The bidder must drop their application duly sealed signed complete in all respectss as per instructionss contained in EOI in the tender box placed at main gate of cpate office at the address given below (i.e. Page No 2) on befe the closing date time, failing which the application will be treated as late rejected decision of SPMCIL in this regard will be final binding. 4 Objectives Scope of Insurance Broker wk of Expression of Interest f Empanelment of The scope of wk f the insurance broker covers the following aspects. However SPMCIL may enlarge modify the scope of wk at any point of time depending upon its needs: 1. Evaluation of various insurance needs of SPMCIL as well as customization, design placement of insurance policy. 2. Functioning as a strategic consultant f SPMCIL would be assisting company in pre-placement, placement post placement process of the insurance program. 3. Carrying out Risk Inspections Survey required to underst SPMCIL end to end Insurance requirement determinati ion of sum assured. 4. Critical examination of existing policies which are due f renewal in terms of: (i) Risk Coverage (ii) Value to be insured (iii) Rating (iv) Clauses, Warranties, Conditions, Excesses etc. 5. Suggesting changes which will bring about qualitative improvements executing the same during renewal of Insurance Policies. 6. Preparing tender documents sending too the insurance companies, finalizing the terms conditions thereof including but not limited to coverage including add on coverage, excess, exclusions, period of indemnity, policy wdings, policy clauses warranties. 7. Facilitating insurer meetings assisting in sht listing the TPAs, negotiating the best price from the insurers in accdance with the laid down procedures of SPMCIL. 8. Scrutinizing the wding of the final policy documents ensuring that needs interests of SPMCIL are protected. 9. Preparing comparative statement of bids (Technical Price Bid).. Claim moniting periodic review. 11. Validation fecasting of additional coverage benefits. 12. Provide servicing suppt in designing the service level agreement to be signed between the insurance company SPMCIL highlighting the scope of services timeliness. 13. The selected broker shall have to sign a non-disclosure agreement with SPMCIL. 14. Recommend dations placement confirmation. 15. SPMCIL reserves the right to accept the recommendations alter the terms conditions of the suggestions by the broker. The final decision would be that of SPMCIL. The strategy of SPMCIL would bee maximumm risk coverage with minimum premium. Page 4 of 13

5 Claim Management 1. Resolution/Realization of claims. i. Codinating assisting in realization of claims as per provisions guidelines laid down by IRDAI. ii. Codinating with insurers f immediate intimation survey. iii. Codinating with insurance companies, surveys, TPAs etc. f prompt settlement of claims. iv. The broker has to prepare check list of documents required steps to be followed befe lodgement of insurance claim. v. Assist in resolving various queries of insurers, survey during claim proceedings. vi. Guidance in relation to interpretation off policy wdings/conditions, warranties, deductible etc. during claim processing. 2. To deploy personnel in all units of SPMCIL its cpate office f speedy settlement of medical claims at least oncee /twice in a week as per unit/ cpate office requirement. 3. Ensuring seamless service to employees by providing dedicated person who shall be acting as single point contact during hospitalization. 4. To arrange f submission of monthly rept on claim settlement position pending issues. 5. Assisting in speedy realization of premiumm refund/materialization of claim. 6. Should have web based application system which can provide claim status on real time basis. Miscellaneous Services 1. Assisting SPMCIL in taking any new insurance policy. 2. Keeping infmed of the latest IRDA/TAC regulations guidelines. 3. Provide clarification, if any, to the bidders bidding f Insurance Coverage. 4. Advising SPMCIL from time to time, developments in the insurance industry having impact on the SPMCIL. 5. Any other matter related to insurance Risk Management, irrespective of the location of the Insurable assets. Other Condition ns 1. The empanelment shall be valid f one year from the date of empanelment. The period can be extended by 2 years separately at the end of first second year subject to satisfacty perfmance. 2. SPMCIL reserves the right to cancel the empanelment at any time by giving written notice. Page 5 of 13

6 3. Any dispute between SPMCIL empaneled broker shall be within the jurisdiction of the courts at New Delhi/ Delhi only. 4. SPMCIL reserves the right to disqualify/b black list in case of fraudulent acts. 5. SPMCIL reserves the right to disqualifyy in case bidder broker fails to provide clarification in writing within 7 days of receipt of letter/ from SPMCIL. 6. The submission of misleading false representation at the time of submission of application shall lead to disqualification. 7. SPMCIL may empanel me than onee broker in its panel. However, mere empanelment of broker shall not entitle them to broking assignment by SPMCIL SPMCIL shall have the right to assign the job to any of the empanelled broker. 8. The services rendered by the broker shall be free of cost SPMCIL shall not entertainn any request f remunerationn any request f re-imbursement of expenses/costs. 9. In case of Tie of Sce in evaluation chart, the firm having oldest continuous registration with IRDAI may be considered.. The decision of CMD, SPMCIL will be final binding. Page 6 of 13
