1 APPLICATION DEADLINE: July 10, 2015 JAS ASPEN SNOWMASS Food Vendor Application Thank you for inquiring about participating as a vendor at the 2015 JAS Aspen Snowmass Experience Labor Day Weekend. Please take a moment to review this summary sheet to evaluate if this is the type of event that your organization would like to join. Retailers, artisans, non-profit organizations, and community endeavors of all varieties are welcome. Hozier, Jimmy Cliff, The Fray, No Doubt, and Lenny Kravitz are just some of the headliners participating in this multi-day event. Event link: Facebook: Twitter: Food Vendor Participation Rate: $1100 for 10 x10 serving area with 10 x10 work space behind. **Flooring, power, tents, tables, and chairs are not included. Refer to page 3 for rental information. If you plan to provide your own infrastructure please send a photo of the setup** The operating hours are: Friday, September 4: 4pm to 10:30pm Saturday, September 5: 2pm to 10:30pm Sunday, September 6: 2pm to 9:30pm Below are a list of details we need you to complete in order for us to process your application JAS Aspen Snowmass Food Vendor Information & Application Form Copy of Retail Food Establishment or Mobile Unit License Colorado Sales tax license Insurance certificate must be submitted with application proving commercial general liability policy covering personal injury and property damages. Copy of Pitkin County Environmental Health Vendor Application Snowmass Village special events application Photo of booth If you do not have the appropriate licenses to vend at a special event in CO please let me know and I will provide you with the correct forms. (e) Pitkin County Environmental Health Vendor Application (f) Snowmass Village Special Events Application (g) Photos of booth Tuesday, July 28th, 2015: Notification by of acceptance to the festival Friday, August 7 th, 2015: If accepted as a vendor, the vendor participation rate is due. Please pay via certified check or money order and make payable to JAS Aspen LLC. Please include JAS Aspen Snowmass Food Vendor in memo. Credit cards are not accepted for payment. Thursday, September 3 rd, 2015: Set up Vendors will be allowed access to the site the day before the festival begins starting at 2:00pm. September 4 th - September 6 th : JAS Aspen Snowmass Experience Labor Day Weekend Dates Monday, September 7 th, 2015: Tear down all vendors must be off site by 3:00pm. 2. Terms and Conditions Exhibitors are expected to operate during festival hours from 4:00pm until 10:30pm on the 29 th and 2:00pm until 10:30pm on the 30 th and from 2:00pm until 9:30pm on the 31 st, but are encouraged to stay open until the music concludes on all 3 nights. Should you decide to close early, please take precautions to protect your booth and inventory against theft. Please arrive 30 minutes prior to the opening of the doors. While security will be visible on the grounds, JAS Aspen Snowmass Experience Labor Day Weekend is not responsible for securing unmanned vendor food booths and trucks. Food booth and truck spots are only available for the full weekend. Food truck spots cannot be purchased for a single Festival day. Up to three festival passes that allow re-entry will be granted per booth, per day. Additional passes will be at vendor s expense. If you are caught distributing credentials to those who are not working in your booth you will be ejected from the site immediately, no refund no exceptions. The Festival is not liable for any loss or damage to any property or artwork/products of Exhibitor resulting from fire, theft or any other cause. The Festival is a snow-or-shine event. No refunds or rain dates. If Exhibitor is caught with outside alcohol on site Exhibitor will be ejected from the site immediately, no refund no exceptions. Exhibitors are responsible for providing their own signage, which is subject to Festival approval. One (1) Exhibitor parking pass will be provided within close proximity to the Festival grounds. All Exhibitors are responsible for reporting and paying any sales tax associated with sales from the JAS Labor Day Experience 3
4 Vendors are NOT allowed to sell energy drinks or any alcoholic beverage. 3. Selection Selection of Exhibitors for the Festival will be made by a jury based on applications and images submitted. A maximum of 4 images may be submitted per application. Images should be of food truck or booth. Images should be in jpeg format at 72dpi and a maximum of 100Kb each. The Festival reserves the right to dismiss any applicant for any reason. The Festival reserves the right to limit the number of exhibitors and to limit the number of exhibitors selling the same product(s). 4. Indemnification and Insurance Exhibitor agrees to indemnify, defend and forever save and hold harmless the Festival, its affiliates, and related entities, and their respective, parents, employees, representatives, tenants, agents, contractors and volunteers, from and against any and all damages, claims, losses, demands, costs, expenses (including attorneys, fees and costs), obligations, liens, liabilities, actions and causes of action, threatened or actual, which any one of the indemnities may suffer or incur arising directly or indirectly out of or in connection with the exhibit. The following certificate of insurance is required: $1,000,000 public liability coverage, $500,000 property damage liability, Name the Town of Snowmass, CO and Jazz Aspen Snowmass as additionally insured on the required policy endorsement, the effective and expiration dates of the policy. The address for Jazz Aspen Snowmass 110 E Hallam, #104, Aspen, CO Fees There is an $1100 participation fee for the full 3 days. Food vendors must provide festival with 12 meal tickets per day good for up to $12 in food and drink. Items Included in the Booth Fee: Exhibitor wristband (no more than 3 per booth) 1 Exhibitor Parking Pass Access to a trash receptacle designated for vendors only Onsite overnight security All other costs are responsibility of vendor. There is an additional charge for festival to provide any of the following: tent, power, flooring, shipping, crating, drayage, hanging/set-up, hotel, food, travel, etc. are the responsibility of Exhibitor. Additional Expenses: Tents: $300 per 10x10 Tents are available for an additional charge. If Exhibitor would like to provide their own tent, please provide picture and dimensions of tent to jasexperience@gmail.com for consideration. Tents must meet National Fire Protection Association (NFPA) standards and must be approved by the Snowmass Wildcat Fire Protection District. All tents must include an affixed manufacturer s label stating the tent meet NFPA requirements. Inspection of all tents will take place within 24 hours of the start of the event. Power: $100 Power is available for an additional charge. It is a 20 Amp, single phase, 120-Volt circuit. You are responsible for supplying your own power cords. Electrical cords should be taped down and tripping hazards marked. Flooring: $150 Flooring is available for an additional charge. If Exhibitor wants to provide their own flooring devices, Exhibitor needs to be approved by the local fire inspector. Tables and Chairs: $20/$5 JAS Aspen Snowmass Labor Day Festival will not supply tables and chairs. It you would like to place an order for tables and chairs, please make a note of this on your application. Tents, electricity and flooring will be inspected by Snowmass Wildcat Fire Protection District officials before the start of the event and must be approved in order to operate. 4

Make sure your menu selections can be served in a timely manner. Critical to efficient turnaround (and more sales!) are points of service.
