2 Terms of Payment and Security Deposit Terms of Payment 25 % of the total on reservation. 25 % of the total 30 days before arrival. From credit card on file Balance on arrival (cash, debit, credit). Security deposit The security deposit is a credit card preauthorization that is released 5 to 7 business days following your departure if all commitments of this present contract are respected. The security deposit amount varies according to the cottage booked. - Small: 750$ - Medium: 1000$ - Large: 1500$ - Cottage Étincelle 2000$ - In case of a violation, the deposit is retained while we manage the claim. Once it is settled, the amount of the penalty is drawn on your credit card and a copy will be sent to you on demand. This security deposit is also a guarantee for anyone who accompanies me in the cottage and who requires rental services of all kinds: watercraft, golf cart, various equipment, etc. 2

3 Cancellation Policy Cottage of 15 people and less: More than 30 days before arrival: Less than 30 days before arrival: Cottage of 16 people or more: Less than 24 hours following the reservation: no cancellation fees. Cancellation reasons: Whatever the reason of the cancellation (weather, driving conditions, natural disasters, sickness, death in the family, or all other situations) Au Chalet en Bois Rond is released from all responsibility. 3

4 Amenities and Services Offered Amenities: Not available in all cottages, ask us about it: Wi-Fi, cable/satellite, cellular signal amplifier, washer-dryer. Contact the reception office or look up the cottage on our website. We are not responsible if the cottage of your choice does not have one or some of these amenities upon reservation. Free Wi-Fi access is available at the reception office. Ask our staff for the password. Included with your rental: - Bedding and pillows - 1 bath towel and 1 face cloth per person - Rags, dish cloths, dish detergent - Paper towels, toilet paper and tissue paper - Dishes, utensils, baking dishes, pots and pans, Chinese fondue pots (fuel not included) - 1 bag of firewood and 1 pack of kindling, firepit outside - BBQ with propane - A landline phone. Cellular signal is not optimal in the village. Do not hesitate to contact the reception office at all times. Our team is available before, during and after your stay with us to offer you the best experience. A technical service and a customer service agent is available 24/7 for emergencies. Public beach with volleyball field, picnic area and playground set for children. In season : Boat rental at Loutres Lake or at the Ste-Anne River, golf cart rental and snowmobile rental, dogsledding and fishing activities ($). Certain conditions apply. 4

5 Rental Conditions and Check-Out Instructions The non-compliance with the present contract may incur additional fees and/or expulsion without refund. These fees will be set on a case by case basis. Conditions Must be 21 years and older. Arrival*: 4 pm Check-out: 12 pm (noon) * For the Étincelle cottage only: Check-in is at 5 pm only. A penalty will be charged automatically if the cottage is not vacated at 12 pm (noon). For an arrival outside of opening hours, the customer-lessee must notify Au Chalet en Bois Rond who will then inform the customer of the procedure to follow. You can access the public areas of the village from 1 pm on the day of your arrival. Access to the cottage is guaranteed at 4 pm only, except for the cottage Étincelle where arrival is at 5 pm only. Early-show and late check-out: options available at less than 48 hours notice. Hours to be confirmed depending on the cottage. Au Chalet en Bois Rond can refuse an early-show or a late check-out depending on rentals and availabilities. Check-out Instructions Collect all garbage (black bag) and recycling (clear bag), inside and outside, and put the bags in the garbage cans outside by the entrance door. Sweep the floors. Clean all the dishes and put them back in their place. Clean the BBQ as you use it. Replace accessories and furniture where you found it (inside and outside). Turn off the lights, close all windows and lock the door. Bring the keys with the keychain back to the reception office. If not handed over at check-out: variable costs ($). 5

6 General rules This is your notice. The non-compliance with these rules may incur additional fees. These fees will be set on a case by case basis. 1. FIREWORKS and/or SKY LANTERNS ARE PROHIBITED at all times. Penalty systematically applicable. You may be expulsed without refund. CAMPFIRE allowed if the risk of fire issued by the SOPFEU is equal or less than moderate. Ask at the reception office on arrival if it is possible to light campfires. Use only the fireplaces provided for this purpose. Extreme campfires are prohibited. Penalty systematically applicable if the fire index issued by SOPFEU is not observed. 2. MAXIMUM CAPACITY OF THE COTTAGE: It is prohibited to exceed the maximum capacity posted on the Web site of Au Chalet en Bois Rond. It is your responsibility to notify Au Chalet en Bois Rond if you are having a party at the cottage with or without visitors or with extra people staying overnight. Certain conditions apply. You may be fined, expulsed or your access to the site/cottage may be refused without refund. 3. PARTIES, EXCESSIVE NOISE, MUSIC, ETC.: Curfew is at 10 pm; if we must compensate a client who has lodged a complaint against you, you will be charged. This is your notice. It is prohibited to play music outside at all times. It is your responsibility to notify Au Chalet en Bois Rond if you are having a party at your cottage with or without visitors. Certain conditions apply. You may be fined, expulsed or your access to the site/cottage may be refused without refund. 4. CAMPING IS PROHIBITED: Tents, trailer-tents, caravans, RVs, marquees or all other article falling into this category are forbidden on the property of the cottages. 5. NON-SMOKING: All cottages are non-smoking. 300$ fine. 6. IT IS PROHIBITED TO FEED THE DUCKS in order to protect our wildlife and the environment! 7. WATERCRAFTS: It is prohibited to dock or use your own personal crafts on the lakes. No motors are allowed on the lakes. The boat launch on the St-Anne River is accessible for all types of crafts. Maximum of 9 hp motor. Provincial laws apply. The tranquillity of the waterside residents must be respected at all times. Craft rental available on site. Ask us about it! 8. FISHING: Loutres Lake: a fishing right is necessary for fishing, on sale at the reception office. River: Provincial permit necessary and provincial laws apply, sold at a point of service nearby (plan its purchase before your arrival). 9. SWIMMING: WITHOUT supervision in the lakes and in the river at your own risks. Flotation jackets strongly recommended. 10. GOLF CART RENTAL, my responsibility (Annex 1): The amount required upon arrival for the cottage security deposit also constitutes a security deposit for anyone accompanying me in the cottage and requires this service. 11. SNOWMOBILE and ATVs: It is strictly prohibited to ride your snowmobile or ATV on the grounds of the cottages, the walking/snowshoeing/dogsledding trails and the frozen lakes. You must stay on the federated trails and/or on the main roads and respect all road signs. You can access the federated trails directly from the village with a right of access. Snowmobile rental available on site. Ask us about it! 6

