Question Answer Justification No. 1 C A project can only ever have one person filling the role of Executive 2 D Option B summarizes the activities in the process Managing Product Delivery, while Option C lists types of stages, and Option A is a general management, not a term 3 A The Project Initiation Documentation has a tailoring statement. Some Team Managers may not even be using for their Work Packages if they are suppliers from outside the customer organization 4 A Embedding is done by an organization when they adopt across the organization. There are many ways to embed, such as training and development, creating scaling rules, and using process assurance 5 B works with management stages, some of which align to technical stage boundaries, but some may not 6 A The brief is not maintained after the production of the PID. The brief is like a sketch plan and acts as a stepping stone on the way to create the PID. Once the full plans of the PID are in place, the sketch is not needed anymore. The Project Brief is not maintained throughout the project, and it is the PID not the brief, that is used at the end to check on the fulfillment of project objectives. 7 B One of the key sections of the business case is investment appraisal. This balances the forecast benefits against project costs and ongoing operational and maintenance costs. 8 B You can have a supplier side project manager, but the default is that the project manager should come from the customer side. It is the customer s project, not the suppliers. Stakeholders are identified, not appointed! 9 A Project assurance must be independent of the project manager. All a very small project, it is fine for one person to represent the whole project board and cover or three board roles. 10 D A senior user could represent several different ways of using the products. First, they might represent people who will by the products for their own use. Second, they might represent those who will use the products to derive benefits, such as a marketing person. Third, they might represent people who will maintain or operate the products after the project. Someone who can assess and confirm the viability of the project approach, would be a senior supplier. 11 A The only role that does not have any authority to authorize changes to the projects products is the team manager. Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

12 B An output from a project is the specialist products that the project produces. Option B could be an output from a project, Option A is a management product not a specialist product, Option C is an outcome - the result of the change of using some products, and Option D is the measurable positive consequence of a project, so it is a benefit. 13 A The Benefits Management Approach describes how and when the benefits will be review and also how the performance of the project products will be reviewed. 14 A if you are not sure then check out Appendix A of the Official Manual 15 C Business Justification means that there is a valid business reason for doing the project and it remains valid throughout the project 16 A Even if the project is mandatory, information must be recorded on any benefits, costs, timing and the fact that the justification is indeed mandatory 17 A You may not be able to remember all the activity names for each process, that you should have picked up on the mandate as the right answer since it is left behind once the Project Brief is prepared in the Starting Up a Project process. 18 A Product-based planning produces Product Descriptions for the projects products that identify who is responsible for approving a product 19 A Exception Plans are NOT produced following breaches in Work Package tolerance levels. Instead, the Project Manager takes corrective action by updating the Work Package or issuing a new Work Package 20 B Each Plan contains information on plan prerequisites that show any fundamental aspects that must be in place and remain in place for that plan to succeed 21 A takes a product-based approach to planning, that that does not mean that other plans are not needed, just that the products are created first. An external product is something coming over the boundary of the project from outside. An external product is needed on the project, or it would not be included within the method diagrams 22 A The Starting Up a Project process is not a stage, and so work of stage planning for the initiation stage is covered by one of the activities within Starting Up a Project, and not by triggering the Managing a Stage Boundary process to do it. 23 A The Project Manager should get on and manage in this case via the activity take corrective action. Optionally the Project Manager may take advice, and so the other on so options indicate man day three involvement of others in the handling of every issue which is not true Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

24 B The Stage Plan must be kept up to date to allow it to function as a control in the Controlling a Stage process. Actual information is entered when arriving from team managers or Checkpoint Reports. The last option of controlling workflow to the teams is checking progress on Work Packages. 25 C The Project Manager uses Checkpoint Reports, the Quality Register, and Configuration Item Records for the products being delivered to review the progress of the Work Package. The Lessons Log is used to collate experience that may be useful for future work. 26 D Benefits may be realized during the project, at the end of the project, or at some point after it. The Benefits Management Approach lists all benefit checks and it is not used for recording benefits. 27 A The Project Manager has no discretion to do anything other than refer the matter to the board without delay. The tolerances represent a specific instruction from the project board, that should to projections go outside the stated limits, then the board must be told immediately. 28 B Projections that a work package will exceed the defined limits must be reported immediately as the whole purpose of them is to act as a reporting trigger. 29 A Statement D is wrong because it describes stage and project control and this is not under the control of a Team Manager which would refer to individual Work Packages. 30 A The purpose of tailoring is to ensure that project controls are appropriate to the project s scale, complexity, importance, team capability and risk (e.g. the reporting and reviewing frequency and formality) Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

