Quicker processing times Online transactions pass directly into MLC s administration systems to be potentially actioned immediately, removing days from each procedure.. No delays in confirmation Reduce the need for ongoing monitoring. MLC s n link provides an immediate confirmation of the receipt of instructions with consistent turnaround times. 3. Easier to manage tax outcomes Online transactions make it easier to manage and generate tax savings for investors. 4. Minimises data errors at both ends Goodbye data errors (eg a 7 being mistaken for a 1 or a 6 for a 0), we process exactly what you submit to us online. 5. No missing data Goodbye missing data. 16 Setting up a New Account Individual 1. From the n-link homepage, click on New Account located under the Clients column.. Click relevant options from the drop down menus in the Investor Account Name box: adviser account account s office the account service account type (if applies) investor type (new or existing investor) 3. Click the OK button. Fill in the name, address, date of birth, employment/ occupation, Tax File Number, address and contact details. 4. To complete the Employment/ Occupation field, click Find. 5. Enter the occupation in the Description field, click on the best match from the search results and click Select. Tips: The NAB Customer MEID section only needs to be completed by NAB aligned advisers. Linked Parties tab will be available for Investment Accounts. For accounts opened in the name of an individual and for super to pension transfers, an Anti Money Laundering (AML) tab will be available to enter the investors identification details. This will facilitate paperless new business n-link User Guide 16

17 Setting up a New Account Individual (continued) 6. Select the FATCA & CRS Check- Mandatory tab and confirm current foreign tax residency status of individual. Refer to FATCA/CRS Information Table on Pages Click the Next button to create a new investor. 8. If the investor is authorising an agent to transact on their behalf, click the Add Agent button. Select the role from the dropdown, such as Power of Attorney or Agent. Search for existing agent by entering their name in the search field and then click Find. If a match is found, select the name. If the agent s name is not found, click Yes to create the agent, then complete and save their details. 18 Setting up a New Account Company or Trust 1. From the n-link homepage, click on New Account located under the Clients column.. Click relevant options from the drop down menus in the Investor Account Name box: adviser account account s office the account service account type (if applies) investor type (new or existing investor) 3. Click the OK button. 4. The Applicants New Account screen will appear. Fill in the organisation name and organisation type, such as Company or Trust. a. If you select Company, select the Company Type (such as public or proprietary) and the relevant option from the Listing and Regulatory Details window for the type of company, and click OK. (The example screen shows options for a proprietary company). b. If you select Trust, select either Regulated or Unregulated. 5. Fill in the ACN, ABN and Industry Type. To complete the Industry Type, click Find, enter the industry type in the Description field, click the best match from the search results and click Select. 6. Complete the Tax Details, Residential Address, Postal Address and Contact Details. Tips: Send signed n-link application, required FSC forms and all supporting documents to Navigator. See the Customer Identification Guidelines section for details of the documents required for each entity a 3 n-link User Guide 18

19 Setting up a New Account Company or Trust (continued) 7. For Company, Joint Tenants, Partnerships and Trusts, select the FATCA & CRS check-mandatory tab and confirm reporting standards. Click Next. Refer to FATCA/CRS Information Table on Pages Select the Linked Parties tab and add all required parties for the entity type. Click the Information icon for a window showing details of the linked parties required for each entity. To add a linked party, click Find, enter their name and click Find. If a match is found, select the name. If the name is not found, click Yes to create the linked party. Complete all details and click Save. 20 FATCA/CRS Information Advisors must check the reasonableness of FATCA/CRS information provided against other ID details and proof documents. Applicant type Individual and Joint Tenants Information Required 1. Select Yes or No to the question: Is the individual a tax resident of a country other than Australia (Note: US tax residents include US citizens)?. If individual or joint tenants are a foreign tax resident, please provide country and one of the following: TIN or Reason Code and Reason Description (For Reason B only). Company, Trusts and Partnerships 1. Select one of the following options: Financial Institution a. Enter GIIN or FATCA status. b. Select Yes or No to the question Is the entity an Investment Entity located in a Non-Participating CRS Jurisdiction and managed by another Financial Institution? c. If Yes to the above question, select Yes or No to foreign controlling person question(s). d. Update the linked parties section for all foreign controlling persons as per the individual procedure. A Public Listed Company, Majority Owned Subsidiary of a Public Listed Company, Governmental Entity, International Organisation, Central Bank, Australian Registered Charity or a Deceased Estate a. Please select, and no further action is required. A Foreign Charity or an Active (Non-Financial) Entity a. Confirm Is the entity a tax resident of a country other than Australia? b. 23 Selecting Fee Options 1. Click the Fees tab to enter the applicable adviser fees.. Initial Service Fee can be charged as a $ or %. 3. You can set a % fee to be charged for future contributions. 4. You can charge a $ or % fee for share transactions. To allow greater flexibility we provide 3 options for charging Adviser Service Fees: Flat Tiered Investment Important: New accounts opened will default to Series fee model pricing. 24 Setting up Deposits and Investment Details 1. Click the Investment Details tab.. In the Deposit Amount panel, click either cheque, loan deposit, single direct debit, EFT or External In Specie from the drop-down menu. If you select a single direct debit, you must enter the bank account details. A single direct debit from the investor s bank account is the fastest and most accurate method of facilitating payment. Tip: For cheque rollovers, please make cheque payable to MLC and not the investor s name. 3. Enter the deposit amount (minimum $100) and select the category from the menu. Enter employer name if applicable. If it is a rollover, provide the name of the Super Fund in the Source field. Also search or manually enter the information via the Rollover Details hyperlink. If the rollover is electronic, no paperwork is required to be sent to the other fund. A full erollover will cause insurance with the outgoing to be cancelled. 4. To select the investments you would like to add to the portfolio you can click Add Investments. Add Investments provides the list of Managed Funds, Term Deposits, Shares, SMAs and Tailored Portfolios via the tabs at the top of the screen. Select the investments by placing a tick beside the investment. Tips: Set up a Favoured Investments (in the pop-up list). This allows you to filter frequently used funds and display them at the top of the list (see the Utilities/ Preferences section located from the drop down menu within the n-link homepage). Allocate the % or $ amount to buy (% offers more flexibility for any future changes and should be used where possible). 1% of the total portfolio balance needs to be allocated to the cash account to satisfy the minimum cash holding requirement n-link User Guide 4

