for an authorised representative to be present at his stand to receive the exhibits as the Organiser will not accept delivery on his behalf, nor can they be held responsible for the subsequent safe keeping of such items. e) In order to avoid congestion in the area, it is essential that unpacking be restricted to small items or such goods that can be taken out of their cases without the risk of damage. The Exhibitor should therefore arrange with the official Freight Forwarder or make own arrangements to unpack major items away from the hall so that they may be delivered and immediately placed in position on the stand. STORAGE The Organiser has no obligation to provide any service for on-site storage of exhibitors properties, packing cases or surplus materials. Prior arrangement must be made with the official freight forwarder with regard to the safe-keeping of these items. Otherwise, Exhibitors shall arrange the return of these materials to their own premises. REMOVAL OF EXHIBITS a) Personal effects and light exhibits may be removed from the Exhibition area after closing hours on the final day of the exhibits. b) While the Organiser will maintain security surveillance at all time, Exhibitors are reminded that goods will be most at risk at this time and that stands should not be left unattended until all portable items have been removed and hired items and equipments collected by the appropriate suppliers. c) The removal of heavy exhibits and the dismantling of stand fittings and electrical installations will commence from 9:00am on 24 November No mechanical lifting or handling equipment will permitted to enter Kuala Lumpur Convention Centre for the removal of these heavy exhibits except those used by the Official Contractor or Freight Forwarder. d) All Exhibitors and contractors removing exhibits, equipment or materials are required to have a removal authorisation slip to hand to the gate security officers before leaving the exhibition site. Removal authorisation slips are obtainable from the Organiser s office on-site. 11

12 GOODS ENTRANCE AND TRAFFIC CONTROL Loading and unloading will not be allowed at the marshalling area. The delivery and removal of exhibition goods should only take place via the loading bay of Exhibition Hall 4 & 5 (Map to loading traffic flow attached) as Appendix iv. DECORATIONS, SIGNS AND OTHER DISPLAYS Special stands or displays will be permitted provided they comply with all general rules of The Star Property Fair Therefore, it is advisable to submit plans for such special work to the Organiser for approval before order is placed with the contractor. Exhibitor s decorations should not obstruct other displays or project into the aisles. All displays must be selfsupporting. No Exhibitor will be permitted to use the hall ceilings fixtures or walls in any way, i.e. no nailing, wiring or fixing of exhibits to any existing structures. BOOTH BOUNDARIES The distribution of printed materials, souvenirs, or other articles by the Exhibitor will be restricted within the Exhibitor s own booth area only. Throwing of souvenirs, shouting and any unnecessary noises, whether by human or mechanical means, to attract attention, will not be permitted. All aisle space belongs to the Organiser. No exhibits, advertising materials or equipment will be allowed to extend beyond the booth area. CLEANING / RUBBISH REMOVAL During the build-up period, Exhibitors and their Contractors will be responsible for day-to-day removal of their rubbish (i.e. empty paints tins, lumber, scrap, etc). No crates, exhibits or packing materials may be placed in the gangways during build-up. All items left in gangways will be treated as waste and removed without notice. All stands will be cleaned before the show hours daily. If waste material were to be accumulated during demonstration, kindly notify the Organiser of the expected volume and frequency for us to arrange a regular removal. CARE OF EXHIBITS The Organiser will arrange for the maintenance of the aisles and booths prior to the opening of the Exhibition and daily thereafter, but the Exhibitor must, at their own expense, keep their booth area clean and their exhibits in good order. Access Clearance Certain areas must be kept clear and free access retained. These are:- a) Fire exits b) Aisles c) Gangways d) Emergency exits e) Air-conditioning vents f) Fire appliances, and g) Any other areas that will be identified FIRE REGULATION All display materials must be non-flammable and non-explosive. 12

