3 The fundra ising checklist Before your event I ve decide d what I want to do There are lots of ideas at I ve read this docum ent and understand my responsibilities When fundraising on behalf of R U OK? it s important to understand what is required around things like use of the R U OK? logo, managing money and record keeping. I ve registered my fundraising event at Registering your fundraising event will help R U OK? provide support if you need it. After your event I ve thanked everyone and sent funds and any paperw ork to R U OK? Funds should be provided to R U OK? within two weeks after the completion of your fundraiser. There is also receipt template available on request for people who require receipts for tax deduction purposes. 3"
4 W hy is your support s o vita l? Suicide is the leading cause of death for Australians under the ag e of 44 years with more than 2,300 Aust ralians taking their own life every year. (ABS 2012) For every Australian who takes their life, it s estimated that another 30 people attempt to take their own life. R U OK? aims to build the awareness and capacity of all Australians to have regular, meaningful conversations with family, friends and community members to prevent suicide. R U OK?Day was co-founded by advertising executive, the late Gavin Larkin ( ) and television producer Janina Nearn. The inspiration came from the death of Gavin's father Barry Larkin ( ); a fascinating and successful business management consultant who sadly took his own life. Starting conversations to change lives was the founding mission of R U OK? in It was hoped that by promoting the importance of open, honest communication and hosting R U OK?Day a national day to promote regular connection that all people would ultimately be better supported and less vulnerable to a crisis or suicide death. Since its launch in 2009, R U OK?Day has become a household name; known by an estimated 65% of Australians in 2012, with more than half of those, or 1 in 3 people getting involved in the national campaign on the second Thursday of September. With your help in raising additional funds, R U OK? will have more capacity to reach more Australians and help inspire regular, meaningful conversations every day of the year, and ultimately change, and even save lives. 5 Ra ise funds f o r R U OK? Everything you need to know about raising funds for R U OK? or running y o ur o wn f undra ising event. There are plenty of fun and engaging ways to raise funds to support the work of R U OK? Funds raised will be used to help encourage regular meaningful conversations between family, friends and community members to prevent suicide. Consider ways to fundraise that best suits you. Whether in your workplace, school or community group - there are lots of ideas to raise funds on or around R U OK?Day. Find one that suits you or come up with your own idea Here are some simple ideas to get you started: Hold an R U OK? m o rning tea, lunch o r afternoon tea Tasty food is a great way to get your workmates together to promote the importance of staying connected and looking out for one another. R U OK? at Work resources are available to download at You can raise funds by selling tickets or collecting donations on the day. Hold an R U OK? Trivia Com petitio n Trivia nights are great fun and bring the community together. As well as a terrific social event, there is a captive audience to explain the importance of R U OK?Day and how connection and open, honest conversations are good for our wellbeing. Print and put up R U OK? posters and print out the downloadable resources for each table. You can raise funds by selling tickets and collecting donations at the event. Have a C a sual Clothes Day Where your workplace allows it, organise to dress casually on or around R U OK?Day. Be sure to build in some break-out time to communicate the importance of R U OK?Day. 6 Hold a raffle Raffles are simple to organise and everyone loves the chance to win something. Ask a local business or a supplier to donate a prize or see if the boss will donate a free day off. You could even ask everyone in the office to bring in something they don t need or want (perhaps an unwanted gift). Before you draw the raffle, draw attention to the importance of R U OK?Day. Come up with your own id ea If these ideas don t suit you, come up with your own idea 6"
7 Ge tting started The following guidelines are provided to help ensure that you can fundraise successfully, and also to make sure it meets relevant fundraising legislation. Please read these carefully and make sure you are able to meet the requirements before you commit. Fundra ising for R U OK? These are most relevant for individuals, schools, workplaces and community groups who are planning to organise an event to raise funds on behalf of R U OK? A Fundraiser must agree to these terms and conditions by notifying R U OK? of the event and receiving the OK to fundraise from R U OK? Getting the OK to Fundraise Before being given the OK to fundraise, organisers should fill in a Fundraising Proposal form online. You can link to the form at This will take about 5 minutes and will ask you for: 1. Event organisers name, organisation name, address, contact number(s) and ; 2. Event name 3. Date and timeframe of fundraising event 4. A brief description of how you plan to raise funds for R U OK?; 5. Acknowledgement that you have read and understand R U OK s terms and conditions for fundraising R U OK? will respond to all registrations within 2-3 working days and issue the OK to provided that it satisfies the following: 1. the fundraising activity supports the aims and values of R U OK?; and 2. the fundraising activity is not considered high risk. Right to withdraw fund raising authority R U OK? will reserve the right to decline or withdraw approval of the fundraising event at any time. 7