25 AML Details 1. Click the AML Details tab to enter the Anti-Money Laundering Requirements and Record Verification information.. In the Anti-Money Laundering Requirements, select either Part I, Part II or Part III. 3. If Part I Acceptable Primary photographic ID documents is selected, then available valid options will be shown. For Part I, one Record of Verification column will be available as only one ID document is applicable. The Record of Verification fields will display what information and format is required fill in all available fields. 4. If Part II or Part III are selected, then follow the instructions in the text boxes as to how many options are to be selected from each section and what information is required. 1 Tips: For accounts opened in the name of an individual and for super to pension transfers, an Anti Money Laundering (AML) tab will be available to enter the investors identification details. 26 Setting up Reinvestment of Earnings (DRP) 1. Within the Investment Details tab, click the Reinvestment of Earnings blue hyperlink located at the bottom of the screen. The DRP Details screen will appear. Tip: DRP represents Distribution Reinvestment Plan. Change the drop down to a Yes beside each fund if you d like the distributions reinvested to purchase more units. Alternatively you can check the Reinvest All box. 3. The Reinvest All Future Income sets all future investment purchases to default YES for reinvesting of earnings. 4. Click the OK button. Important: This instruction doesn t update automatically and therefore may need to be amended if investment products are added or sold out of the portfolio. Tips: Reinvestment of Earnings is not available on all Term Deposits and some SMAs. For more information please check the Investment Allocation Authority relevant to the product. For some SMA model portfolio s, investors have the choice to reinvest investment income, whilst other SMA s the income strategy is determined by the model manager. 27 Setting up a Sell Down Sequence 1. Within the Investment Details tab, click the Sell Down Sequence blue hyperlink located at the bottom of the screen. The Sell Down Sequence screen will appear with the pre populated Default Sell Down Order selected.. To change the sell down order, click Custom Sell down Order button at the top of the screen. Highlight individual funds and then click Move Investment Product Up or Down button at the bottom of the screen. 3. Click the OK button. Important: The funds at the top of the list will be sold first and the bottom will be sold last. On a quarterly basis the cash holding is automatically reviewed (minimum liquidity) and it may be necessary for funds to be sold to meet cash holding standards. The Sell Down Order determines which investment product is sold first. For Minimum Liquidity dates please refer to Latest news on home screen of n-link. 28 Applying a Fee Linking Group 1. Within the Investment Details tab, click the Fee Linking Group blue hyperlink located at the bottom of the screen. The Fee Linking Group screen will appear.. Within the Allocation panel, allocate the % amount to buy or click the Copy Allocation button to apply the same allocation as the initial deposit. You can also click the 100% Cash button for the regular deposits to go straight to the cash account. 4. Click the OK button. 33 Setting up a Regular Withdrawal / Automatic Income Distribution Facility 1. Within the Investment Details tab, click on the Regular Withdrawal / Automatic Income Distribution blue hyperlink located at the bottom of the screen. The Regular Withdrawal screen will appear.. For the Regular Withdrawal facility, check the Use a regular withdrawal option box and enter the annual payment amount, commencement date, frequency and payment escalation % details under Regular Withdrawal Amount. Payment escalation refers to % increase per annum. 3. For Automatic Income Distribution facility, check the Use automatic income distribution facility box and from the drop down menu click the distribution option and % details. 4. Within the Nominated Bank Account panel, add bank account details. For Regular Withdrawals you can enter an EFT Reference. 5. Click the OK button. Important: Regular Withdrawal is not applicable on super accounts. Tips: The Automatic Income Distribution Facility (AIDF) occurs quarterly February, May, August and November or half yearly in February and August. 34 Nominating a Beneficiary Important: Applies to Retirement accounts only. 1. Within the Investment Details tab, click the Super and Beneficiaries Details blue hyperlink located at the bottom of the screen. The Beneficiaries screen will appear.. Select the nomination type and then click the New button. 3. A pop up screen will appear confirming the creation of the nomination type. Click Yes to proceed. 4. Enter the nominated beneficiary details and then click the Apply button. 5. Click the OK button. The Margin Lending screen will appear.. For Other Margin Lending check the Other Margin Lending box. 3. From the drop down list select the Gearer Name. Enter in the loan number. 36 External In Specie Transfers In specie allows you to transfer managed funds or shares without selling the underlying investment. It allows you and your investors to transfer assets into Investment, Superannuation and Pension accounts. Prior to this step under the Investment Details tab and Payment Type, External In Specie must be selected from the drop down box to activate the External In Specie Transfer tab. No units are sold using this option and there may or may not be CGT implications. In Specie Transfers are not available on Allocated, Growth, Term Allocated Pension or Self Managed Super accounts. 1. Click on the External In Specie Transfer.. Copy investor copies the current investor s details. Find to search for an existing investor. Create New creates a new investor. Important: For Superannuation accounts, there will always be a change of beneficial ownership. 3. Under the Investments to be Transferred panel, click Add Investments. Enter the 1 APIR/ASX Code or Full name and click Find. Tick and highlight the Investments and click Select. 4. Enter the number of units you wish to transfer in the Units column for each of the Investments. 5. If you require a Standard Transfer Form place a tick in the Std Transfer Form column for each investment. If you do not require a Standard Transfer Form, place a cross in the Std Transfer Form column for each investment. 6. Listed Investments only: If you have ticked Yes to a Standard Transfer Form click on the Std Transfer Form hyperlink. Tip: If you are looking to transfer into a SMA, please refer to Section 3 SMA section for more instructions. If the investment product you want to In Specie Transfer is not on the list please contact us on Enter in the details for the HIN or SRN, Seller Name and PID/Broker Name. The Registry/Account Designation is not compulsory. Click OK. Repeat for each Investment by selecting Copy Previous HIN Details if applicable or entering new details. 7. If there is no change of beneficial ownership you must enter the parcel history or sign the Incomplete Parcel History Declaration that will generate when you Print Instructions. If there is a change of beneficial ownership then you do not have to enter parcel. There are two options available to enter parcel history: 1. Manual Click on the Parcel History hyperlink. Amend Trade Date, Unit Amount and $ Unit Price and click OK.. Upload To upload Parcel History via excel spreadsheet, click Upload Parcel History. Select Template to view our standard template format enter in the details, Save, then click Browse to find and upload the template. If you ve already completed the template, click Browse and find the template. 4 5 You can also print the parcel history for your records by clicking Print Parcel History. 3 7 Important: We require original signed Standard Transfer Forms to be mailed to MLC. 37 Submitting the New Business Application 1. Click the Summary tab.. Click Save then Validate from the buttons at the bottom of the screen. A message will appear indicating if you have passed or failed the validation process. 3. Follow the instructions displayed within the Validation Messages panel located at the bottom of the Summary tab. Tip: A tick indicates a pass. A cross indicates a fail.! An exclamation or information mark indicates a warning you may need to be aware of. You can still submit with a warning. Refer to page 7 for additional supporting documentation required by MLC Click the Save button once you have rectified the error then Validate again until you have captured all required information. 5. Once Validation is acknowledged the Print Instructions button will be active. Click the Print Instructions button and the New Business Instructions screen will appear. 6. Click the appropriate confirmations and declarations and then Generate to produce the pre-populated application for the investor to sign. Instructions display whether the application is required by MLC or if it is a straight through application. Tips: New Business can be lodged at any time and will be processed immediately upon lodgement. An account number will also be automatically generated. Draft transactions which have not been submitted can be retrieved at any time by clicking on the Draft Transactions section on the n-link home page. On the Summary tab you can select the Tax Method and provide your consent for privacy and/ or marketing. For accounts opened in the name of an individual and for super to pension transfers, an Anti Money Laundering (AML) tab will be available to enter the investors identification details. This will facilitate paperless new business. Select the confirmation of the client has provided you with a signed application and that you have read the Adviser declaration on the application form. Enter the password you used to log into n-link. Then click Authorise. 8. To submit the New Business application click OK. 9. A confirmation document will be generated with the Investor Account Number noted. You can quote this number on supporting documentation you send to MLC. 40 Switch The Switch function allows you to create multiple buys and sells in one online transaction. 1. After locating and selecting the investor account, click the Switch button located in the Portfolio Valuation screen. Tip: Within the Switch Details panel you can elect to choose a Tax Optimisation Mode. First in First Out (FIFO) or Highest Cost First Out (HCFO). If you don t select a Tax Optimisation Mode, the FIFO method will be applied. Important: Fast Track Withdrawals is limited to 75% of an investors account balance. Fast Track processes the buys and sells at the same time to provide an efficient service and it is not available for illiquid funds, hedge funds, term deposits, debentures, property-diversified or capital protected products.. Enter the amounts you wish to Sell in the relevant columns. This can be done by %, $ or number of units as shown. Enter the Tax Optimisation Mode and the Adviser Share Transaction Fee (if applicable) in the Switch Details panel. 3. Click the Add Investments button to add new funds to the transaction. A pop-up list of available Managed Funds, Term Deposits, Shares, SMAs and Tailored Portfolios will appear. 4. From the list of available investments, place a tick in the left column to add investments to your portfolio (you can select more than one investment at a time). 5. Click the OK button to add. Important: If you re selling 100% of an investment that has a regular buying facility, you ll be asked if you want these arrangements to continue with the Cancel RBF/AIF column. Share product(s) included in a Switch will be sent to the market as a market to limit order(s). Tip: If the investor holds a direct holding(s) and then attempts to invest in a model which has the same investment then the validation will fail and they will be required to link the investor to the model and then resubmit the transaction n-link User Guide 40

