6 NO COST TRACING DVLA have announced that, in certain circumstances, address tracing is to be allowed when a Parking Charge Notice is passed to debt recovery. As a result of this announcement we are pleased to offer you a No cost address trace on all accounts that you pass to us for debt recovery, where the address given by the DVLA has not yet been confirmed as being correct. DRP has extensive experience of tracing debtors. We have successfully located 1000 s of individuals who have attempted to conceal their address to avoid making payment. Tracing is normally charged at up to 3.50 per trace but we are pleased to offer this service for free. All suitable cases you pass to us for debt recovery will first undergo a rigorous trace to ensure that we are writing to the correct address. This will have several advantages including: Improved collection rates Ensures any court papers are issued to the correct address Avoids contacting deceased motorists Follows industry best practice To comply with DVLA requirements we are only allowed to trace where the debtor/keeper has not previously been accurately identified (this could have happened where you have received an appeal or contact from the driver). You should ensure that you have systems in place to comply with this. We can advise you of the necessary requirements. This depends greatly on at what stage we get involved in the collections process. If you wish we can get involved as soon as you have issued the PCN. Put our details on the PCN and we will deal with all appeals made (including the Independent Appeals Service). Or if you prefer we could offer you a back office collections service. You can deal with the PCN for the first 56 days and then pass it to us if it remains unpaid. What % will you collect for me? Again this depends many variables such as, how old the PCN is when we become involved, site location, quality of evidence(photos), demographics and nature of the motorist, accuracy of the DVLA data, etc...etc... Because of this our collection success varies from 15% - 67%. When will I get paid? We remit funds to our clients during the 1st full week of each calendar month Will I get reports? A full report is sent with each remit and you can also view all of your accounts online at any time. Can you help me with DVLA? Yes, we have a KADOE link to the DVLA. Please ask us for pricing details. I am looking for a system to issue my PCN s electronically, can you help? Yes. Debt Recovery Plus has its own Android application called Ticket Manager. Please ask us for further details.

8 RECOVERY OPTIONS We are able to offer you a range of services and options to ensure that the maximum number of PCN s are collected on your behalf. These options include: DVLA keeper request. Where required we can submit the relevant online or manual requests for keeper details to DVLA on your behalf. Notice to Keeper. Where you require us to conduct your notice to keeper work we will forward the case details to DVLA on the day of receipt to request keeper details. On receipt of this information we will send a NTK to the keeper requesting payment of the due amount. Debt recovery. Our flexible recovery process can adapt to your companies requirements. Offering variable letter strategies as well as adaptable payment options ensuring your debtors have no excuses to avoid payment. Appeals. We have a fully trained team of appeals staff who will professionally handle appeals whether received at the PCN, NTK or Debt Recovery stage in the collection process. All appeals and disputes are dealt with individually and are replied to with a bespoke letter. Tracing. If our letters are returned claiming that the driver has moved away, we counter this with a computerised database search which checks the residency status of the individual and gives us the necessary information to re-contact the debtor at either a new or the original address. Telephone follow up. Our fully trained collection staff can provide an outgoing telephone follow up service to those debtors who do not respond to our letters. SMS messages. Legal solutions. We can offer you fixed price litigation for those who still refuse to pay. This can include a Solicitors Reminder Letter and a Letter Before Action. Tracing. Within DVLA guidelines we offer a free computerised database search which checks the residency status of the motorist and gives us the necessary information to re-contact the debtor at either a new or the original address.

9 SAMPLE RECOVERY PROCESS Parking Services 9 DAY 1 Once a case has been through our tracing process, letter 1 is issued to inform the defaulter that the account is now being handled by DRPL and that they are required to contact us to make payment arrangements. DAY 16 Letter 2 The contents advise that we are now considering legal action. If the vehicle keeper has failed to make contact with DRPL we will attempt to obtain their phone number by utilising our powerful tracing software. Once the number has been obtained one of our telephone negotiators will attempt to make contact in order to obtain a payment. Debtor pays online or by telephone DAY 31 Letter 3 We give the debtor a chance to pay before recommending further action. DAY 46 Letter 4 Further reminder letter sent outlining possible legal action. Clients money sent 1st full week of each month DAY 61 Letter 5 Final letter before recommendation for legal action DAY 76 Letter 6 Sent to solicitors reminder letter via a nominated solicitor. This strategy can be adapted to suit your company s individual requirements.

We can assist with obtaining keeper details electronically or manually from the DVLA on your behalf and have a legal team that can offer advice on all matters relating to any uncollected cases. We can advise you on signage and ticket issues if required, plus we offer collection at any stage, from on-screen to back end on a debt recovery basis.
