3 How to get to the Event Log There are two ways to reach the Event Log from the home page of the TRC: 1. Select the Event Log from Quick Clicks, or 2. Hover over the Plan Management tab and click on Event Log. 2 1 FOR PLAN SPONSOR USE ONLY. 3 RS

4 Event Log Main Screen Overview On the Main Screen of the Event log you will be able to: Track major events that occur within your contract, including errors. Sort, filter, and drill down to pin point important information. Use flexible printing options that enable you to print a document that lists all of the activity in the Event Log or just a specific event type. FOR PLAN SPONSOR USE ONLY. 4 RS

5 Using the Filter Options You can filter on any date up to two years prior. You may also filter by Event Type or Status. FOR PLAN SPONSOR USE ONLY. 5 RS

6 Event Types Overview Event Types represent information exchanged between MassMutual and the client. The Event Type drop-down filter will only display the types that occurred within the selected time period. Common event types include: Contribution File (Auto Contribution File): Contribution and loan amounts by plan, subscriber contribution source and payroll period. Demographic File: Demographic information for new or rehired employees as well as demographic changes for existing employees. Compensation File: Compensation data for each employee for the plan year. Salary Contribution Changes*: Participants who have enrolled in a plan, made contribution changes or stopped contributions. Loan Monitoring Report*: Loans currently delinquent or pending default; loans can also be suspended due to leave of absence. Loan Changes*: Participants who have initiated plan loans, re-amortized existing loans or paid loans in full. Closed Loans: Participants who have paid off their loan(s). Please see Event Details Screen Overview on page 8 to find out how to view details of each type. *See the Report Guide for instructions on how to access this report Please note: Some event types may not be applicable to your contract. 7 Event Log Statuses Statuses are assigned to events to allow a quick summation of what occurred with the event. Common event type statuses include: File Received: A file has been received and processing has not been completed. Processed: This event processed and action is either needed by MassMutual or the Plan Sponsor, depending on the event type. Contribution/Demographic/Comp files processed means you have successfully submitted your data files and MM will process the files. Closed loan and Salary Contribution Changes events mean that MM has processed these events for the plan sponsor to view. Please refer to the reports job aide for accessing these events. Processed with Errors: The event successfully processed, however a portion of the event contained errors. File Erred: The event has an error and nothing within the event processed. 8 Additional Event Log Columns The date column displays the date the event occurred. The event ID is a system generated number consisting of the date the event occurred followed by a sequentially assigned number (mmddyy-123). Eg The file column states whether an actual file was sent to MM for this event type. FOR PLAN SPONSOR USE ONLY. 8 RS

9 Event Details Screen Overview To view the details for a specific event: 1) Click on the box in the select column for that event type. 2) Then click on the Details button. FOR PLAN SPONSOR USE ONLY. 9 RS

