Sealed tenders are invited for supply and installation of DVR Surveillance System at above mentioned locations. All tenders to be addressed to the Principal Sainik School Kazhakootam with superscription Tender for supply and installation of DVR Serveillance system at Sainik School Kazhakootam (Technical bid and Financial Bid as applicable) 2. It is proposed to bring the following locations of the Sainik School Kazhakootam under DVR surveillance system:- Cadet s Mess Main security gate Rear security gate 3. Brief requirements are as under:- 04 channel HD TVI DVR - 02 Nos (Rate of different brands 08 channel HD TVI DVR - 01 Nos (Rate of different brands Bullet camera - 01 Nos (Rate of different brands 40 Mtrs view (d) Bullet camera - 03 Nos (Rate of different brands 20 Mtrs view (e) Dome Camera - 05 Nos (Rate of different brands 2 MP
2 2 (f) 2 TB Hard disk 03 Nos (Rate of different brands (g) 19.5 LED monitor 01 Nos (Rate of different brands with HD connectivity (h) Cabling and casing pipe As required for installation of the system. (only ISI/ISO certified cables to be used) (i) CCTV UPS (1 hr back up on 03 Nos (Rate of different brands full load) 4. Full repair/ maintenance and onsite replacement warranty for the entire system for five years asunder:- (i) First year from installation - Free (ii) Second year from installation - Rate to be quoted (iii) Third year from installation - Rate to be quoted (iv) Fourth year from installation - Rate to be quoted (v) Fifth year from installation - Rate to be quoted (vi) Sixth year from installation - Rate to be quoted (vii) 5 years on site replacement warranty repair/ maintenance cover - Rate to be quoted Note : I Will choose either yearly term or comprehensive term on evaluation of the cost, dependency and reliability of the product / form etc.. II Payment :- For yearly term : On completion of each successful years from the date of the installation as mentioned above. No payment will be made in advance. for comprehensive 5 years term:- (i) On successful completion of - 25 % two years from the date of installation (ii) On successful completion of - 25 % three years from the date of installation (iii) On successful completion of - 25 % four years from the date of installation (iv) On successful completion of - 25 % five years from the date of installation
3 3 5. An earnest money deposit of Rs. 2,000/- will accompany the tender. The earnest money deposit should be in the form of bank draft on any scheduled bank payable at Trivandrum, drawn in favour of The Principal Sainik School Kazhakootam or CASH. Tenders that are not accompanied with earnest money deposit will be summarily rejected. No interest will be paid for earnest money. 6. Tender should be submitted separately as Techenical Bid and financial Bid in two cover system. Financial bid will be opened only for the firms who qualify in Technical Bid. Technical Bid contain the following information. (d) (e) Status of your firm / agency like manufacturer, authorized dealer, supplier etc.. Complete product details including technical specification, ISO/ ISI certification etc.. of each items proposed to be used. Details of authorized contact persons of your firm/ agency. Proposed reduction/ offers being given to an education institution running under State/ Central Govt. (Ministry of Defence) Whether your rates of your products/equipments are covered under DGS & D rate contract.. 7. Schedule of the inspection/ pre-bid conference and opening of tenders is given below. The tenders will be opened in the presence of intending vendors who may like to be present at the time:- Date of site inspection and Pre- Bid conference - 17 Dec 18 at 1000 h Date of submission of both bids 20 Dec 18 up to 1300 h Date of opening technical bid 20 Dec at 1530 hrs (d) Date of opening financial bid on finalization of T/Bid 8. General conditions :- The bids shall be placed in sealed covers duly super-scribed details of bid. Particulars of technical and financial bid are required to be mentioned separately in each cover. GST or any other tax on any aspect in respect of the contract shall be payable by the contractor and Sainik School Kazhakootam will not entertain any claim whatsoever in this respect later on. Rates quoted by the contractor shall hold the work at all heights and depths and inclusive of all expenses related to the particular work. The contractor shall not be paid anything extra and/or on account of damage to the works caused by rain or other natural phenomenon during the execution of works. (d) The contractor must get acquaintance with the proposed site for the works and study specification and conditions carefully before tendering. The work shall be executed as per the programme as approved.
4 4 (e) During pre-bid conference, the contractor shall produce samples of all materials to be used and incorporated in the works for approval of the Principal, Sainik School Kazhakootam. Only material conforming to the approved samples shall be used in the works. (f) The acceptance of a bid will be rest with the Principal, Sainik School Kazhakootam who reserves all rights to accept/reject of and or all quotation without assigning any reasons whatsoever may be. All bids in which any of the prescribed conditions are not fulfilled or are incomplete in any respect are liable to be rejected. (g) All articles will be of the best quality and also of standard specifications. Substandard articles will be rejected at the contractor s risk. (h) No payment will be made in advance for the work. (j) Damages to the school property during execution of the work shall be made compensated by the contractor. (k) Necessary changes in qualities and requirement may be made on conclusion of Pre bid conference and technical bid. 9. The Principal may terminate the tender in between the execution of the work by giving notice to the contractor in writing in any of the flowing cases:- (d) If the contractor sublets the contract. If the contractor or any of his agents or workmen or any servants are guilty or fraudulent in respect of the contract or any other contract entered in to by him with the Principal. If the contractors directly gives any promise or offers any bribe, gratuity, gift loan pre-requisites, rewards or advantages, pecuniary or otherwise to any employees of the school in any way relating to such person s office or employment. If such persons mentioned above becomes in anyway directly or indirectly interested in the contract. (e) If the contractor becomes insolvent or applied for relief as an insolvent debtor or commence his insolvency proceedings or makes any compensation with his creditor or attempts to do so. 10. Payment will be made through NEFT/RTGS system as applicable to you to avoid delay in transactions and to bring more transparency and easy recording keeping. For this, your complete bank account details including IFSC code may please be furnished separately to this office while submitting the tender form. 11.
