1 Payruns Pay Employees The Payrun screen displays current and future payruns which can be accessed in order to process payroll. Follow the steps in order to select a payrun: Sign in from and go to your Pay Employees menu. If you have access to multiple client numbers, verify that the appropriate client is selected. The appropriate payruns for the selected client will appear. You filter the results by Payroll, Paygroup, or Date Range. Existing overdue payruns will also display on this page. You must process, delete, or set to a future scheduled process date before you can process any further payruns. Select the appropriate payrun, and click Review. This will take you to a screen where you may see an overview of the details for this payrun such as net cash and tax liabilities. Note: Currently only salary payruns may be selected from this page. Resetting a Payrun Occasionally, users may wish to reset a payrun (for example, if data was improperly keyed). Follow these steps below to reset a payrun: Locate the payrun which should be reset. 2 Users must review all data before transmitting your payrun to Paycor. Users will have the opportunity to view Net Cash Totals, Employee Tax Withholding Totals, Employer Tax Liability Totals, Paygroup Totals, and the Prepost Payroll Journal. Users will also have the option of Adding a Change Request to a payroll that they are transmitting to Paycor. Follow these steps to review a payrun: Step 1: Review Net Cash Totals. Step 2: Review Employee Tax Withholding Totals. Step 3: Review Employer Tax Liability Totals. Step 4: Review Paygroup Totals. Step 5: Review Prepost Payroll Journal. Step 6: Review additional prepost reports. Step 7: Add a Change Request (if desired). Note: To return to the payrun screen, use the back button in your internet toolbar. Page 2 Copyright Paycor Inc. 3 Step 1: Review Net Cash Totals. Follow these steps to review the detail behind the total Net Cash Totals. On the Review screen, scroll down to see the Net Cash chart. Details of the Net Cash Totals will display below. Line: Description Net Cash Partial Direct Deposit Net Direct Deposit Manual Checks Payables Total of all net checks and direct deposits from the Prepost Payroll Journal. Total of all partial direct deposits. Total of all net direct deposits. Total of all manual checks being transmitted with this payrun (this would include data for an employee who had received a manual check printed on-site at the business. This information is recorded in Perform in order to preserve accurate YTD (Year-To-Date) totals. Total of all checks issued to persons/agencies who are not employees. 4 Step 2: Review Employee Tax Withholding Totals. Follow these steps to review Employee Tax Withholding Totals: On the Review screen, scroll down to see the Employee Tax Liability chart. Details of the Employee Tax Withholding Totals will display below. Line: Social Security - Employee Medicare - Employee Federal Income Tax State Withholding Local Withholding Description Total of all Social Security taxes withheld from employee Total of all Medicare taxes withheld from employee Total of all Federal Income Tax withheld from employee Total of all State taxes withheld from employee Total of all Local taxes withheld from employee Page 4 Copyright Paycor Inc. 5 Step 3: Review Employer Tax Liability Totals. Follow these steps to review the total Employer Tax Liability details. On the Review screen, scroll down to see the Employer Tax Liability chart. Details of the Employer Tax Liability Totals will appear to the right of the screen. Line: Social Security - Employer Medicare - Employee Cobra Premium Assistance Federal Unemployment State Unemployment Worker s Compensation Local Liability Description Total of the Social Security tax amount that the employer is responsible for paying on behalf of their employees. Total of the Medicare tax amount that the employer is responsible for paying on behalf of their employees. Will only show if the value is greater than zero. Shows the total that an employer must pay into the Federal Unemployment system. Shows the total that an employer must pay into a State Unemployment system. 6 Step 4: Review Paygroup Totals Follow these steps to review the breakdown of earnings and deductions: On the Review screen, scroll down to see the Paygroup Totals. Review all Earnings, broken out by Code and Description. Review all Deductions, broken out by Code and Description. 2 Days Required for Direct Deposit Banks need 48 hours to complete direct deposit payments. Payruns must be processed at least 2 business days in advance of the check date. 3:00 PM deadline (eastern time) Payruns submitted after 3:00 PM eastern time will be processed the next business day. Funding Please be sure to fund your bank account to cover your Estimated Total Payroll Liability plus any changes and our service fees. Page 6 Copyright Paycor Inc. 7 Step 5: Review Prepost Payroll Journal. Note: The Prepost Payroll Journal allows users to review all data being submitted for this payrun. It is critical that users review this report carefully, as this is the information Paycor will use to pay employees. Follow these steps to review the Prepost Payroll Journal: Click. The Prepost Payroll Journal will open in Adobe Reader. Note: If you do not see the PDF, please make sure your internet browser is set to allow pop-ups from Paycor. 8 Step 6: Review additional prepost reports. Note: Some prepost reports require specific access rights. Please contact your Paycor consultant if you do not see the appropriate reports. Follow these steps to review the additional reports: Click the Run button for any report in the top right corner. Report: Description Labor Distribution Cash Requirement Deductions Not Taken Similar to the Payroll Journal, this report provides pay detail and totals (earnings, deductions, & taxes) across departments. When an employee works in more than one department, their pay detail will be detailed under each department where they worked according to the proportion of time/earnings allocated to that department. One-source document to provide a summary of the total costs of a payroll run. Lists all employees (active within the Payroll) who didn t have a scheduled deduction come out on a check because the employee was not paid in PayData (whether the No Pay was checked or not checked). A pop-up appear where you can change the sort options if you would like. The report will open as a PDF in Adobe Reader. 9 Step 7: Add a Change Request. When processing payroll, users may occasionally find that they require assistance from Paycor before finalizing payroll. In these cases, users are able to add a change request when they transmit their payroll file to Paycor. This will ensure that before the final steps of processing, Paycor will review the request and provide the necessary assistance. After entering payroll data and continuing on to review the payrun, users will follow these steps to add a payroll request: On the Review screen, click Add Change Request.