7 ANIMALS PETS The non-compliance with these rules may incur additional fees. These fees will be set on a case by case basis. SAFETY MEASURE: During the winter season, your dogs must be kept at a great distance from the dogsledding dogs and trails! Dogs and cats are accepted at certain cottages for a fee ($). Please mention the presence of a pet to the clerk upon reservation. Conditions: - Maximum of 2 animals per cottage; - Animals must be trained; - Excrements must be picked up at all times in all places; - Dogs must have claws cut and cats must be declawed; - It is prohibited to leave an animal unattended in the cottage; A cage is required; - Keep the barking to a minimum; - Animals must be on a leach or tied up at all times, whether in the yard or in the public places; Responsibilities: - Any animal present in the cottage is under the responsibility of the lessee; - If any damage is done by the animal inside or outside of the cottage, the lessee will be held accountable for said damages; - The security deposit given at check-in will be used to pay for the damages caused by an animal. 7

8 HOT TUB The non-compliance with these rules may incur additional fees. These fees will be set on a case by case basis. HOT TUB USE Close the lid and air jets after each use, following the hot tub instructions available at the cottage. DO NOT POUR ANY PRODUCT in the hot tub: soaps, body lotion, sunscreen, bubble bath, beverages, alcohol, all other products, etc. If you wish to drink while in the hot tub, only use CANS OR PLASTIC GLASSES to prevent personal injury or damage to the hot tub. Do not put food, glass or paper on the side of the hot tub. Please shower (without soap) before using the hot tub. Rehydrate yourself often. Do not stay in the hot tub for an extended period of time. For people suffering from skin problems or any kind of disease, follow your doctor s advice before using the hot tub. Au Chalet en Bois Rond is not responsible for the delay in use if we must proceed to a filling after an excessive use of the hot tub. TEMPERATURE CONTROL: Always wait for the numbers on the board to stop flashing before using another function (jets or lights). This might deprogram the hot tub and keep you from using it to your convenience. Over 104 F, the hot tub products are less effective and can cause health hazards. The maximum recommended temperature is 100 F. COVER: Instructions on how to open and close it are indicated on the cover itself. N.B.: The day of your departure, it is possible that a technician comes to clean the hot tub between 8:30 am and 12:00 pm. 8

9 GO GOLF CART RENTAL The cart renter must be 21 years of age and older and must have a valid driver's license. A photocopy of the driver's license will be made and kept on file. If another driver is driving the vehicle, it will be the responsibility of the tenant. A driver under 21 years of age must be accompanied at all times by a person aged 21 and over with a valid driver's license. The renter is insured against any claim for damages to others or bodily injury resulting from the use of the equipment. The renter acknowledges that the insurance policy provides for a $500 deductible that the principal tenant in charge of the associated cottage agrees to reimburse (whether or not the landlord is liable) to Au Chalet en Bois Rond if Au Chalet en Bois Rond is required to pay damages to any person for damages resulting from the use of the equipment then in the possession or under the responsibility of the renter. The security deposit of the cottage is associated with the rental of the cart and the responsible tenant of the associated cottage is also responsible for the rented vehicle. The maximum capacity of the golf cart is 4 people. Do not leave keys in the cart when parked. It must be turned off when it is not in use. A $30 fee will be charged for unreleased or damaged keys. There is no refund for unused time. Driving is permitted only in the paths of the Village of Au Chalet en Bois Rond. It is forbidden to drive on our walking trails or on Rang St-Jacques (provincial road). It is forbidden to drink alcohol while driving the vehicle. You must not drive if you are intoxicated or under the influence of drugs. After a 30-minute delay, you will be charged based on the loss of income occasioned by it. Au Chalet en Bois Rond is not responsible for any damage, breakage, theft or vandalism caused to the vehicle occurring during the rental period.. 9

I commit, during my entire stay, to: - Respect the rental contract, its conditions, rules, instructions, forms of payment, security deposit requirements and cancellation policy specified in the previous pages. - Treat with caution and diligence the cottage and its yard, their contents, equipment and material as well as those of all public places of Au Chalet en Bois Rond. - Declare all damages or thefts that occur during the stay. - Leave the leased premises, at the end of the stay, in the state of cleanliness stipulated in the check-out procedures. - Pay all additional costs incurred by the non-compliance of my engagement and/or compensate all other people that have suffered damages and/or inconveniences during my stay. I agree to release and hold harmless Au Chalet en Bois Rond from any and all claims. - Respect, in my name and in the name of all others that I have allowed in the cottage, the contract and the rental terms and conditions of the present document. In case of a breach of contract, the security deposit is withheld during the handling of your file. Once your file is closed, the amount of the penalty will be cashed on your credit card and a copy of the receipt will be sent upon request. If the amount of the deposit is insufficient, the lessee gives us authorization to charge on his credit card all excess amount to pay for all damages.