Click on the Switching Instructions button to generate the instructions. Investor signature is not required to be viewed by MLC. 9. Click on Record of Advice for a record of written confirmation of the switch for the investor. 10. Click the Submit button when you re ready to lodge the switch. You ll be prompted to enter your n-link password. To proceed click Authorise. Important: Unless Fast Track Switch is ticked, the sells will complete first prior to buys commencing. 42 Reweight The re-weight function processes buys and sells to realign the investors portfolio in line with their target allocation. 1. After locating and selecting the investor account, click the Reweight button located in the Portfolio Valuation window. You have the option to change: Fast Track (Fast Track executes the buys and sells at the same time, resulting in less time out of the market). Tax Optimisation Mode Minimum Trade (Shares) (default $500) Minimum Trade (Funds) (default $100) Adviser Share Transaction Fee. Within the Reweight Details panel, type in the percentage allocated to each investment product in the Desired Portfolio % column. n-link will then calculate the required sells or buys to bring the allocation to that percentage. Investment products can also be excluded from the reweight. 3. Click the Add Investments button to add new funds to the transaction. This will bring up a pop-up list of available Managed Funds, Term Deposits, Shares, SMAs and Tailored Portfolios. Place a tick in the left column to add investments to your portfolio (you can select more than one investment at a time). Click the OK button. Tips: To set up an Automatic Reweight Facility, tick the Automatic Reweight box located in the Future Auto Reweight panel. Enter the Capital Start Date, Frequency and Reweight Tolerance. The Reweight Details table will adjust to include an additional column, Exclude from Auto Reweight. Click the Asset Allocation button to view the impact of these changes on the investor s market exposure. 6. Click the Reweight Details button to view the detailed impact of these changes on the investments. 7. Click the Save Draft button. 8. Click the Validate Reweight button to verify the reweight is eligible for processing. 9. Click on the Reweight Instructions button to generate the investor authorisation documents for your compliance purposes. 10. Click the Submit button when you are ready to lodge the reweight. 11. 44 Transferring from one SMA to another 1. After locating and selecting the investor account, click the SMA Transfer button located in the Portfolio Valuation screen. If the current portfolio has an SMA, it will be displayed as a blue hyperlink and can be clicked on to open and view individual holdings. Holdings can be transferred out of the SMA as a %, $ or unit amount. Click OK to return to the main SMA Transfer screen.. Enter the amount you want to transfer from the SMA in the Transfer from section, in either the % or $ column. 3. To buy a SMA, click Add SMA to Transfer. 4. Select the SMA by placing a tick in the left column. Once selected, click OK. Important: Once you have selected the holdings you want to transfer to, you can edit the transfer. You can only perform one SMA transfer at a time. If you have made an error, click the Delete tab to cancel the request. This will reactivate the Add SMA To Transfer button at the bottom of the screen and you can restart your request to transfer holdings. You cannot transfer NAB shares to any existing SMA as it will be in breach of section 79c of the Corporations Act. 5. Once complete, click Save Draft, Validate SMA and Switching Instructions. Details of the transfer will appear, click OK. The SMA Switching Instructions will then appear. Investor signature is not required to be viewed by MLC. Tips: Check your warning messages for any CGT implications. The minimum initial investment amount to transfer to a single sector SMA model is $10,000 and for a multi-asset SMA model is $100,000. However if the investor currently holds the model the minimum does not apply. SMA models cannot be transferred into another SMA. However underlying assets within an SMA model can be transferred across. 6. Once you re ready to lodge instructions, click Submit to complete your request. The SMA Transfer screen will appear. The current account holdings are displayed in a tabular format. Select the SMA you d like to transfer assets out of, by clicking on the blue hyperlink. 3. The SMA Product Details screen will appear. Select the assets to transfer either by %, $ or units. 4. Click OK. 5. Click Add SMA to Transfer button. Tip: If you use the SMA Transfer option, there may be a reweight of the SMA(s) models required to ensure the SMA model meets the required model allocations. 48 Share trading With Share Trading you can buy and sell shares using At Limit or At Market pricing. Buying Shares 1. After locating and selecting the investor account, click the Share Trading button located in the Portfolio Valuation screen.. The Share Trading screen will appear displaying the Buy Shares tab. 3. Enter the ASX code or click the ASX Code button to search for the shares you wish to purchase. 4. If you don t know the ASX code click on the ASX Code button and type in your preferred Share Name. Then click Find. From the list of matching shares, double click on your preferred share to select. 5. To select a broker either select from the Broker button or via the drop down box. 6. Funds Available for Share buys represents the Available Cash greater than $0 plus any available unsettled shares sells. To update the Funds Available for Share buys value, you may need to refresh screen. 7. Enter the quantity of shares to purchase at either At Limit or At Market price. If you want to trade At Market, click on the Estimate button for an estimate of current price per share. You are unable to submit an At Market share trade outside trading hours. 8. Assign an adviser fee if you want to charge a fee for performing share transactions for your investor. The total reflects the estimated amount to be debited from the investor s cash account for this transaction. 9. Once you re ready to lodge the instructions, click Submit to complete your request. Validation is built into the Submit button. Any warning or error messages will appear after clicking Submit. When the share order is validated, an Authorise screen will appear. Click Authority Form to generate or alternatively if you already have the authority to transact click on the appropriate confirmation, enter your n-link password and click Authorise. Tip: By clicking on the At Limit (per share) button, you can check the current trading price per share. This link will provide you with live trade information. If you do not select anything, it defaults to FIFO. This mode will apply to the share if you are not selling by parcel. 8. Once you re ready to lodge the instructions, click Submit to complete your request. Validation is built into the Submit button. Any warning or error messages will appear after clicking Submit. When the share order is validated an Authorise screen will appear. Click Authority Form to generate or alternatively if you are ready have the authority to transact click on the appropriate confirmation, enter your n-link password and click Authorise. This will act as proof that MLC has successfully received your trade instructions. Tips: Click on the History tab to view the history of all Share Trades made on that account. 50 Share trading (continued) Buying and Selling Shares Price Steps How we calculate a market to limit order: In line with ASX trading rules, market orders are always placed as limit orders based on the last market price plus price steps (for buys) or subtracting price steps (for sells). The price is calculated by the number of price steps times the multiple. For example: Buy trade = Last traded price + number of price steps times the multiple Price steps Price steps are the minimum price multiples for a security. The multiple depends on the market price for the security. 51 Additions The Additions functionality allows you to add additional funds or transfer holdings into the existing investor account. 1. After locating and selecting the investor account, click the Addition button located in the Portfolio Valuation screen.. Within the Additional Investment/ Contribution panel under the Addition tab, click the Add New Payment blue hyperlink. 3. Enter the Payment Type, Amount, Category and Employer Name (if applicable). If Single Direct Debit is selected then bank account details must be entered. 4. Enter any fees that apply in the Initial Fees panel. 5. To use the Progressive Investment Facility, check the box. Enter the Amount, Frequency, Preferred Start Date, Number of instalments. Tips: Click on Delete to remove any additional payments not required. To add new investment products not within the current portfolio, click the Add Investments button. From the list of available investments, tick the left column to add investments. You can select more than one investment at a time. 8. Click the Save Draft button. 9. Click the Validate Addition button to verify the Addition is eligible for processing. 10. Click on the Print Instructions button to generate the investor authorisation documents for your compliance purposes. 11. 53 Additions erollover As APRA regulated superannuation funds are now obligated to receive and transmit electronically they must do this in accordance with the mandatory data and e-commerce standard which have been introduced. This standard enables electronic payments between super funds. The Australian Taxation Office (ATO) plays an integral part in validating APRA regulated superannuation funds i.e. Those funds that are able to receive and transmit rollovers electronically, by maintaining the ATO Fund Validation Register. Exceptions to erollovers are: Requests to rollover funds to super funds that are not registered with the ATO Fund Validation Service (eg SMSFs) Internal rollover requests In-specie rollover requests Requests to rollover funds from an overseas superannuation fund. 1. In the Portfolio Valuation details screen click Addition. To perform a rollover, click on Rollover Details.. Here you can enter the rollover institution and click Find. 3. Details and USI information for the selected rollover institution will be pre-filled. All you need is the Member Client Identifier. This will trigger the automatic erollover facility. Then click OK. 4. Alternatively, if the rollover institution details are unavailable, you can also manually enter in the Superannuation Fund Details on this screen. Important: Manual input of Superannuation Fund Details in step 4 will not trigger automatic erollover. A full erollover or rollover will cause insurance with the outgoing fund to be cancelled n-link User Guide 53