Sample Practitioner Exam Questions for the Managing a Stage Boundary process Answer the following two questions about the Managing a Stage Boundary process and choose the one correct answer option for each: 6. During the End Stage report preparation for stage four, the Project Manager noted the team that gained valuable experience on designing and installing electrical ventilation systems. Realizing this could be useful for future projects, particularly new ventilation installations, he created a Lessons Report detailing this experience as part of the End Stage Report. A Lessons Reports are only created at the end of each stage during the Managing a Stage Boundary process B The Project Manager should pass on any useful experience learned during the stage within the End Stage Report C This is not so; the Project Manager should use the Lessons Log to pass on expertise to relevant people D The Lessons Report is a management product that should only be created at the end of the project during the Closing a Project process 7. During the Managing a Stage Boundary process at the end of the second stage, the Project Manager worked with the third-party company who is to install the new ventilation system. The Project Manager created Work Packages for them and authorize them to carry out their work. Next, the Project Manager requested authorization from the Project Board for the Stage Plan containing this work. A The Project Manager is responsible for authorizing Work Packages B The Project Manager needs to confirm that the Work Packages for a stage can be delivered before requesting authorization for the Stage Plan that contains those Work Packages C It is the Project Board that should authorize the Stage Plan before the Project Manager authorizes Work Packages for the delivery of work within that stage D It is the Project Board that makes all the authorizations within the project, so it is they who should authorize the Work Packages Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

8. Which two management products would be, or might be, updated by the project manager for this project on a stage boundary? A B C D Project brief to show any adjustments of the project scope Business plan to reflect any changes in the new gymnasium revenue growth forecast Risk register to show any changes in the risk status of the risk review Risk register to show any changes in the risk status of the risk review E Project approach to record any changes in constraints for the final deliverable, all the way that the project must be run F Project mandate to keep the overview of the project up to date with any changes 9. Which two items of information would be relevant to include in the end stage report? A B C D E F The plans for the next stage Planning assumptions for the next stage plan This summary of daily log entries for the stage that is just finishing A list of all the issues received in the stage that is just finishing A review of team performance in the stage that is just finishing A report of lessons learned in the stage that is just finishing Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

10. During stage four, the sales and marketing director has requested that all internal walls of the new gymnasium to match the brand colors of the existing premises. This is a relatively small change since the emulsion paint has yet to be ordered. The marketing director is responsible for all outward communication for the company, and so the project manager amends the Work Package and instructs the decoration team to implement the change. A The Project Manager has the authority or to rise all changes to the projects products B The marketing director is responsible for communication and has the authority to initiate this change C This is not allowed since the product has been baselined and therefore cannot be changed D Requests to change baselined products should be recorded in the issue register and be subject to an impact analysis before being authorized by the appropriate change authority 11. Towards the end of the first delivery stage, the Executive attended a senior management briefing where Nick Nathan raised concerns about excessive and paper Communications throughout the organization. Nick has instructed that Highlight Reports should not be produced at set intervals but only when requested by him. What should the Project Manager do? A Inform Nick that the request is refuse because it does not comply with the chosen project method B Refer the matter to Quality Assurance, which has responsibility for organizational standards including project standards and put an entry in the Risk Register C Explain the functioning of the Highlight Report to Nick and advise that there are no regular progress meetings in. If Nick still insists, make a note in the Daily Log and also update the Communications Management Strategy. D Ignore the request has the method is a published best practice authority Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

12. After the start of the first delivery stage a team member has found a faster way of doing preparation work on the walls and ceilings of the gymnasium and changing rooms without reducing quality and has suggested this on an issue. What one action should the Project Manager take? A B C Ignore the issue as the work is the responsibility of the team manager Record the issue in the Issue Register or Daily Log and investigated further Refer the matter on to the Senior Supplier for a decision and any necessary action D As it is a minor matter, send the issue back to the team member without recording it and tell them to go ahead as suggested if they are sure it will work Colum 1 contains a list of events that occurred in stage four of the project. For each event in column one, select from column two the appropriate Theme that should have been used to deal with it. Each selection from column two can be used once, more than once, or not at all 13. The third-party electrical installation team needs official instructions from the Project Manager to start their work 14. One of the buyers from purchasing department has lost their copy of the requirements document for electrical fittings. He needs a new copy. 15. The third-party electrical installation contractor has found a new cable ducting system which will reduce project costs and save installation time. The Project Manager needs to assess this possibility 16. The new shower rooms within the changing facility has been completed and is ready for review Answer the following questions about the project to prepare for the new gymnasium. For each item in column one, select the correct product in column two where that information would be recorded first. Each selection from column two can be used once, more than once, or not at all 17. The manager of the new gymnasium has said that due to the success since its launch of the online membership website, the changing rooms could be needed a week earlier than originally planned. 18. The Senior User has been checking the last Highlight Report and now wants to ask the Project Manager a question about the forecast stage timing. A. Business Case B. Organization C. Quality D. Plans E. Risk F. Change G. Progress A. Checkpoint report B. Issue report C. Highlight report D. Exception report Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

