1 NOTICE OF BID The City of Pigeon Forge is receiving bids on oil, grease and lubricants for the Fleet Maintenance Department. Specifications may be obtained from the Public Works Department in City Hall between the hours of 8:00 and 4:30 pm, Monday thru Friday. All bids must be in sealed envelope with bidders name and address on outside and marked Bid on Oil, Grease and Lubricants. Bids will be received until 2:00 p.m., May 21, 2014, at which time they will be opened and read aloud. The City reserves the right to reject any or all bids or to accept the bid most favorable to the City. This 5th day of May, Department of Public Works Pigeon Forge, Tennessee

2 OILS, GREASES LUBRICANTS AND MISCELLANEOUS SUPPLIES GENERAL PROVISIONS The City reserves the right to extend the contract for one (1) additional year. Bulk of deliveries shall be made to the Fleet Maintenance Facility at 2320 Garland Harmon Drive, Suite 402, Pigeon Forge, and Tennessee, Prices quoted shall not include Federal or State taxes, if any are applicable. The successful bidder shall furnish tax exemption forms, if required, with their invoices. The prices quoted are that for which the materials or services will be delivered F.O.B., Pigeon Forge, Tennessee. Any additions, deletions, or variations from the following specifications must be noted. Inspection of the materials or equipment will be made by an agent of the City of Pigeon Forge and if found defective or fails in any way to meet the terms of this agreement, it will be rejected. Rejected materials or equipment will be replaced at the expense of the bidder. All technical specifications must accompany bid. The City of Pigeon Forge reserves the right to purchase additional units or services under the same terms and conditions for a period of one (1) year. The City of Pigeon Forge reserves the right to extend this agreement for one (1) additional year after the completion of the first year agreement. The City of Pigeon Forge reserves the right to defer payment for thirty (30) days after delivery. The City of Pigeon Forge also reserves the right to reject any and/or all bids. The bidder agrees to indemnify the City of Pigeon Forge from any and all liability; loss or damage the City may suffer as a result of claims, demands, costs or judgments against it arising from any and all work under this agreement. The bidder agrees to notify the City, in writing, within thirty (30) days, by registered mail, at the City s address as stated in this agreement, of any claim against the bidder on the obligations indemnified against.

One (1) year delivery of the following supplies: 1,500 gallons 15W40 motor oil in bulk (Havoline) CD/CC/SJ specifications. 2,000 gallons 10W hydraulic oil in 55 gallon drums (Hyken 052 Kendall or equal) 500 gallons 5W30 oil CD/CC/SJ specifications, 55 gallon drums. 1,000 gallons 5W20 oil CD/CC/SJ specifications, bulk. 165 gallons gear lube 85W140 in 55 gallon drums. 150 tubes chassis grease moly base 1,000 gallons of universal antifreeze in 55 gallon drums 400# drum of chassis grease moly base 500 gallon transend synthetic transmission fluid All figures are estimates and are not to be considered as fixed amounts. 2. All deliveries will be made as ordered to the Pigeon Forge Fleet Maintenance Center on Garland Harmon Drive or other City Departments as necessary. 3. Orders will be taken by a sales representative on site every two (2) weeks. 4. Deliveries will be made on an on-call basis within 24 hours of notification. 5. Bidders shall furnish all pumps, bulk tanks, drums and dispensing equipment for products mentioned above.
