2 I Am Having Trouble Logging into the Priceline Extranet. Please make sure you are logging into Hotelportal.priceline.com. Extranet.Priceline.com is incorrect. If you are still having trouble, please click on forgot password. You will then be prompted to answer some security questions and an automated will be sent to them with their credentials. As a last resort, we can reset the password for you by ing hotelenet_help@priceline.com. How Can I Retrieve the Priceline Credit Card? By going to Reservation Management Billing Information, you can retrieve the Priceline credit card on a confirmed reservation by entering your hotel confirmation number. Please note, that once the credit card has been charged, you will not be able to retrieve this information. Who Can I Contact If I Have Questions Regarding Credit Card Issues? You will need to contact our Billing Team: Phone: (option 3) hotelbilling@priceline.com Where Can I Set or Override Availability Restrictions? There are two available ways to set daily close outs/length of stay/advance purchase restrictions in the Extranet: 1. On the Overview, select Set Restrictions. This option allows you to set the restrictions by date range, rate code, room type and day of week. 2. Choose the day from on the overview and double click to choose the restriction. This option is best for users that need to set/change a restriction for only a few days at a time. Please note that if you are connected to a channel manager, any ARI overrides directly in the Extranet will be overwritten when the channel manager re-syncs. If you try to override ARI, you will need to acknowledge the following message: How Will a Room Type Display on Priceline.com? Priceline will pull the Room Category, Bed Type, Room View and Smoking Preference defined on the room type in Extranet. Although the long description is optional, this will display ad a click-out for that particular room type. 2
3 Why Am I Unable to Edit Room Type Information? If you have already loaded rates and inventory on a room type, you will not be able to edit certain details of that room type. If you would like to update this particular information, you will need to de-activate that room class and create a new one. The Room View and Room Category are standard, however if your property should require unique categories, please contact hotelenet_help@priceline.com prior to building any room types in the Extranet. Where Can I Upload Property Level Content Such as Amenities and Pictures? If you are unsure of where this information is pulling from, please contact your Market Development Manager. If you are connected to Booking.com, we are most likely pulling the information from there. If that is the case, you can modify photos/amenities/description in their Extranet. What Does ARI Mean? Availability, Rates & Inventory. This is a common term for hotels connected to a channel manager. We expect to receive ARI from the channel manager when room codes & rate plan codes are mapped. When Loading Rates, Do I Input a NET Rate or SELL Rate? You are loading the NET rate onto the Priceline Extranet. Priceline will automatically apply a markup to the NET rate that is loaded in the Extranet. What is the Markup Priceline Applying to our NET Rate? You can find this information in the Priceline agreement. If you are unsure, you can reach out to your Market Development Manager. What Does Validate Rates Show Me in the Extranet? Validate Rates is great tool that will assist you in determining the NET and SELL rates for a specific rate code /room code combination. You can check any dates and specify occupants to ensure the information you have loaded will be calculated correctly. This tool currently only works for merchant, private sale & package rates. Can We Turn Off Low Inventory Alerts for an Extranet Property? Only properties connected to a channel manager will be excluded from receiving these notifications. All manual hotel s will receive low inventory alerts. A hotel can update the service s in the Extranet to where they would like these alerts to be sent. How Do I See All Rate Plan Codes For a Property in the Extranet? By default, we will only display active Rate Plan codes in the Extranet. When a Rate Plan Code expires it is considered in-active. To view in-active Rate Plan codes you can click on show all rate plans : 3