54 External In Specie Transfer Addition This option is only available if in the Additions, External In Specie has been selected as the Payment Type. 1. In the Portfolio Valuation Details screen, click on Addition.. Investment Accounts: Under the Additional Investment/ Contribution panel, select the Payment Type as External In Specie. Enter the Source details. Superannuation Accounts: If there is more than one contribution category you will need to enter one External In Specie deposit for each category. Where there is multiple In Specie deposits you must allocate a deposit amount to each category except for one which will be the Floating Balance as this amount cannot be confirmed until the transaction is complete. 3. Under the Initial Fees panel, enter the fees applicable. 4. If you wish to set up a Progressive Investment Facility (PIF), complete the details under the Facilities panel. 5. The Investment Details tab shows the current Investment Allocation. You can add the additional contributions to existing or new investments. Important: $ fees will always be deducted from the cash deposit component of the Addition. % fees will be charged on both the cash deposit and the In Specie Transfer amount. The amount charged on the External In Specie component will not be deducted until the In Specie transaction has completed. 6. Proceed to the External In Specie Transfer tab. Under Transfer Details Source of Assets panel, enter the Seller details by: Copy Investor copies the current investors details. Find copies the current investors details. Create New creates a new investor. Tip: If you are only adding an External In Specie deposit, you do not need to complete this tab. 7. Investment Accounts Only: Is this a change of Beneficiary Ownership? No If there is no change of beneficial ownership you must enter the parcel history or complete the Incomplete Parcel History Declaration Yes If there is a change of beneficial ownership then you do not have to enter parcel history. 8. Under the Investments to be Transferred panel, click Add Investments. Enter the APIR/ASX code or Full Name and click Find. Tick and highlight the Investments and click Select. Tip: You can only have one External In Specie transfer deposit per Addition transaction for Investment Accounts. 9. Enter the number of units you wish to transfer in the Units column for each of the Investments. 10. If you require a Standard Transfer Form, place a tick in the Std Transfer Form column for each investment. Important: If the investment product you want to In Specie transfer is not on the list please contact us on If you do not require a Standard Transfer Form, place a cross in the Std Transfer Form column for each investment. n-link User Guide 54

55 External In Specie Transfer Addition (continued) 11. Listed Investment Only: If you have ticked Yes to a Standard Transfer Form click on the Std Transfer Form hyperlink. Enter in the details for the HIN or SRN, Seller Name and PID/Broker Name. The Registry/Account Designation fields are not compulsory. Then click OK. Repeat for each investment by selecting Copy Previous HIN Details if applicable or entering new details. 1. If there is no change of beneficiary ownership you must enter the parcel history or sign the Incomplete Parcel History Declaration that will generate when you Print Instructions. Important: For Superannuation accounts, there will always be a change of beneficial ownership. Parcel History There are two options available to enter parcel history; 1. Manual Click on the Parcel History hyperlink. Enter Trade Date, Unit Amount and $ Unit Price. Click OK. Repeat for each investment.. Upload To upload Parcel History via an excel spreadsheet, click Upload Parcel History. Select Template to view our standard template format. Enter in the details, Save, then click Browse to find and upload the template. If you ve already completed the template, click Browse and find the template. Important: You can also print Parcel History for your records by clicking Print Parcel History. Click Save, then Validate. 13. Click Save Draft, then Validate which will highlight if additional information is required. At this stage, you can also select the tax optimisation details and consent for marketing and privacy. 14. When all rules comply, the Print Instructions button at the bottom of the screen will be activated. Click on the Print Instructions button to generate the client authorisation documents for your compliance purposes. The Submit button automatically sends the instructions to MLC to confirm the new request. Once you re ready to lodge the instructions, click Submit to complete your request. You ll be prompted to enter your n-link password. Click Authorise to confirm. Important: We require original signed Standard Transfer Forms to be mailed to MLC. 57 Withdrawal The withdrawal module will enable you to create: partial withdrawals, partial commutations and partial rollovers. ad-hoc pension payments. 1. After locating and selecting the investor account, click the Withdrawal button located in the Portfolio Valuation screen.. The Withdrawal Details screen will appear. 3. Select the Withdrawal Type. 4. Select Tax Optimisation Mode. If you do not select a mode, First In First Out (FIFO) will be applied. Important: The Withdrawal Details panel allows you to either use the proceeds from the sale of investments or nominate a gross/net withdrawal amount. Check the check box to use the proceeds from the sale of funds. This option won t use any money from the cash account. Alternatively, enter a gross or net withdrawal amount. 5. Select to withdraw Proceeds from sale of funds (you must un-tick the Fast Track box if you want to select proceeds from sale of funds) or enter the gross or net amount. Tip: For super and pension accounts click on the Exit Value button to display the exit value for the account. 6. Choose which sell down method you want to use from the Sell Method drop down list. Sell Down Order will sell down funds based on the Sell Down Sequence in the Portfolio Valuation tab of the account. Portfolio will sell down the funds based on the nominated Tailored Portfolio holdings. Proportionately will automatically populate a sell down of investments based on the percentage held in each investment. 7. For Retirement investors The Release Condition and Calculation Type are to be specified. Important: If 100% of a fund is sold from the Sell Down Order and the withdrawal amount is not met then the next investment in the order will be sold down. This option is not applicable if the Proceeds from sale funds or other Sell Methods are chosen. Tip: If you click on the Asset Allocation, you can see the before and after market exposure details for the account. Important: Fast Track Withdrawal only allows up to 75% of the account balance at a time. It is not available for illiquid funds, hedge funds, property-diversified, term deposits, debentures or capital protected products n-link User Guide 57