10 What is on the Event Details Screen? The Event Details screen is a step-by-step presentation of all processes within an event, the date and time the process occurred, and its status. Example: Common processes occurring within a contribution event may include: File Received: File received at MassMutual Batches Created: Contribution allocation created DC Contribution: Contribution allocation submitted Notification: When you elect Push , a message is sent for selected processes such as file received, process completed and processed with errors. You can filter on any process to view the status and date/time a process occurred for the event ID. The event header shows the event ID and the date the event processed. 11 Download or Print the Event Detail Report You can download this report to your computer or print it for your records. A) Use the Download button to download the detail information into Notepad in a text format. B) Use the Print button to print the detail information in the same format that it appears on the screen. 12 Event Information Screen On the Event Details screen you can obtain additional information about the event or each individual process in the event. The Event Information screen provides data such as control totals and records erred. From the Event Details screen, click the i icon for either the entire file or the process. 13 Event Errors Getting to the Event Errors Screens There are two ways to view the Event Errors screen: 1) From the Event Log Screen: To view the errors for a specific event, click the box in the select column for that event, then click the View/Correct Errors button. 2) From the Event Details Screen: Click the red x for either the entire file or the process. 14 Overview of the Event Errors Screen The Event Errors screen displays errors that occur at the time a demographic, compensation, or contribution file processes. You can isolate errors by filtering on a type or status to easily pinpoint any action needed to process the event successfully. There is also a search field available to help you find a specific SSN or name by entering that value. The errors are listed first by status (correctable, pending, etc.) then by level (error, warning, etc.) An error status will change from Correctable Error to New File Received if more recent information is received for a participant. 15 Column Descriptions: A) Error Status: Shows status of each error received on a file. Error Statuses include: Correctable Error (provides hyperlink to Error Edit Screen). Pending Submit (provides hyperlink to Error Edit Screen). Error Corrected New File Received Not Correctable Not Applicable B) Error Level: Determines the severity of each error received. Error: Record/row did not load/process. Action required. Warning: Record/row may not have processed. Review or action required. Informational: Record/row processed but there was an issue with information provided. Review needed. C) Error Type: Categorizes each error based on information that is missing or invalid. 16 Error Messages The error messages show which records within the received file have erred. The information consists of any errors resulting from inconsistent, missing, or incorrect data fields. The errors being reported should be resolved before the next payroll cycle begins to avoid conflicting errors on the next set of files. Therefore, it is important to retrieve the error messages as soon as they become available. Examples of common Contribution errors that may be encountered on a file are: Error Message Control Totals do not match, stopping. Control=<<1>>OnFile=<<2>>. Unable to find person on file. <Category> <Source> <Amt> Unable to determine correct subscriber from file. Resolution The control totals for the contribution file do not match the actual file totals. Contact Account Manager for resolution. Review Social Security Number field for validity and correct on next file transmission, if necessary. Review Plan specific fields and resend file, or contact Account Manager. Examples of common Demographic errors that may be encountered on a file are: Error Message The hire date on file <mm/dd/yyyy> does not match the hire date on record <mm/dd/yyyy>. Any hire date changes must be submitted on an individual basis. Unable to process status change. Future history records exist for SSN. This error prevents you from correcting any errors for this employee. Resolution Review Hire Date. Correct using the error correction utility and submit record, or contact Account Manager if necessary. Review Status Code and Event. Correct on next file transmission, or contact Account Manager if necessary. FOR PLAN SPONSOR USE ONLY. 16 RS

17 Examples of common Compensation errors that may be encountered on a file are: Error Message Resolution Payroll Period Start Date <mm/dd/yyyy> is either null or invalid. Payroll Period End Date <mm/dd/yyyy> is either null or invalid. Pay (Effective) Date <mm/dd/yyyy> is either null or invalid. An invalid date format or missing date has been detected. 18 Download or Print Event Error Reports You can download this report to your computer or print it for your records. A) Use the Download button to download the detail information into Notepad in a text format. Your format options are text (.txt) or Excel (.xls). 19 Correcting Errors A) To view all Social Security Numbers (SSNs) that have erred in this file: Click on the Correct Errors button which will bring you to the Error Listing screen. B) To make a correction for a specific SSN: Click on the Correctable Errors link which will bring you to the Error Listing screen. A B FOR PLAN SPONSOR USE ONLY. 19 RS

20 Correctable Error Edit Screen The Error Edit screen displays all of the correctable errors for the selected SSN. Follow the instructions in the alert box to correct each error. Then click submit to make the changes. Note: If the error status shows Not Correctable, reference common errors in this document or contact your account manager. FOR PLAN SPONSOR USE ONLY. 20 RS

21 Error Listing Screen The Error Listing screen shows only the SSNs that had correctable errors on a file. A) Click on the Name or SSN column header to sort by ascending or descending order. B) Click on the SSN hyperlink to view the Error Edit Screen where all errors for that SSN can be corrected. This section shows how many correctable records were on the file. Use the buttons to: Go Back to the Event Errors Screen. Reset the Error List to the initial display settings. Search for a specific name or SSN record. A B FOR PLAN SPONSOR USE ONLY. 21 RS
