1 SAMPLE PROCEDURES FOR USING PROCESS SUBMISSION CONTROL FORM FOR REPORT: FGRBDSC BUDGET STATUS REPORT STEP ONE: Enter GJAPCTL in the Direct Access field. This will bring you to the Process Submission Control Form. You may also choose to enter the name of the report or process you want to run in the Direct Access field. This will also bring you to the Submission Control Form.
2 STEP TWO: In the Process field, enter the name of the report or process you want to run. The full name of the report/process will appear to the right when you start step three. If you entered this name in the Direct Access field it will appear in the process field upon entry.
3 STEP THREE: Perform Next Block function. This will bring you to the Printer field. For the purpose of running various reports, enter DATABASE in this field.
4 STEP FOUR: Perform Next Block function. This brings you to the Parameter Values section. Enter values as required: Your cursor appears in the first field 01. Tab once. You cursor will be in the area in which you will enter the Parameter value for Fiscal Year. The last two digits for the current fiscal year ( ) default as this value is the only fiscal year for which financial information is available at this time. In future years you will have a choice. Press the Down Arrow key once. Enter the value for Chart of Accounts. The parameter value for Chart of Accounts defaults to M. This is the only value available for Memorial University. Press Down Arrow key once. Enter the value for From Fund Code - the first Fund for which you require Budget Status information. Or you may leave blank Press the Down Arrow key once. Enter the value for To Fund Code the last Fund for which you require Budget Status information. If you left the From Fund Code value field blank, leave this field blank as well.
5 STEP FOUR (CONTINUED) Press the Down Arrow key once. Enter the value for From Organization Code the first Organization you want Budget Status information for. You may leave this field blank to report on all Organizations for which you have access to. Press the Down Arrow key once. Enter the value for To Organization Code the last organization for which you require Budget Status information. If you left the previous field blank, leave this field blank as well. Press the Down Arrow key once. Enter the value for From Account Code - the first account you want reported. Or you may leave blank to obtain Budget Status information on all accounts updated. Press the Down Arrow down key once. Enter the value for To Account Code the last account you want reported. If you left the previous field blank, leave this field blank as well.
6 STEP FOUR (CONTINUED). Press the Down Arrow key once. Enter the value for As of Date. The current date defaults. Press the Arrow Down key once. Enter Y to include or N not to Include Accrual Period. The accrual period refers to the time period after March 31 in which adjusting entries are processed to be included in the March 31, balances. Press the Arrow Down key once. Enter Y to print or N not to print totals for Revenue, Salaries, Expenditures, and Transfers. Press the Arrow Down key once. Enter Y to print or N not to Print Net Totals for all account types. Press the Arrow Down key once. Enter the value for Commitment Type Indicator. Enter U for Uncommited, C for Commited, or leave blank for all commitment types. U indicates the encumbrance was rolled into the current year with no distinction to indicate that it was brought forward from the prior year. The Encumbrance Control account in the current year reflects the balance. C indicates that the encumbrance will be treated in a separate line having been brought forward from the prior year. Its balance is reflected in the Prior Year Encumbrance Control in the current year.
7 Perform Next Block function: STEP FIVE Your cursor is now in the Submission block of the form. Press the F10 key or select the Save icon on your toolbar.
8 STEP SIX At the bottom of your screen a Log file and a List file number appears for your report.
9 STEP SIX (CONTINUED) Select Options from your menubar. Under this menu click on Review PDF Output. Banner brings you to the Events Function List Form (GWAVRPT) which gives you a list of reports you submitted., the file name, the date created, and the date last viewed. : Click once on the SEL button to the left of the report you want to view. The above splash screen May or may now appear. If so, Click OK. Your report is now displayed using Acrobat Adobe.
10 STEP SEVEN Once your report appears, you have the option of just viewing it, or if you prefer, you may print your report by simply clicking once on the printer icon found on the Acrobat Adobe toolbar - just above the report.
