7 A GUIDE TO CHAPTER VISITS Purpose: Every chapter/colony will receive a chapter visit from the National Office at least once an academic year. This visit is done with the purpose of assisting the chapter members and the chapter. The visitor is there to assist, not scold or point out failures. It is a great opportunity to work on the goals as a chapter and work on fixing internal issues. Before the visit: Be sure to prepare the living accommodations (no couches or futons) - if you have a question about what reasonable accommodations are for your campus, contact the visitor PRIOR to arrival. Don't forget about a parking pass and internet access. Your campus Greek Advisor should be able to help you with these. How to prepare: Inform the chapter about the upcoming visit! Help them understand the purpose of the visit and what they can expect that day. Be sure to schedule all of the required meetings for the visitor and help the officers/chairmen prepare for those meetings. During the visit: The visitor is most likely not a native of your campus, help them feel comfortable! Help them navigate campus and understand your chapter. Be on time for meetings! Be open and honest about your chapter - the visitor is not visiting to "police" your chapter, but to help and be a resource. The chapter visits are your time to meet face to face with a National Office staff member or volunteer. Be respectful and positively represent your chapter! After the visit: Within a few days of the visit, the chapter officers and advisors will receive a visit report documenting the meetings the visitor had and an assessment of the chapter. The officers should share this information with the chapter and work to implement the goals/ideas discussed. There is a visit evaluation that the executive board should complete following the visit and send that to the National Office. 8 PHI MU DELTA FRATERNITY CONCLAVE CHANGES The following changes were made to the National Constitution and Bylaws: COLLEGIATE ADVISORY COMMITTEE: The Collegiate Advisory Committee shall consist of up to eight collegiate members in good standing. Two members shall be elected from each active District and two members will be elected at-large from all active districts. NATIONAL CODE OF CONDUCT: All members should abide by and uphold the expectations outlined in the Code of Conduct provided by the National Fraternity and the utilize the National Conduct Board process for chapters/colony. COLLEGIATE OFFICER EXPECTATIONS: Only men in good standing, meaning those collegiate members who hold no outstanding debt to the National Fraternity and/or the local organization and those who maintain a cumulative grade point average of 2.5 or higher, may hold office. ACCREDITATION & STANDARDS PROGRAM: Attached is the new rubric that is for the fall 2018 semester.
9 Insurance Premium Tier I 15% Decrease Averages GOLD Accreditation status and no disciplinary record. Tier II 5% Decrease Averages SILVER Accreditation status and no disciplinary record. Tier III BASE RATE Averages BRONZE Accreditation status and no disciplinary record. Tier IV 15% Increase Unaccredited or minor disciplinary actions that do not result in probation status. Tier V 25% Increase Disciplinary actions that require probation level status.
10 READ THIS IMPORTANT THINGS YOU NEED TO KNOW/DO MANDATORY VIRTUAL OFFICERS' MEETING August 20 at 8pm *This meeting will review all information officers will need to know for the semester. It will be virtual via the link provided. Excuses should be submitted to the National Office. Chapter advisors are also welcome to attend! OFFICERS' ROSTER September 1 *This form will provide contact information for all officers in the fall semester.* MEMBERSHIP ROSTER September 7 Submitted through your Google Drive, a draft is supplied in each folder. Follow all directions, do not delete members without permission. RECRUITMENT GOALS WORKSHEET September 7 This report is to help chapters understand their needs for recruitment. 11 RECRUITMENT GOALS If your chapter is returning with less than 25 members, you determined your recruitment goal for this fall in the spring semester. If you are returning above 25, your goal is determined by previous fall semesters and your reported graduation numbers. ChapterBuilder usage is now included in the Standards and Accreditation Program, this number will determine active usage along with PNM data and rankings.