13 AIR-CONDITIONING The exhibition hall will be fully air-conditioned. Air-conditioning is provided throughout the exhibition period only (21 23 November 2014) and not during build-up or teardown period. ELECTRICAL SUPPLY AND LIGHTS Hall lighting will be provided by the Organiser throughout the build-up, exhibition and tear-down period only. Supplies to booths will normally be switched off at source, immediately after the exhibition closed each day. DAMAGE TO FIXTURE AND PREMISES No signs, banners or other decorations may be nailed, glued or fastened to any surface such as ceilings, floors, columns, walls etc. Should any Exhibitor need any fixture (other than by approved double-sided tape) to the walls of the stand, please contact the Organiser for assistance. No person under any circumstances shall cut into or through any floor covering or wall nor alter any stand service structure except when authorised in writing by the Organiser. DANGEROUS MATERIALS / SAFETY All Exhibitors shall ensure that no materials, which could cause any risk or danger to anyone, are used in any exhibit. The following are not allowed in the hall:- a) Naked lights and lamps, or temporary gas b) Explosives, petrol, dangerous gases or highly inflammable substances c) Radioactive materials d) Arms, guns, swords, ammunition and other goods of dangerous nature, and e) Goods prohibited by the Laws of Malaysia SECURITY Exhibitors and their staff will not be allowed in the exhibition hall after the show hours. If your displays are very valuable or sensitive and you wish to hire security personnel to attend to your stand exclusively during off show house, please contact the Organiser for security services. All personnel in the exhibition hall must wear identification badges at all times. Exhibitor Passes and Temporary Work Passes are available from the Organiser s office on site. For security and safety reasons, exhibit movement in or out of the hall during show hours is not permitted. The Organiser will provide the necessary security services at the Exhibition area during the Exhibition hours but these security guards duties will not include specific attention to individual stands. Exhibitors must have an attendant in charge of exhibits each day during the hours that Exhibition is open. The Organiser will not be responsible for any loss or damage to the property of the Exhibitors and staff. THE KUALA LUMPUR CONVENTON CENTRE GENERAL RULES AND REGULATIONS All Exhibitors are bound by the following conditions as laid down by the hall management of The Kuala Lumpur Convention Centre. Exhibitions shall not bring any rodent, pest or vermin into the exhibition hall and shall not, without the written consent of the hall landlords, bring livestock or animals into the hall unless they are connected with the purpose of the exhibition. 13

14 The hall landlords have the right to refuse entry to the facilities of any person whose presence is, in the reasonable opinion of the hall landlords, undesirable Fire Regulation (Drapes) Material used for lining, drapes or overhead structure or as part of the theme or display to the public must be rendered non-flammable as per BOMBA requirement. The use of flammable materials is strictly prohibited unless treated with fire retardant 24.2 Smoking Policy Kuala Lumpur Centre is a non smoking venue 24.3 Food and Beverage Policy No outside food and beverage may be brought into the Star Property and served on stand without prior approval from the Kuala Lumpur Convention Centre. The Centre reserves the right to remove any food and not authorized by the Centre 24.4 Extension Cords The use of multiple socket outlets is strictly prohibited to avoid any overloading as this may lead to a trip in the incoming power supply and cause incontinence to other exhibitors 24.5 Animals Live animals are not permitted in the Venue 24.6 Distribution of Brochures The distribution of printed matter and circulation of advertising materials is permitted only at the stand space itself Aisle/Gangways Under no circumstance can any exhibits display be allowed to encroach into the aisle/gangways. To cross-check the stand design plan against the exhibition floor plan Please refer to the term "designated zone" which are potentially low ceiling areas within the Centre's premises. Hence the need to comply with the "designated zone" build height restriction. All temporary structure builds for exhibitions or events must possess adequate strength and stability and functioning during construction and throughout the duration of the event. The designs of a temporary structure are to be constructed in a manner that poses no danger to public, employee or contractor safety at any time. In short, they are not a potential hazard to anyone in the vicinity. It is the responsibility of the contractor to ensure all regulations, policies and deadlines outlined in the Contractor s Regulations during The Star Property Fair 2014 are observed carefully and performed by the Contractor involved in Exhibition. All contractors and their employees are strictly prohibited from using the guest s toilet facilities or loitering at the lobby and guests area. 10. All contractors must wear a pass supplied by the Event Organiser or the Official Exhibition Contractor all the times when entering the Centre. 11. All contractors must ensure the removal of all debris, rubbish and packing materials from the premises. 12. All contractors and exhibitors must ensure that all chemicals including paint are handled with care to prevent any spillage. Please also ensure the following: a. All chemical containers are securely closed when not in use, especially during loading and unloading. b. All chemical containers must be placed on a containment tray or secondary container. c. All chemicals must be stored in a stable area, especially during build-up and move-in activities. 