58 Withdrawal (continued) 8. To sell investments by parcel, click on the investments which have a blue hyperlink. The Sale of Unit Parcels screen will appear showing all parcels purchased. If Sale of Unit Parcels is not specified, the Tax Optimisation method will take affect. 9. Click on the Payees button to add payee details. For rollovers, when selecting a fund to rollover to, n-link will automatically populate the Super Fund details. If you cannot find the Super Fund, details will need to be manually entered along with the Member Client Identifier. Click OK once complete. 10. For Super and Retirement investors click on the Components button and enter which Preservation components the withdrawal funds are to be withdrawn from. 11. Once complete, click Save Draft, Validate the Print instructions. Investor signature is required to be viewed by MLC and where applicable, Customer Identification documents. 1. Once you are ready to lodge the instructions, click Submit to complete your request. You will be prompted to enter your n-link password. Important: The Fast Track functionality can t be applied for Partial Rollovers on Super and Pension accounts. n-link will automatically determine if the withdrawal qualifies for a straight through withdrawal. For more information please refer to Straight Through Withdrawal section of this guide. Tip: For Retirement investors If the request is a rollover, a letter of Compliance may be required before the withdrawal can be completed. For Retirement investors make sure the s tax deduction details are entered. For a payment by Direct Credit you can enter an EFT Reference. 59 Cash Account Withdrawal Cash account withdrawals allows you to transfer funds from the Available Cash Account. 1. In the Withdrawal Details screen, untick the Fast Track box and enter a Withdrawal Amount. Don t enter an amount in the Sell Funds panel as the funds are coming from the Cash Account.. Click on the Payees button to add payee details. For rollovers, when selecting a fund to rollover to, n-link will automatically populate the Super Fund details. If you cannot find the Super Fund, details will need to be manually entered along with the Member Client Identifier. Click OK once complete. 3. For Super and Retirement investors click on the Components button and enter which Preservation components the withdrawal funds are to be withdrawn from. 4. Click the Save Draft button 5. Click the Validate button. This will bring up a Transaction Validation message. Click OK. 6. An Instructions Notification will be displayed to advise that funds will be deducted from Available Cash. 7. Click the Print Instructions button. 8. Once you re ready to lodge instructions, click Submit to complete your request. You ll be prompted to enter your n-link password. 60 Straight Through Withdrawal (No Signatures Required) We ve introduced straight through withdrawals for partial withdrawals submitted via n-link to a clients nominated bank account. To take advantage of this new functionality your client must: be opted into ereporting (view statements online instead of by mail), have a nominated bank account, withdrawal amount is less than 75% of the account value and other exclusions not met. 1. Please refer to Standard Withdrawal section of this guide to process a withdrawal.. Adviser to keep Print Instructions for compliance. The withdrawal paperwork will indicate whether a Straight Through Withdrawal was processed (no instructions will be required). If it was not processed as a Straight Through Withdrawal (instructions will be required) it may be due to other exclusions flagged on the account. 3. Investor will be sent an advising that a withdrawal has been made by the adviser on their behalf to their nominated bank account on our database. How to nominate a bank account New accounts: Bank accounts can be nominated during the new business process. Existing accounts: A existing bank account can be changed to nominated via the Portfolio Facilities section and Bank Accounts hyperlink. Select the bank account and then click Set Nominated. The generated Account amendment form is not required to be sent in. To add a bank account the signed Account amendment form must be sent to us. How to add ereporting to an account New accounts: ereporting is the default option for all new applications, unless your client has actively opted out. Existing accounts: To confirm if the investor is currently opted-in to ereporting, simply view the Electronic Reporting option within the Account Details tab in n-link. If the investor isn t opted-in to ereporting, their preference can be updated by: selecting the check box for Electronic Reporting under Account Details. Please Note: The Investor s must be entered first. logging into Investor Online and selecting Reduce paper waste from the home page. Important: Straight Through Withdrawal conditions are validated automatically. Existing insurance policies cannot be transferred to the pension account. Please contact Adviser Services to discuss possible continuation feature on Tips: For accounts opened in the name of an individual and for super to pension transfers, an Anti Money Laundering (AML) tab will be available to enter the investor s identification details. Enter the bank account details the pension is to be paid to under the Nominated Bank Account section. 14. If you would like to nominate a reversionary beneficiary, complete the Reversionary Pensioner Details section. 15. In the TFN Details tab, enter the tax declaration under the TFN Details section. Further information can be supplied under the information box. Important: You are unable to add a Reversionary Pensioner once pension payments have commenced. Active Model Manager SMA reweights is an exception. In order to transfer to an existing account the account name must match identically otherwise the transfer cannot be processed. 3. 73 Bank accounts This section displays bank account numbers. You are also able to set nominated accounts to existing account numbers. 1. After locating and selecting the investor account, click the Bank Accounts blue hyperlink button located in the Portfolio Facilities panel. You can Add, Delete or Set Nominated bank accounts. To add a new bank account click Add, enter the new Bank Account Name, Number, BSB and flag whether bank account is nominated or not then click Print Instructions. A pre-populated Account amendment form will load. MLC requires the signed instructions to process this request.. You can Delete existing bank accounts by highlighting the account, and clicking Delete. 3. You can set existing bank accounts as the nominated account by highlighting the account first. Then click Set Nominated. An existing bank account can be changed to nominated by highlighting the bank account and then clicking Set Nominated. 74 Reinvestment of Earnings This section will allow you to reinvest income accrued from a managed fund back into the same fund. 1. After locating and selecting the investor account, click the Reinvestment of Earnings blue hyperlink button located in the Portfolio Facilities panel.. You can check the Reinvest All box or on the Reinvest Earnings drop down box select Yes beside the appropriate fund to reinvest the distributions to purchase additional units. 3. You can check the Reinvest all Future Income box to apply a default for any new assets income to be reinvested. 4. Click the Submit button when complete. Important: Reinvestment of Earnings is unavailable on all Term Deposits and some SMAs. For more information please check the Investment Allocation Authority relevant to the product. 75 Sell down Sequence n-link uses the Sell Down Sequence when Minimum Liquidity or negative cash is triggered. It is can also be used for withdrawals. 1. After locating and selecting the investor account, click the Sell Down Sequence blue hyperlink button located in the Portfolio Facilities panel.. The Default Sell Down Order Sequence is set by the MLC Investment Policy Team. To change the sell down order, click Custom Sell Down Order. Highlight the individual fund and then the Move Up or Down buttons. 3. The funds at the top of the list will be sold first and the bottom will be sold last. 4. Click the Submit button when complete. 76 Rolling over a term deposit 1. After locating and selecting the investor account, click the Rollover of Term Deposit blue hyperlink button located in the Portfolio Facilities panel.. The Rollover Details screen will appear. 3. To rollover selected individual Term Deposits, use the Rollover Principal column and select Yes Once, Yes Ongoing or No accordingly. 4. Once complete, click Submit. A letter will then be generated containing details of the Term Deposit rollover. Important: When you select Rollover All it will only apply to the Term Deposits that were available when the option was selected. If another Term Deposit is purchased after this option is applied, you would need to go in and check the Rollover All box again. To view details of your Term Deposit, select it by highlighting and then double click from the Portfolio Valuation screen n-link User Guide 76