4 How Can We Troubleshoot ARI Discrepancies? If the rates you are pushing from your channel manager are incorrect or not what is reflected in the channel manager there are a few things you can verify: 1. Are you sending the NET rate from the channel manager? 2. Make sure you are sending all occupancy pricing. Verify if the rate shown on the Overview page is indeed the double occupancy rate. 3. Is margin configured correctly in the channel manager? To troubleshoot this further, the Extranet team would need the XML logs to verify what exactly the channel manager is sending us. This is the only way we could know for sure. You would need to request this information from the channel manager and forward to hotelenet_help@priceline.com. What Are These Rate Plans and Can They Be Modified? The following rate plan codes will already be built when you access the Inventory Management section in Extranet. These are recommendations on all of the different programs Priceline.com offers. If you have any questions on these rate plan codes, please consult with your Market Development Manager. You can edit and remove any you do not wish to use: Program Type Rate Plan Name Rate Plan Code Description Merchant Merchant Contracted Markup % applies Opaque Opaque1 Suggested 25% discount off BAR Opaque Opaque2 Suggested 30% discount off BAR Opaque Opaqueflex Flexible based on need Packages Vacationpackages Suggested 25% discount off BAR Private Sale Mobileexclusive Required 10% discount off Merchant NET Private Sale Tonightonly Required 15% discount off Merchant NET Is There a Way to Export Priceline Reservations? In the Find Reservation Section, you will be able to search for reservations by the Priceline Booking ID, your Hotel Property Confirmation number, Guest First Name, Guest Last Name and Check In/Out Date. Clicking on any of the column headers will allow you to sort the results. To export the search results to an excel format, click download. How Can I See Who Updated Availability, Rates & Inventory in the Extranet? From the Overview, you are able to view logs of what updates were made to the availability, rates & inventory by user date & time. Click anywhere on the Overview grid and you will be able to see who modified this information last. To dive a little deeper, you can click on Click to audit and this will give you a complete history of these updates and changes. You will be able to sort by Room Code, Rate Plan Code, Start/End Date & Start/End Mod Date. 4
5 What Can I Charge on the Priceline Virtual Credit Card? The unique credit card number can only be used for the reservation transaction to which it was assigned. Please only charge the net room & applicable governmental taxes to the unique credit card. A predetermined credit limit has been set for each unique credit card number based on the total amount (including applicable taxes) for the specific transaction. Any additional charges including incidentals (resort fees or parking charges) must be charged to the guest s credit card that you obtain at check in. Reservations that are improperly billed may result in chargebacks and will delay payment. What Is the Priceline Virtual Credit Card s CVV Code? 369 When Do I Charge the Priceline Virtual Credit Card? MERCHANT BOOKINGS: Please charge the unique credit card number for the full amount upon the guest s check in or check out or no earlier than 48 hours prior to check in. It is important to remember with Priceline Merchant (Travelweb), you may charge the full amount at once, charging and crediting deposits prior to charging the full amount will result in credit card declines. Please be advised that if you fail to charge a Travelweb credit card within 180 days after a guest s check-out, the card will be deactivated and you may not assert any further claim. If the cancellation occurs after you have charged the unique credit card number, please credit the assigned credit card for all charges net of any cancellation penalties. It is important that you refund the credit card that was assigned to the individual reservation being cancelled. If you have not yet charged the unique credit card, you may charge the assigned card the applicable cancellation penalty previously established with Travelweb upon cancellation notification. OPAQUE BOOKINGS: Please charge the Priceline unique credit card number for the full amount of room and tax at any time prior to check in and up to 180 days after check out. It is important to remember with Priceline, you may charge the full amount at once. Charging and crediting deposits prior to charging the full amount will result in credit card declines. Please be advised that if you fail to charge a Priceline credit card within 180 days after a guest s check-out, the card will be deactivated and you may not assert any further claim. Please note: It is not necessary to send invoices to Priceline regarding credit card charges. What Should I Do If the Priceline Virtual Credit Card is Declined? Please ensure you are charging the correct amount to the correct credit card number Please note: numerous attempts for an authorization may result in a credit card decline. Each authorization attempt will deduct from the credit card limit. If you attempt to charge an amount greater than specified, or charge unauthorized transactions, the unique credit card number will be declined. Please DO NOT charge the customer; remember they have pre-paid Priceline Merchant (Travelweb) for their Merchant reservation. Contact the Travelweb Hotel Partner Hotline with any questions.