13. Disposal of hazardous wastes and/or its containers (paint, oil, cleaning agents, solvents, etc.) must be done in a safe and environmentally friendly manner. The Centre provides facilities to safely dispose of water-based paint at the Paint Room located at Loading Dock 2 and Loading Dock 4. Please note that no chemical waste is allowed to be disposed of via the Centre s drainage system, sanitary facilities or floor trenches. 14. Activities, which generate dust such as welding, sanding sawing are strictly prohibited. Stand structure shall pre-fabricated off site and no major painting is permitted. 15. Proper scaffolding, including ladders and work platforms with adequate personal protective equipment (i.e, safety helmet; harness), must be used for any construction activities above 3m in height within the venue and must comply with the relevant safety and health regulations. 16. Unruly or unacceptable behaviour and violent acts are strictly prohibited. People acting without due care for others or not following directions of Security personnel may be evicted from site. 17. Any person caught committing unsafe work practises and or non-compliance activities will be prohibited from working in Kuala Lumpur Convention Centre. 18. The Centre s Security Department deals with all reported incidents. Any incidents occur during the build and tear down activity, the contractors should report to the Centre s Security Services which located at the Concourse Level. 19. Safety height clearance at loading dock and Maximum Height limit at the link Hall 3 service road is 4m. Safety goal posts of 4 metres in height are installed at the entrance and exit point of link Hall 3 service road. Only vehicles below 20 footer and with loading 3.5m and below in height are allowed to enter and/or exit through the safety goal posts to prevent possible damage to the ceiling. No excessive or major carpentry works shall be carried out within the Exhibition Halls. All construction works for stands, etc. must be fully completed during the build-up period. Any custom design stand with a raise up platform, each corner that exposed to visitors shall make it round. In the event of using fabric as part of the stand design, kindly provide the certificate of fire retardant as a proof on-site, if any. No blockage to Entrance/Exit Doors/Fire Hose Reel/Fire Extinguisher - No materials/ products are allowed to be put at doorway during set up or tear down as part of clearance for emergency exit route. All lighting connection work must be done by the Official Electrical Contractor. 49 EXHOD001 Appendix E EMERGENCY AND EVACUATION PROCEDURES The Kuala Lumpur Convention Centre has an Emergency Evacuation Plan to enable the successful evacuation of staff, exhibitors and visitors in the case of a fire or other emergencies. All Kuala Lumpur Convention Centre staff will assist in the evacuation if the need arises. Event Organisers, Contractors and Exhibitors and their employees must be familiar with the emergency exits and it is crucial that all occupants of the Centre must be aware of the Kuala Lumpur Convention Centre Emergency Procedures Plans. 53 EXHOD001 Appendix G VEHICLE HOLDING AREA The Kuala Lumpur Convention Centre vehicle holding area is located at No.6 Jalan Stonor, open space car park, the lot is 300m from the Convention Centre in order to facilitate move-in and move-out during exhibition at the Kuala Lumpur Convention Centre/ Vehicle Permit for Lorries / Light Goods Vehicle Vehicle permit will be issued to each exhibitor for entering the loading docks of the Kuala Lumpur Convention Centre on the move-in and move-out by the Organiser. The permit must be displayed on the windscreen to facilitate inspection and is only valid at the specified dates and times indicated on the permit. Move-in/out Procedures:- Control point will be set up at the check-point of the Kuala Lumpur Convention Centre, only the vehicle with the a) Vehicle Permit pre-issued by the Organiser AND b) Trip Pass issued at the Vehicle Holding Area by the Traffic Marshal 1. The vehicle holding area is open one hour prior to the pre-scheduled move-in/out time until all the move-in/out activities finished. 2. Before proceeding to the Kuala Lumpur Convention Centre loading dock, all vehicles MUST first report to the Vehicle Holding Area. (Refer to Appendix G Map Access to Vehicle Holding Area) 3. Upon arriving at the Vehicle Holding Area, the drivers MUST first present the Vehicle Permit issued by organiser, queue up and wait for further instruction given from the traffic marshal of the Kuala Lumpur Convention Centre. The waiting time at the vehicle holding area may vary and would depend on the total number of vehicles, move-out speed and the prevailing traffic condition. 4. A Trip Pass will be issued to the drivers during build-up day(s) at the Vehicle Holding Area by the Traffic Marshall. The driver must then proceeds to Kuala Lumpur Convention Centre Loading docks with a) Vehicle permit b) Trip pass issued at the Vehicle Holding Area 5.
