1 Cancellations This chapter explains how to create a cancellation in CollaborativeEdge for an existing policy. In CollaborativeEdge, you cancel a policy via the Prefill Cancellation - which is very similar to Prefill Endorsement processing. Cancellations: Creating The Prefill Cancellation Page, allows you to download the current image of a policy from the mainframe system in order to process a cancellation. To access Prefill Cancellation, click on Cancellation from the Main Menu. The Prefill Cancellation Page displays. Prefill Cancellation Page CollaborativeEdge User's Guide January

2 Prefill Cancellation Page: Directions 1. Select the Company Name from the drop-down list box. 2. Select the appropriate Office/Agent for the company from the drop-down list box. 3. Enter the complete policy number you wish to download. 4. Enter the transaction date for this cancellation. Enter in MM/DD/YY or MM/DD/YYYY format. 5. Enter the policy effective date of the policy you wish to download. Enter in MM/DD/YY or MM/DD/YYYY format. 6. Click on the Prefill from CGI Mercury System button. 7. Once you receive the message that Policy prefill is complete, select the Cancellation button to proceed to the Cancellation Page. The Cancellation Page displays. Prefill Cancellation Page: Notes All fields on this page are required in order to Prefill from Mercury. In general (for most companies), a cancellation transaction effective date cannot exceed 75 days from the current date. CollaborativeEdge User's Guide January

3 Backdating of Cancellation Transaction Dates is governed by selections made via the Agent Control Utilities by your company. Select the Browse_Mercury_Policy button to review a policy prior to cancellation. Cancellation Page Scroll down with the scroll bar at right in order to see the remaining fields of the page. 4 The Cancellation Page allows you to enter a cancellation into CollaborativeEdge for the prefilled policy, by selecting the method of cancellation (cancellation type), cancellation reason, and amount of cash paid against the policy. Cancellation Page: Directions 1. Enter the Cancellation Type from the drop down list (required). 2. Enter the Cancellation Reason Code from the drop down list (required). 3. Enter the Cash Applied amount (required, or prefill using the Prefill_Cash_Applied button for Direct Billed policies). 4. Once you have completed the cancellation activity click on the Cancellation_Checklist button to view a summary of your transaction. The Cancellation Checklist Page displays. Cancellation Page: Notes The Prefill_Cash_Applied button will only appear on the Cancellation page for Direct Billed policies. When the user selects this button, an inquiry will be made to the Billing system based on company/office/agent/policy number. The Cash Applied amount will then be prefilled to the Cancellation Page. The following table correlates Method of Cancellation to Cancellation Reason. Your company authorizes which cancel reasons are made available via the Agent Control Utilities. If Cancellation Reason is Non-payment Underwriting reason Competition/Voluntary Fraud by insured Failure to pay surcharge License or registration revoked Void cancellation Dissatisfaction Vehicle Sold Vehicle Transferred Financed account Cancel/Rewrite All other Method of Cancellation: CollaborativeEdge User's Guide January

5 Cancellation Checklist The Cancellation Checklist Page is a feature in CollaborativeEdge System which summarizes all the information specific to a particular cancellation and generates a checklist that reflects this. You can view the checklist online and/or print it out for further examination. This informational only list can help you track the status of a particular cancellation. The Cancellation Checklist Page is accessible while you are canceling a policy, when you press the Cancellation_Checklist button. Scroll down on the scroll bar at right, to see the remainder of the page. CollaborativeEdge User's Guide January

6 Cancellation Checklist Page: Directions 1. If you have completed your cancellation activity, click on Save_Cancellation to store the transaction. 2. You can then click on the Manage_Policies button to determine the final status of the cancellation transaction. Cancellation Checklist Page: Notes If you do not select another function, the transaction will be pended automatically. At this point if you have saved the transaction, the policy status is reflected on the Manage Policies Page, and may be submitted. See section on Managing Current Business later in this document. Cancellations: Saving As described above, when you finish entering all information for a cancellation, click on the Save_Cancellation button to go to the Save Cancellation page. The Save Cancellation Page displays. CollaborativeEdge User's Guide January

7 At this point the system will review the validity and logic of the information you entered. If the information is correct and logical, and the policy is ready to submit for processing, you can select the Submit Policy for Processing button from the Save Cancellation Page, or you can go to the Manage Policies Window and mark the policy for transmission (see section on Managing Current Business).