77 Regular Investment Facility (RIF) This facility will allow you to set up, suspend/resume and close regular direct debit arrangements from the investors bank account to MLC. 1. After locating and selecting the investor account, click the Regular Investment Facility (RIF) blue hyperlink button located in the Portfolio Facilities panel.. To add a RIF, click Add Facility Adjust Bank Details by selecting from the drop down menu or gearer bank account. Input Adviser Fees if applicable. Customise the Regular Investment Details instructions. Choose Add Investments. 3. For any existing RIF, you can Suspend Facility to a date in the future. 4. For any existing RIF, you can Resume Facility if the RIF is suspended. 5. For any existing RIF, you can Close Facility to cancel the RIF. 6. Once customised, click Validate RIF. 7. Pre-populated Print Instructions will be available for to the investor to sign. The generated Regular Investment form is not required to be sent in. 78 Additional Investment Facility (AIF) This facility allows you to direct where additional investments to the account are allocated. Additional Investments will automatically be allocated to the cash account if AIF is not set up. 1. To add an AIF, click Add Facility Input Adviser Fees if applicable Select the applicable Contribution Type 3. Choose your investments by clicking on Add Investments. The Available Products window displays available Funds, SMAs and Tailored Portfolios. After placing a tick next to the required investment, click OK. 4. Once customised, click Validate AIF. 5. 79 Progressive Investment Facility (PIF) This facility allows you to invest fixed amounts on a regular basis into nominated investment funds and term deposits from amounts held in your Cash Account. Important: There must be sufficient funds in Available Cash for the PIF to be automated. 1. Tick the box in the Receipts panel to print a receipt and Suspended Facility Details to adjust dates for the next pension payment. Click OK to submit changes. 3. View Bank Account details, Last Payment Date and other pension details. 4. In the Payment Details panel, you can adjust dates for the next pension payment and pension payment amounts. 5. Click Add Facility to add a RWF. You can enter an EFT Reference for RWF. This reference will display in the payees bank account. 3. 87 Asset Allocation 1. From the Portfolio Valuation tab, click on the Asset Allocation tab. The page is divided into Asset Allocation, Graph and Asset Allocation Details. In these panels you ll be able to see a breakdown of all the portfolio s asset classes in dollar and percentage values.. These transactions do not require signed client instructions and are updated upon being submitted and authorised successfully. To create an adhoc Adviser Service Fee, click the (Adhoc) Adviser Service Fee ($) button and enter in a new fee. Once you have update fees in this panel, you are prompted to click Validate and then Print Instructions. MLC requires the signed instructions to process this request. 3. Other Details In this panel, click the Populate Exit Value and Other Components button to view the value of portfolio if you were to exit the service, taking into consideration fees and taxes that may apply. 4. Monthly Discounts This panel enables you to review monthly discounts applied to the portfolio. Edit the Effective Date field to review information by different dates. Dates entered always need to be the last day of any month. 5. Fee History Tabs In History, you can: view the history of initial and ongoing fees deposits history linked group details or any fee aggregation discounts The history of any (adhoc) adviser service fees charged to the account. 6. Fee Disclosure & Renewal Details This functionality was to assist advisers with FOFA obligations. Fee Disclosure Information tab: Click on New and enter the Fee Disclosure Anniversary Date. Enter the Fee Disclosure Sent Date and click OK. Renewal Notice Information tab: As part of the Renewal Notice (Optin) obligations, new clients entering into an ongoing fee arrangement from 1 July 013 will need to be sent a Renewals Notice. To do this: Click New and enter the Renewal Notice Anniversary Date then click OK. A Fee Disclosure Data report can be run from Investor Reports to display individual fee data which can be used in a Fee Disclosure Statement. 7. Additional Tabs Initial Fees, Ongoing Fees, Deposit History, Linked Group, Aggregate Fee Details and (Adhoc Adviser Service Fee) displays the investors fee transaction history. n-link User Guide 91

A policy is considered to be linked if the insurance premiums are paid directly from the cash account. You can: View relationships for the policy holder such as beneficiary information. View the policy details including policy number, policy type, basic details and the level of cover. 98 N-link Home Page Navigation The Adviser Hub provides a snapshot view of all Investments & FUM for your entire business, as well as a list of all accounts and balances to assist you in managing your day to day review activities. 1. To access the Adviser Hub, select the A-Hub tile on the home page.. To take action on a maturing term deposit, double click on the account to go to the Portfolio Facilities screen. 99 Account Search (Locating an Existing Investor) 1. From the n-link home page click the Account Search link located under the Clients column.. You can search by Account Name, Account Number, MLC Account Number, Adviser, Service, Office or via advanced search options such as Platform, Insurance, TTR Pensions, SMSF or Geared Accounts. Click Search to locate the investor. 3. To select an investor, click to highlight the investor and corresponding service type. Double click the line with the investor account name in it to bring up the account details. The Portfolio Valuation screen will appear. 4. From this screen you ll be able to process a number of transactions such as Switches, Share Trades, Additions and Withdrawals by clicking on the relevant buttons on the right. Portfolio facilities can also be amended from this screen such as Rollover of Term Deposits, Regular Investment Facilities, Reinvestment of Earnings, Regular Pension Facilities, and more. 100 Draft Transactions Finding a draft, submitted or completed transaction 1. From the Home Screen, under the Clients column, click on Draft Transactions.. The screen defaults to Individual Transactions. To view by bulk transactions, click on the Bulk Transactions tab. 3. You can input search details under Search Criteria. Here you can search by Investor Account, type of Transaction, Transaction Number, Type of Service, the Status and Date Parameter. Leave the search criteria blank and click Find to search for all transactions. Click Find to begin search. 4. To view details of the transaction, highlight and double click. Use the Back and Fwd buttons on the toolbar to navigate. 5. You can make changes to draft transactions. Highlight and double click on the draft transaction to amend and submit accordingly. If you want to delete a draft, highlight the draft transaction and click Delete. Tip: Columns can be sorted alphabetically by clicking on the column heading n-link User Guide 100

