When: March 24 25, 2018 Saturday, March 24, 2018 Celebration dinner and dance Sunday, March 25, :00 am 5:00 pm 6:30 pm -11:00 pm 9:00 am 1:00 pm Registration: Saturday, March 24, :00 am 9:00 am Where: Chelsea Hotel, Toronto Mountbatten Salon 33 Gerrard St. W Toronto, Ontario M5G 1Z4 Please note: 1) Due to the extension of our Collective Agreement at the last Divisional Meeting, the Local CAAT Support Presidents and the Divisional Executive passed a motion that the elections normally conducted at the Final Demand Set Conference will take place at this Divisional Meeting. This motion was also passed by OPSEU s Executive Board. 2) On March 24, 2018 the Division will be hosting an event in the evening to celebrate the certification of the part-time support staff. The Divisional meeting will take place from 9:00 am (not including registration) until 5:00 pm. The Divisional Executive are still planning the details but it will include a dinner and dance to celebrate this historical event showcasing the achievements made 1
2 during the recent campaign for the Part-Time College Support Workers organizing drive. Because dinner is being provided, you will need to indicate on the Human Rights Accommodation Form if you have any dietary restrictions/allergies. The elections for this Divisional will include: Joint Insurance Committee (4) Chair/Vice Chair (2 of the 4) CAAT Pension Plan Representatives (3) Sponsor (1) Trustee (2) Grievance Scheduling Committee (3) Chair/Vice Chair (2 of the 3) Joint Classification Committee (4) Chair/Vice Chair (2 of the 4) Divisional Executive (5) Bargaining Team/EERC (1) JIC or CAAT Pension Plan Representative (1) GSC/JCC (1) 2 members at large (2) Chair/Vice Chair (2 of the 5) Your delegate entitlement is according to the convention formula under Article 13.4 of the OPSEU Constitution. The Local President shall be the automatic first delegate and in his or her absence, the Local Vice President. Your Delegate entitlement should be based on your membership as of August 31, Size of Local: Up to 150 Members 1 delegate 151 to 300 Members 2 delegates 301 to 500 Members 3 delegates 501 to 800 Members 4 delegates 801 to 1100 Members 5 delegates 1101 to 1500 Members 6 delegates 2
3 1501 to 1900 Members 7 delegates 1901 to 2300 Members 8 delegates 2301 or more Members 9 delegates The quorum at any Divisional Meeting shall be one-half of the registered delegates. The members of the current Bargaining Team and the Divisional Executive are automatic Delegates in their own right. They may attend over and above their Local s entitlement. Please note that only Delegates commuting from 60 km or more will be covered for hotel expenses. Expenses incurred by Alternate(s)/Observer(s) are at the Local s expense. Head Office will cover an Alternate s expense ONLY where the Alternate attends instead of and in place of the Delegate. Please note that Alternates, like Delegates, must be elected. Hotel Room Bookings In accordance with the OPSEU policy (OPSEU Policy ), any member who resides further than 60 kilometers from the event may request that OPSEU make their hotel reservation on their behalf by submitting a Hotel Room Booking Form. OPSEU will be booking all hotel rooms centrally. If you require a hotel room for the conference you must complete the form. Hotel rooms will be reimbursed, for Delegates, on a shared room basis. The shared room rate is $67.50 plus taxes per night. If you prefer your own single room, the cost of the room is $ plus taxes. You will be responsible for the difference of the shared rate and the single room. You must notify the hotel of any special accessibility needs that you may have with respect to your hotel room. There will be no bill backs to OPSEU. Please save your receipt and submit it with your Membership Expense Claim Form. Human Rights Accommodation Request Form Should you require a human rights accommodation or have an existing accommodation under the Human Rights Code, please complete and submit the Human Rights Accommodation Request Form in full. ****Preferred method of registration**** Procedures for Online Submission of Forms Online submission of some registration forms for this meeting is now available. Members will be able to complete the Member Event Registration Form, Advance Form 3
4 and Hotel Booking Form on their computer and submit them online through OPSEU s Member Portal. Credential Attestation Form The OPSEU Policy Manual (Section 16.1) states two signatures are required on all delegate credentials. We have provided one form for you to list all attendees on. The Credential Attestation Form must be signed by two Local Officers. Please clearly identify your status, i.e. Delegate/Alternate/Observer/EBM. Attached you will find the following documentation: 1.
