1 GSS Research Award 2019 Guidelines The Graduate Student Senate Research Award is a cmpetitive award t supprt research related expenses fr Kent State University graduate students. Eligibility Graduate students frm departments that are in gd standing with the GSS (see bylaws) are eligible t apply fr the Research Award. Students are eligible t receive ne Research Award per academic year. A single prject cannt be cncurrently funded by multiple GSS awards. Students are eligible t receive ne award per prject per academic year. Funding Infrmatin The Research Award is fr up t $2000 f reimbursed research expenses. The exact amunt f the award will be determined by the Research Award Cmmittee. Research is bradly defined as academic activities carried ut by graduate students. Examples f research related expenses include, but are nt limited t the fllwing: cpying csts, data cllectin equipment, data analysis sftware, raw materials, PPE, IRB-apprved participant incentives, per diems, and cnsumable items. The Research Award may be applied t htel rms, parking, tlls, and similar expenses assciated with research travel The Research Award is unable t fund rental car expenses. The award can fund prject related training, including wrkshps. The award will nt cver cnference related travel. As a rule f thumb, the Research Award funds what ges n a pster, but nt the pster itself. Funding Mechanism Research Award funds are used t reimburse apprved expenses. Currently ur default prcedure is t reimburse the graduate student directly. In many cases it may be mre cnvenient t reimburse the student s advisr r department. Please cntact the GSS Administrative Chair r GSS Advcacy Chair fr further infrmatin. Timing Infrmatin The Research Award is ffered twice a year with applicatin deadlines in the Spring and Fall semesters.

2 The Research Award is time sensitive and yu may be ineligible t apply depending n when yur research activities take place r if yu d nt have necessary IRB r IACUC apprval befre yu apply. The Research Award can nly fund expenses that are accrued after, and within ne year f, Receiving the Research Award Acceptance Letter. This is dependent n the review prcess, which may require up t fur weeks after the award deadline. Due t these timing restrictins, it is advised that students apply fr the Research Award a semester befre they plan n cnducting their research. i.e. if research is planned fr the Summer r Fall, they shuld apply in the Spring. Requirements Nte: All required dcuments shuld be submitted using the nline frm. Cmplete applicatins must be submitted thrugh the nline frm befre the deadline. All applicatin materials must be prperly blinded. The nly identificatin that shuld appear n applicatin dcuments is the Banner ID number. The applicant s name and address shuld be remved, redacted r replaced with the Banner ID n all frms. Applicatin materials must be submitted in the requested frmat. Failure t d s will result in the applicatin being cnsidered incmplete. A detailed budget explaining anticipated csts. A gd budget will include the fllwing infrmatin: Detailed lists f majr expenses, with surces. Yu can expect the review cmmittee t check csts. Explanatins f any unusual expenses. Fr example, if a budget calls fr 80L f acetne, the review cmmittee wuld like t knw why. Realistic estimate f miscellaneus expenses. Budgets shuld avid false precisin Infrmatin regarding utside funding. Please nte what part(s) f a prject are able t be funded by an utside surce r if part f the prject is specifically nt able t be funded by yur advisr. Infrmatin regarding ptential partial funding. We strive t fully fund as many prjects as pssible, but ccasinally are nly able t ffer partial funding. If applicable, please include infrmatin n hw a prject culd be scaled back. A 2-4 page prpsal in PDF frmat (duble spaced, 12-pint Times New Rman fnt, 1 inch margins) that must include: Limited backgrund infrmatin. The review cmmittee is made f a diverse grup f graduate students wh are nt experts in yur field. Include enugh infrmatin fr the cmmittee t understand imprtant

3 nuns, verbs, and mtivating factrs relevant t yur wrk. A reference t a review article is welcme, but nt required. Hw and when yu intend t cmplete yur research prject. Describe the methds yu will use and why they are necessary. Als include a timeline with estimates f hw lng varius aspects f the prject will take. Hw the prject is imprtant t the student s persnal and prfessinal develpment. Why this award is critical t yur research. Current CV r Resume in PDF Frmat. Be sure t remve yur name and address. Including where it appears n authr lists, etc. Flashline Schedule fr Current Semester in PDF Frmat. Be sure t redact yur name frm the file yu uplad. If yur research entails wrking with human subjects r animals yu must have IRB r IACUC apprval befre applying. A frm the IRB r frm Research Cmpliance is sufficient dcumentatin. It must be blinded and attached t yur applicatin in PDF frmat. One (1) letter f recmmendatin submitted thrugh the nline frm n the research award website. Stipulatins Yur prpsal will be read by a grup f graduate students frm a variety f disciplines. It shuld be written fr a general audience with an emphasis n clarity ver frmality. The nline applicatin frm and letter f recmmendatin are the nly places where yur full name shuld appear. All ther upladed dcuments (including CV r resume) shuld nly cntain yur Banner ID number in the header f the dcument. Award recipients are required t present at the Graduate Research Sympsium. The Research Award is cmpetitive and a significant number f wrthy applicants will nt receive the award. The GSS regrets that we have but a finite amunt f funding t give fr graduate research. All technlgy and equipment purchased with this grant reverts t the funding bdy (GSS) r t the department f study at the end f the prject duratin. These stipulatins will be applied n a per-case basis at the discretin f the Research Award Cmmittee and Administrative Assistant Chair. Student incurred expenses within ne year f the date the award is given are cnsidered valid expenditures.

Hw and when will I knw if I was awarded funding? Applicatins will be sent t the review cmmittee as sn as pssible after the deadline, with decisins made abut tw weeks afterward. Recipients will be cntacted by with further infrmatin shrtly thereafter. 4. Hw d I apply fr reimbursement if the award is funded? Submit receipts accmpanied by a GSS Funding Frm alng with a cpy f yur RA award letter, t the GSS drpbx in the Kent Student Center. All riginal receipts must be submitted within ne year (365 days) frm the date n the award acceptance letter and n mre than 14 calendar days after the expense transpired. Fd receipts are nt necessary, and will be reimbursed at the federal per diem rate. What is the verall prcess f btaining IACUC apprval and hw lng des it take? The time will depend in part n the nature f the research. What d I d if I need t use dead tissue frm an animal r ld tissue frm an ld research prject that already had IACUC apprval?

5 If any experimental manipulatins are perfrmed n an animal fr the purpse f cllecting tissue, IACUC apprval is required. If smene is using r acquiring leftver dead tissue with prir IACUC apprval r dead tissue fund ff the street, they d nt need IACUC apprval, but they MUST ntify Research Cmpliance and cmplete the Tissue Usage/Acquisitin frm t btain an exemptin. This frm must be included in yur applicatin fr it tt be cnsidered cmplete. 7. The Research Award deadline is after my prpsed research and I will need t travel t my research lcatin at that time. Am I disqualified fr the Research Award if I have already paid fr my ticket? The Research Award can nly fund expenses that are incurred after yu receive the Research Award Apprval Letter. This typically ccurs a few weeks after the deadline, depending n the reviewing prcess. Therefre any expenses that are accrued befre yu have submitted the applicatin will nt be reimbursed.