101 Account Groups Setting up Account Groups enables you to streamline tailored portfolios, transactions and reporting for a group of investors with similar investment strategies. The advantage of setting up Account Groups is you only need to perform the transaction or reporting request once. Therefore saving time by executing instructions in bulk. 1. On n-link s home page, click Account Groups in the Clients column. In the Account Groups screen, the following information is displayed: how many members are within the group Group Name and Description, and the date the group was last modified. Tip: The Report Settings tab allows you to preselect a list of reports and parameters for the account group. To run reports for an Account Group, go to the Account Search screen then Load Group then Report.. Setting up new groups Click the New button to set up a new Account Group. Enter an Account Group name and a brief Description. Click the Search button to locate investors to add to the group. On the Investor/Account Filter once search parameters have been refined, click Find to generate the list of investors. Highlight the required investors then click Add to include these in the Account Group. The Orphan column and button identifies which investors are not linked to a group. When you have completed your member list, click Save. To link the Account Group to a model portfolio, go to Tailored Portfolios on the n-link home page. 3. Report Settings The Report Settings tab allows you to preselect a list of reports and parameters for the account group. To run reports for an Account Group, go to the Account Search screen then Load Group then Report. The Report Output panel enables you to set up the pathway on your computer of where you would like to save the reports. Click Save to complete. Important: New members can be added to existing Account Groups by highlighting the group then double clicking. Existing Account Groups can also be copied or deleted using the buttons on the right of screen n-link User Guide 101

102 Recurring sell of illiquid investments The recurring sell function allows you to place a sell for illiquid investments for future withdrawal offers. The sell will continue to be submitted for eligible withdrawal offers until all units are redeemed. The recurring sell function has three key areas: 1. Select illiquid investments. Select investor accounts, and 3. Submit the recurring sell request 1. From the n-link home screen, click Recurring Sell, under Practice Management column.. Click Select Fund. 3. A list of Available Products will appear. Select the illiquid fund you d like to sell on a recurring basis by placing a tick next to the fund. You may only select one fund at a time. 4. Click OK when you re complete. Important: Sell down turn around times for Suspended/Illiquid/Hedged/ Specialist Assets may take longer than standard turn around times. Please ensure bank account details are kept up to date. Tip: If an account closure is already on file, you re not required to submit recurring sells. This step will be automated n-link User Guide 10

103 Recurring sell of illiquid investments (continued) 5. A message will appear confirming the accounts that hold the selected funds. Click OK. 6. All accounts holding the selected investment will appear in the Investor Accounts panel. You can select or deselect all accounts using the buttons on the right hand side of the panel or individually tick the relevant accounts in the Recurring column. 7. Once the required accounts have been selected, click on the Clear Unselected button. This will remove all accounts you haven t selected. 8. Click Save. Tip: If an account already has a recurring sell nominated it won t appear in the Investor Accounts panel. 9. Click Validate. If an account fails validation, click on the account and click the View Message button. To exclude a failed account untick that account and click on Clear Unselected then Save and Validate again. 10. To print click Switching Instructions. Select the instructions to print then click Generate. 11. To submit, tick the Instruction Signed column. 1. 104 Bulk switch Using n-link, a Bulk Switch can save you a lot of time as you ll only need to perform one transaction for multiple clients. You can only select one product to sell in a bulk switch transaction. Processing a Bulk Switch to sell 1. From the n-link home page, click Bulk Switch in the Practice Management column.. The Bulk Switch module will now appear. All investor accounts or investors belonging to a specific Account Groups can be displayed by using the From group drop down option. Choose the Tax Optimisation Mode and Adviser Share Transaction Fee (if applicable). 3. To sell Funds, Shares or a SMA, click the Sell Investment button. To use excess cash click the Sell Cash button. 4. After determining what you want to sell and then clicking OK, n-link will automatically display the accounts that hold that particular investment. If no account holders have that investment, n-link will display an error message. 5. If a particular investor is included in the bulk switch and you d like exclude them from the switch, click the Selected column next to the investor s account to remove them from the bulk switch. You will then have to click on the clear unselected button. This will remove the accounts from the Investor Accounts section. 6. In the Sell panel, the product you are switching out of is displayed. The % Amount field defaults to 100%. You may amend the % amount. 7. For 100% sells, the Cancel Re-Invest and Cancel RBF fields become active. This means you can choose to cancel these facilities by keeping the default option on as Yes. 8. To switch the sale proceeds into another investment, click the Add Investment button within the Buy panel at the bottom of the screen. 9. The Available Products screen will appear. Place a tick in the column next to the investment (or multiple investments) to be purchased then click OK. 10. Similarly to Sell panel, the Buy panel will display 100% in the % Amount column for the first product displayed. To adjust the % click in the % Amount field. 11. Choose whether dividends are to be reinvested by click on the Reinvest Earnings drop down menu (not applicable for shares). Once you ve nominated the funds to be switched into, click the Save button. 1. Click the Validate button at the bottom of the page. If the validation fails for any investors, a message will be displayed. Click OK to continue. 13. The investor account that failed will be displayed in the Investor Accounts panel as indicated in the Validated field. To see why the validation failed, highlight the Account Name and click View Message. n-link User Guide 104

105 Bulk switch (continued) 14. Click Switching Instructions to generate either bulk or individual Switching Instructions form/s for each account. 15. Once you have received approval from your investors, you ll need to indicate which investors have given you permission, by placing a tick in the Instruct Signed column or the relevant investors. Important: Where the allocation is less than 100%, the surplus of funds will be added to the Cash Account. 16. Once investors have a tick in the Instruct Signed column, the Submit button becomes activated. When you click on the Submit button you will need to click the check box to confirm that you have complied with the requirements. Enter your n-link password in the Password field and click Authorise to complete the transaction. Important: For any accounts that have failed validation, you will need to remove them from the list by clicking in the Selected column to remove the tick and click the Clear Unselected button on the right. Click the Validate button again to make sure that the bulk switch has now validated successfully for the remaining investors. 106 Share orders This facility displays all Share Orders placed. 1. From the n-link home page, click Share Orders under the Practice Management column.. You can search for Share Orders by either entering Investor Account Numbers, ASX Code, Status of Share Order or date range. Alternatively, you can click Find and all investor Share Orders will be displayed. 3. You can double click into the individual Share Orders to view more information. 4. Request Amend and Request Cancel will only illuminate if the share trade is at market and not yet executed n-link User Guide 106

107 Corporate actions Using n-link you can accept discretionary corporate actions online, view the history of online acceptances or use the calendar to review the corporate actions on ASX listed shares. You can also register to receive notification of IPOs, Corporate Actions and Dividend/Interest Payment via Utilities/Preferences and Adviser Options tab. 1. The Online Acceptance screen will display current Corporate Actions. By highlighting the Corporate Action and clicking Show Investor Accounts Affected By Selected Corporate Actions this will display affected investors. Offer documents can also be accessed (where available) by clicking on the Show Offer Document. Responses can be entered by placing a tick next to the Investor Account Number and clicking Action.. Click Validate. 3. Then click Submit. Click on Receipt if you would like a copy of the receipt. 4. The Authorise Transaction window will appear. To proceed check the authorisation box and enter your n-link password. Click Authorise. 5. The Online Acceptance History displays a history of the previous corporate actions accepted online. 6. The Corporate Actions Calendar tab displays previous and current corporate actions when ASX Code, Type or dates are entered and Find is clicked. By highlighting the corporate action and clicking Show Investor Accounts affected by selected Corporate Action this will display affected investors. Tips: To receive notification of Corporate Actions and IPO announcements, go to Utilities, Preferences, Adviser Options tab then Alerts. A Corporate Action Receipt is available for your records, however the Corporate Action must be Submitted for the receipt to be valid n-link User Guide 107

