1 Dear Exhibitor, Thank you for your participation in the Chesapeake Crab and Beer Festival. This Exhibitor Show Manual contains vital show information, order forms you will need for show services and guidelines designed to increase the value of your consumer show experience. CRITICAL INFORMATION Rash Field (beside the Science Center in the Baltimore Inner Harbor) 610 Light Street Baltimore, MD Show Contacts: Office Kat Hozik Cell: effective 6/22 Mary Wallace Cell: effective 6/22 Show Hours: Saturday June 23 rd SESSION ONE: 11am 3pm SESSION TWO: 5pm 9pm Move-In Dates & Times: Friday, June 22 nd - 10AM 4PM Saturday, June 23 rd - 7:00AM 8:30AM Move Out Date & Times: Saturday, June 23 rd 9:01PM 11PM I m p o r t a n t N o t e s Any vendors serving or sampling food will need to file for a Health Permit with Baltimore City. We will send a list of vendors that will be requesting a health permit as you will need an acceptance letter from us to finish the application. There are access points on either end of the venue that will allow you to drive on site. The ONLY EXIT is out of the Rusty Scupper parking lot. You MUST obtain a parking pass at exhibitor registration to exit this lot free of charge. If you do not have a pass, you will have to pay the parking fee, and we will not reimburse you. The parking passes are on a first come first serve basis. Driving on the grass or the bricked promenade is prohibited. Each distillery/brewery booth is provided with a 6ft or 8ft table, black linen, staffer to pour, rinse pitcher, spill bucket, signage and sign holder. All food vendors (cooking on site) MUST have a K-Class Fire Extinguisher
2 P a r k I n g / M o v e I n N o t e s There will be VERY limited parking for large trucks and trailers within the venue storage area on a first come, first serve basis. I would not count on this parking, and make sure you have a plan in place for getting your vehicle parked somewhere. We have a deal with Parking Panda for this event so you can book parking in advance close to the venue. There is limited parking on Key Highway that you can use. There is a service lot in the area (on your way headed to 95 that will have limited parking for larger vehicles and trailers that might not fit into the parking garages. Parking is also available at the Rusty Scupper parking garage. Passes must be obtained at Exhibitor Registration and are limited on a first come first serve basis. We highly suggest you move in Friday to avoid confusion Saturday morning before the race. Please pay close attention to move in times on Saturday morning as they are effected by the Chesapeake Crab and Beer 5k the morning of. We expect all vendors to be set up by 9am so that when the race starts, and runners start to cross the finish line, you are able to start selling. Reminders of all move in instructions will be sent out closer to the date of the festival as a reminder as well. We look forward to seeing you at the show! 3 R u l e s & R e g u l a t i o n s EXHIBITOR REGISTRATION Badges will be issued at Exhibitor Registration at the entrance Each exhibitor will be allotted badges for their booth staff. Each vendor will receive two (2) complimentary glasses. Additional glasses can be purchased for a discounted fee of $20. Your complimentary passes do not include crabs. Vendors are welcome to purchase crabs al a carte. $35 for 6 crabs. Please remember ALL of your employees will be carded at the event. If they are not of age, they will not be drinking alcohol. You will receive 2 glasses for the whole day, not each session. If you have different staff coming to work the second shift, please leave the glasses for them, or let them know they will need to purchase them. MOVE IN You will be able to drive up to your booth up until 8:30AM on Saturday. After this time vehicles are NOT allowed in the show. All vendors must be set up by 9am. BOOTH PAYMENTS All booth fees must be paid in full by the deadline date or set up will be suspended. VENDOR BOOTH RULES NO exhibit or advertising will be permitted to extend beyond space allocated to exhibitors. Any demonstrations, activities or displays that result in the obstruction of aisles or prevents ready access to neighboring booths may be suspended or removed by Management. Under no circumstances will the Management permit the removal of any portion of an exhibit during the show hours. SECURITY The show will have onsite and overnight security. If any issues arise which require immediate assistance, please notify the closest supervisor in your area. If you cannot find a representative close by, visit the show registration desk and office located at the only entrance of the event and a staff member will be there to assist you. SALES TAX There is sales tax on retail items being sold at this event is 6%. As a company selling items in the State of Maryland you should be charging sales tax and then forwarding the money to the State of Maryland. ICE Ice will be available onsite to purchase. Show Management accepts CASH ONLY for ice. LIABILITY Trigger Agency will NOT be responsible for any injury, loss or damage that may occur to the exhibitor or to the exhibitor s employees or property from any cause whatsoever. The exhibitor assumes full responsibility and liability resulting directly or indirectly, or jointly, from other causes that arise because of the actions or omissions of its agents, employees or independent contractors, whether acting with or without the scope of their authority. NOTE: All exhibitors are responsible for their physical well-
4 being. Please be careful during set-up, tear-down and during the event. Be aware of your surroundings. We suggest that each vendor be covered under a General Liability Insurance plan for each event, or an overall one for the year. If you do not already have a plan you may purchase one for the day here: Beo$ If you intend to purchase the insurance using the link above, please contact Trigger Agency in advance so that we can provide the event number you will need in order to get the special rate for the single day coverage. For each event, please have the Trigger Agency listed as additionally insured. AMENDMENT TO RULES Any matter not specifically covered by the preceding rules shall be subject solely to the discretion of Trigger Agency. 1. No holes may be drilled, cored or punched in any show property, including the asphalt. 2. No adhesive backed (stick on) decals or similar items may be distributed or used on show facilities. 3. All freight and exhibit materials must enter the show through the designated entrances. 4. Rash Field will not accept deliveries of freight, packages, cartons or mail for any exhibitor. 5. All fire, safety and tent regulations must be strictly followed. Particular attention should be paid to the prohibition against propane, acetylene and other flammable materials. 6. Exhibitors are responsible for the removal of all materials at the conclusion of the show. 7. Exhibitors shall obtain all permits and licenses, shall comply with all of the requirements and shall pay all taxes, fees and charges prescribed by federal, state, and local laws, ordinances, and regulations. 8. Exhibitors are strictly prohibited from serving alcohol or alcoholic paraphernalia to minors. All such sales will be grounds for dismissal from the event and immediate closure of exhibitor s booth. Attendees must be 21 years old to drink alcohol.

Order forms received after the deadline cannot be guaranteed and will be subject to increased fees. No refunds or credits will be given for unused electrical service. The under ordering of electricity will result in the loss of service/ onsite fees. Please make sure all order forms are sent to Joshua Smith directly. An order confirmation will be sent to any vendor ordering booth accessories or electric.
