4 Team Lunch and Outing 1. Purpose Purpose of this document is to enhance bonding/rapport between the team members and reporting managers through team outing, team lunch/dinner and get-togethers. 2. Objective The objective is to aim at providing an opportunity for all members of the team to get to know each other better and unwind from busy work schedule. 3. Scope This policy is applicable to all employees (permanent employees, contract employees, trainees and consultants) of Global Edge. 4. and claim procedure A budget of Rs. 600/- per person, per quarter, is allocated for each team member. The Group/Function Head is eligible to get the entire team budget. The teams can club either 1 st and 2 nd quarter or 3 rd and 4 th quarter amount for team outing at one slot. The budget needs to be utilized before end of 2 nd and 4 th quarter else the same will lapse. Utilization of the budget in advance is not allowed. Ex: Q2 budget cannot be utilized in Q1. The total budget will be calculated based on the maximum number of team members at the time of utilizing the budget. All team members are eligible to get an equal amount irrespective of their date of joining. Teams can provide two claims for both quarters if it is clubbed with multiple bills and that will be considered as the final claim. Group heads should inform their respective HRBP a week in advance to facilitate the team outing by indicating the outing options provided by HRBP team. If any team requires a cash advance for the team lunch/outing, the finance team should be intimated at least 2 working days in advance with the amount required and the team head count with the list of team members. All the original bills need to be submitted to Finance within 7 working days from the date of team outing/lunch completion. Non settlement of advance within the 7 days period will be considered as deviation of the policy and lead to salary recovery. Any expenses towards alcohol, tobacco, purchase of materials will not be reimbursed. Global Edge Internal Page 4 of 6

5 Team Lunch and Outing This budget can be utilized only for team lunch/outing and team bonding activities and not for any purchase of gifts. A maximum of 2 hours can be utilized for team lunch/outing during working days. Any associated activity which requires more than 2 hours should be planned during nonworking days. No exceptions and deviations will be allowed under this policy. Hence it will be the responsibility of the Group/Functional Head to utilize the budget before waiting till the last date of the eligible period. Quarter in a particular year is defined as follows: Q1 Q2 Q3 Q4 : April 1 st to June 30 th : July 1 st to September 30 th : October 1 st to December 31 st : January 1 st to March 31 st 5. Ownership / View Period Human Resources Department will be the owner of the policy and this will be reviewed once a year or be amended at any point of time based on the business needs. 6 Team Lunch and Outing Frequently Asked Questions 1. Can we avail Q1 & Q2 budget in the month of June (i.e. End of Q1)? You can avail Q1 budget in June but not Q2 budget in June. Utilization of quarterly budget in advance is not permitted. 2. I am managing 2 different department/practice, so can I be part of 2 different team outings. You can be part of different team outings 3. Are original bills mandatory? Submission of original bills(hard copy) is mandate else it will be rejected 4. What happens if I spend more than the approved budget for the quarter? Team has to bear the excess amount, if the expenses are more than the approved budget. 5. Can I submit multiple bills of different dates in a single claim form?