19. A Team Manager has assembled information on the progress of his current Work Package and it is time to pass this information back to the Project Manager. E. Daily log F. Lessons log G. Risk register H. None of the products A to G above 20. In a regular check of the stage status, a Project Manager has discovered that costs have risen because of essential overhead lighting fittings were slightly more expensive than originally budgeted. Because of other smaller overspends on earlier items, this will take the stage over the cost tolerance limits set by the project board. The projected over spend is only 4.80 over tolerance, but at this point in the stage it is unlikely that any further purchases will be cheaper to offset is over spend. What should the Project Manager do? A Report the matter to the Project Board immediately as an exception because it is a projected breach, even those small, of the financial limits on the stage B Monitor the spend and only report it if the over-spend get significantly worse on remaining things to be purchased in this stage C D E Do nothing for the moment but report the matter on the next Highlight Report Ignore the over-spend and mention it in the End Stage Report Till the team not to install the more expensive items and to return them for a refund Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

Question Answer Justification No. 1 C The Outline Business Case must have sufficient detail to justify the project so any information on benefits, costs and timescales would be appropriate. Answer A should go in the Lessons Log, Answer B may have led to the project but it is not a reason for it. Answer D could be part of the project approach and Answer E in the Initiation Stage Plan. 2 D Can be used for future projects. Answer A is an approach, Answer B in the Outline Business Case, Answer C in the Daily Log as a potential risk. 3 A Answer A is a lesson that may apply to this project and certainly future projects. Answer B is just a comment while Answer C is a potential risk - both could be added to the Daily Log. Answer D is again just a comment but relates to acceptance criteria. 4 A Answer A is an assumption and should be added to the Stage Plan. Answer B is project role and responsibility. Answer C is about a risk but is not clear whether it relates to the stage or the project. Answers C and D relate to the project not the initiation stage. 5 B Since the initiation stage is all about creating the PID and the first delivery stage plan, then this is again an assumption. Answer A is identification of a new risk and should be added to the Daily Log, and C and D are general project-level related. 6 B The Project Manager might create a Lessons Report at various times in the project such as when creating the End Stage Report, a Highlight Report, or an End Stage Report. So, it is appropriate for the Project Manager to create a Lessons Report as part of the End Stage Report 7 C The order of these events should be as follows: 1. The Project Manager creates the Stage Plan for a stage during the Managing a Stage Boundary process 2. The Project Board authorizes the Stage Plan during the Directing a Project process 3. The Project Manager manages the stage using the Controlling a Stage process. During this, the Project Manager will authorize Work Packages for the teams 8 C and E Make careful notes of the word updated. There is no business plan in, and both the Project Mandate and Project Brief will have been fully completed by the start of the delivery stages 9 E and F If you are unsure, check out the Report in appendix A of the Manual 10 D All requests for change of baselined products no matter how small must follow the issue and change control procedure that is, capture the issue in the Issue Register, create an Issue Report, carry out an Projex Academy prince2_exam_sampler_v1.0 David Geoffrey Litten

impact analysis, and then authorize the change at the right level of Change Authority (the Project Board or their representatives). 11 D The Project Manager must do as the Executive instructs, and it makes sense to talk about it first to explain the function of the Highlight Report. The strategies outlined in the Project Initiation Documentation can be modified during the project although this would more normally happen at a stage boundary. 12 B The Project Manager should record the issue in either the Issue Register or Daily Log, and then check it out. It should not be ignored or passed on to a Project Board member. The Project Manager should not send it back to the team member advising them to get on with it as the team member might be wrong. As a minimum, the Project Manager would be likely to talk to the Team Manager about the issue, as part of the examine function of the activity Capture and examine issues and risks. 13 G The Progress Theme describes how the Project Manager uses the Work Package as a way of controlling the work of the teams. The Work Package gives authorization for the teams to start creation of the specialist products and ensures that they start work at the correct time. 14 F The Change Theme covers configuration management. Configuration management is used to administer the storage, security, and issuing of project products and these include both specialist and management documents. 15 E The electrical installation contractor has identified what calls an opportunity. Opportunities are types of risks that may affect the project in a positive way. All risks are assessed using the Risk Theme. 16 C Reviewing products are they have been created is a quality control the activity that is covered by the Quality Theme. 17 B This is an issue rather than a risk and would be initially treated that way. 18 H Any small inquiry from the Senior User need not be handled as an issue at all. It could be dealt with over the phone or face to face rather than formally recorded. Beware of turning into a paper trail where even thoughts or general dialogue must be written down! 19 A The Checkpoint Report is the progress report from a Team Manager to the Project Manager so do not confuse this with the Highlight Report which gives progress to the Project Board from the Project Manager. 20 A If the Project Manager calculates that a stage will finish outside tolerance and cannot adjust it to bring it back within those limits, then the stage is in exception. The Project Manager has no discretion and must report the exception immediately. It would be pointless to return the items which are described as essential so their absence would stop the project from being completed successfully.