8 Orga nising the Event Respo nsibility of t he fundra iser The planning and implementation of an approved fundraising is the sole responsibility of the Fundraiser. The event must be conducted in the name of the Fundraiser with R U OK? identified as the charity beneficiary. The Fundraiser are not employees or agents of R U OK? nor are they acting in any other representative capacity. R U OK? s role in fundraising events R U OK? is not able to take a coordination role in organising a fundraising event, nor can its staff and officers assist in sourcing prizes, venues, organising publicity, or providing goods, services or financial assistance to the Fundraiser in the running of the event. Insurance Your event will not be covered by R U OK? s public liability insurance. Depending on the nature of your event, R U OK? may advise that you consider sourcing your own insurance, or to hold your fundraising event at a location that is already covered by public liability insurance. In all circumstances, ensuring adequate insurance is the responsibility of the event organiser. If R U OK? ascertains that a proposed fundraising event is dangerous, we may request proof that public liability insurance cover is in place. Use of R U OK? b rand (name and logo ) It s important to remember that the fundraising event is not an R U OK? event, but an event run by your organisation to raise money for R U OK? Use of R U OK s name and logo will only be allowed under the following conditions: strictly no changes to colour, design, or reproducing the logo out of proportion The relationship between the event and R U OK? as the recipient of funds must be clearly stated. For example: ) Raising funds for R U OK?; or ) All money raised to support R U OK? 8
9 Managing the finances (donations, expense s, re ce ipts) When organising any fundraising event, it s important that fundraisers keep accurate financial records. Responsibility for this rests entirely with the Fundraiser and needs to comply with the applicable fundraising legislation in your State or Territory. Fundraising legislation is in place to protect the interests of the public. Therefore it is important that fundraisers: 1. keep accurate financial records and copies of receipts and invoices. Ideally, fundraisers should provide R U OK? with a basic income and expenditure report. This will also help if a fundraiser is asked to present the outcome to event participants. 2. If a fundraising event requires the establishment of a separate bank account, the account name must include R U OK? All funds should be banked into this account and then closed once the event is completed. R U OK? should be notified if an account is being established. It is likely that the bank will want to view the OK to Fundraise Authority 3. All expenses are the responsibility of the fundraiser but can be deducted from the proceeds of the event. Please keep records (including receipts) 4. A receipt template can be provided on request once your event is approved. This can only be used for approved fundraising events with receipts to be issued by R U OK? at the end of the event. Tax-deductible receipts can only be issued to people donating money of $2 or more, where the donor has received nothing in return. Receipts cannot be issued for the following transactions: ) Raffle tickets ) Donation of goods and services ) Auction purchases In some cases, a percentage of a ticket price is claimable, for example when guests pay to attend a dinner or a lunch. Event organisers will need to seek independent advice if a portion is claimable via the Australian Taxation Office. 9
10 5. R U OK? can only issue receipts up to the value of the net funds retained at the conclusion of the event, provided that appropriate financial records are provided. Legal implica tions Fundraisers are required to must comply with all necessary State or Territory Legislation for fundraising. Legislations differs in each State or Territory and should be investigated and understood by the fundraiser. Things to look out for include: Licenses/Permits: Some activities may require different licenses (eg. for raffles, food preparation or alcohol sale/consumption). Permits may be required for public events, as may public liability insurance. It is the responsibility of the Fundraiser to ensure the event complies. Managing Risk: As a Fundraiser, it s important to provide a safe environment, free from hazards that may cause injury or illness. It is recommended that a Fundraiser undertakes a risk assessment of your event. A good place to start would be to talk to the person or department responsible for Occupational Health and Safety in your organization. The Fundraiser verifies that they are in proper physical/mental condition to organise and run the fundraising event and acknowledge that they are aware of the risks involved and voluntarily agree to assume those risks.
