THIS ADDENDUM FORMS A PART OF THE CONTRACT DOCUMENTS. THE FOLLOWING CONDITIONS TAKE PRECEDENCE OVER ANY CONFLICTING CONDITIONS IN THE DRAWINGS AND SPECIFICATIONS. THE DRAWINGS AND SPECIFICATIONS ARE HEREBY AMENDED IN THE FOLLOWING PARTICULARS GENERAL Item 1: The Bid Date ( ) has been postponed until further notice, because the plans have not been approved by the Alabama Building Commission. By law we cannot receive bids until approval has been obtained. Item 2: We are providing a copy of the Pre-Bid Meeting Minutes, the Pre-Bid Agenda and the Attendees Sign- In Sheet. 2 MEETING SUMMARY DATE: November 20, 2014 PARTICIPANTS: See Attached Sign-In Sheet FROM: Wesley Henry MEETING DATE: November 20, 2014 RE: SUB: Williamson High School Field House Bidding Procedure The participants convened to discuss the following: See attached Mandatory Pre-Bid Meeting Agenda Dated November 20, 2014 GENERAL Matt Denaburg with Hoar Program Management was in charge of the meeting. He followed the agenda as written. 1. All of the attendees signed the Sign-In sheet. 2. The Bid had to be postponed until further notice, because the drawings have not been approved by the Alabama Building Commission. 3. All of the attendees introduced themselves. The Owner (MCPSS) Mr. Huey Belaire. The Program Manager (HPM) Mr. Matt Denaburg. The Architect (Dorsey Architects) Mr. Wesley Henry. 4. Mr. Denaburg clearly stated that the only General Contractors that could bid this project was on the Prequalification List issued by Hoar Program Management on November 17, Mr. Denaburg explained what items would be required for the presentation of bids. The bids will have to be received by 2:00 P.M. (no bids will be accepted after this time) at the MCPSS Purchasing Department, 1 Magnum Pass, Mobile, AL Mr. Belaire stated that the bids will be opened shortly after the cut-off time in the presence of the Owner, Program Manager, Architects and the precipitating General Contractors. 6. The Performance and Payment Bonds are to be provided per the General Conditions. 7. All materials that are permanently affixed or incorporated into the final project are tax exempt.
3 Meeting Summary Page 2 8. Meeting minutes and any items discussed concerning clarifications and possible changes to project scope will be issued as Addendum following the Pre-Bid Meeting. 9. The Notice to Proceeded (NTP) will be issued 6 to 8 week after the bids are received. No work can be performed on this project until MCPSS has received and approved the insurance certificates. 10. The General contractor is responsible for staking the site. 11. Material testing and geotechnical recommendations will be handled by Geotechnical Engineering Testing Inc. The GC is responsible for coordinating all testing. The ABC will charge a $1, re-inspection fee for those items that require re-inspection due to a failed inspection. This fee is the responsibility of the GC. 12. Correspondence from the contractor should go to the Architect. From the Architect to the Program Manager. From the Program Manager to the Owner. 13. Safety at the site is the responsibility of the GC. 14. The contractor will not be required to obtain a building permit from the City of Mobile. Inspections will be handled by the by ABC inspectors or by MCPSS. 15. Existing conditions as per documents. 16. Contractor parking should be such that it does not any school activity. 17. GC to coordinate any activities that that may disturb traffic with parties having jurisdiction. 18. GC is responsible for adhering to the federal child labor law. 19. Davis-Bacon does not apply. 20. Mr. Denaburg said that the OAC meeting will occur weekly at the beginning of the project and go to a bi-weekly format as the construction advances. 21. GC field verify all site utilities prior to beginning any digging. 22. See specs for unit pricing requirements. 23. The project time is 210 calendar days after receiving the official Notice To Proceed. 24. Construction to be provided per documents. 25. Builder s Risk Coverage to be provided by the GC. 26. Liquidated Damages are per requirement stated in the specifications. 27. Mr. Denaburg decided not to require the mandatory site walk- thru. 28. The GC s provided $ deposits to receive specs and drawings from Dorsey Architects. This concludes the meeting summary. Respectfully submitted, Wesley Henry