108 Fee linking A maximum of four eligible accounts can be linked and this may reduce the Administration fee on each account. 1. From the n-link home screen, click Fee Linking under the Practice Management column. This screen displays the number of Fee Linking Groups that currently exist. Each group is identified by the leading account number and leading account name. If no groups are displayed, fee linking has not been applied.. You can set up New Fee Linking Group, Close or Re-activate existing groups. 3. To set up a new group click the New button. In the new screen that appears, enter in the Group Name. 109 Fee linking (continued) 4. Click the Search button to add members to the account group. 5. In the screen that appears, you can filter your member search by Service and/or Status. Click Find to return to the Account Group screen and generated list of investor accounts. 6. Scroll through the list and when you find an investor account that you want to add to the group for fee linking, click Add. Continue until you have added all members to your new Fee Linking group. 7. To speed up the sorting process, click the Available column to sort the investor account list by availability. If an investor account is available to form part of a group the word Yes will be displayed next to their account name. 8. When you have completed your member list, confirm the relationship between members by clicking the Relationship button and defining the relationship via the options available in the drop down box within the new screen that appears n-link User Guide 109

111 Creating a Tailored Portfolio Tailored Portfolios allows you to create, link and share tailored portfolios to streamline the administration and implementation of model portfolios. Setting up a Tailored Portfolio 1. On the n-link home page, click Tailored Portfolios in the Practice Management column. The Tailored Portfolio screen is split into two panels, Adviser/Dealer Portfolios and Subscription Model Portfolios.. Click the New button to create a new model portfolio. Alternatively if you would like to copy an existing model, highlight the model by clicking on it once then click Copy. 3. Enter a Portfolio Name and ten character reference name/number in the Portfolio Code. Click on Add Investments and in the Available Products screen using the Funds, Term Deposits, Shares and SMAs tabs, place a tick next to your selected investments, then click OK. In the Proposed % column, enter the percentage amount that each product should comprise of the total portfolio and then click Save. 4. Select the History button to view the portfolio weighting and market exposure of the current benchmark. Any changes made to the model portfolio benchmarks will be saved here. Tip: Once a model portfolio has been created, it is a simple process to implement any rebalances across multiple clients via bulk reweighting. Tip: When investing in a Tailored Portfolio via new business, addition or via a switch, investors accounts will automatically be linked to the model. Tip: The Extract button on the Tailored Portfolios front screen displays all investors who are linked to models. n-link User Guide 111

112 Creating a tailored portfolio (continued) Important: When manually linking investors to a Tailored Portfolio, n-link will identify what investments are in the model and what the investor already holds and assign these assets to the model using the Portfolio Code. If Investors do not hold any investments in the model and then try to link the client to the model they will be unable to. Only those investments held in the model will be sold down in a bulk reweight. Other assets held outside of the model will not be impacted. Linking investors to Tailored Portfolios 5. Select the Link Accounts button to link individual investors or an account group to the portfolio. 6. Select Reinvestment of Earnings to set reinvestment options. Any changes made by the Model Owner will override any changes made to individual investors accounts. 7. Tailored Portfolios can be shared amongst other Advisers in the same dealer group by the Share button. (Only the Model Owner can make changes to the holdings.) 8. Bulk Reweight applies any changes made to the model across one or many investors. Important: Investors are unable to hold the same investments inside and outside of the model. If the investor attempts to invest in two models holding the same investment (ie via a switch or new business) then it will fail validation n-link User Guide 11

113 Bulk Reweight A Bulk Reweight allows you to rebalance Tailored Portfolios holdings. Investments outside of the model will not be impacted by this process. 1. Click the Bulk Reweight button when in the Tailored Portfolio. This will open a window with previously submitted transactions. Highlight and open an existing draft or click Create New for a new submission.. The Portfolio tab displays the current target portfolio and any exclusions are highlighted. Important: The Bulk Reweight can be submitted even if there are Share Purchase Plans, IPOs, dividends, interest, discretionary corporate actions and active SMA reweights and corporate actions. All other corporate action types (outside of the SMA) will stop the reweight and will be required to be excluded to proceed. 3. The Minimum Trade field can be set to make sure your investors don t transact small amounts, especially important for brokerage costs on shares. For managed funds and shares, Minimum Trade defaults to $100 and $500 respectively. If shares are included in a tailored portfolio, you can also utilise the Adviser Share Transaction Fee, this will be $0 by default. By default, all the listed investor accounts are included in the bulk reweight, as indicated by the tick in the Selected column. Important: The amount you can charge for transactions involving shares can be between $0 and $110 per share trade. 4. The Investors cash accounts can be included in a Bulk Reweight. By ticking the Include Cash Account button this will set a target cash position. For example if the amount is set at 1% then all investor cash amounts above 1% will be invested into the model portfolio. By excluding the cash account the Bulk Reweight will only rebalance investments within the model portfolio. 5. Investments can also be excluded from the Bulk Reweight. For example if an investment is frozen it can be excluded and only the other assets will be rebalanced. 6. Click Save to save the Bulk Reweight n-link User Guide 113

114 Bulk Reweight (continued) 7. The Accounts tab allows clients to be added or removed to the bulk reweight. By placing a tick in the select column and then clicking Filter, this will remove any investors who aren t ticked. If the investor has a regular, progressive or additional investment or automatic reweight facility then a tick will appear in the Update Facilities and Update ARF columns. If the facilities are not to be updated or are suspended then they will be cancelled as part of the bulk reweight. 8. To view the proposed buy/sell details for an account, highlight the account and select the Reweight Details button. 9. Click Validate at the bottom of the screen. By validating, n-link ensures the bulk reweight complies with the business rules for reweighting. If the validating fails or has warnings for any investors, a message will be displayed. 10. You can click View Message to view the details of the validation. Tip: Unless the tax optimisation is changed in the Bulk Reweight Options panel, the investor will default to what is displayed in their account. 11. For any accounts that have failed validation, you will need to remove them from the list by deselecting the tick symbol in the Selected Column. Click Filter and then Validate again to make sure that the bulk reweight has now validated successfully for the remaining investors. 1. The Switching Instructions and Mail Merge Extract buttons remain inactive until only successfully validated accounts remain. Hint: To generate either bulk or individual Switching Instructions form/s for each account, click the Switching Instructions button. 13. You ll need to indicate which investors have given you permission by placing a tick in the Client Authorisation column for the relevant investors. The Submit button now becomes activated. 14. Click Submit to display the Authorise Transaction screen. Confirm that you have provided the investor with the relevant disclosure documents for each investment, and that you have received their authority to conduct the reweight by clicking the check box to confirm that you have complied with these requirements. Then enter your n-link password in the Password field and click Authorise to complete the bulk reweight transaction. Important: By ticking the Update Facilities and Update ARF (Auto Reweight) columns this will amend the underlying holdings for the clients portfolio settings n-link User Guide 114

115 Workflow reports Workflow Reports allows you to view the statuses of work requests. 1. From the n-link home screen, click Workflow Reports under the Practice Management column. A screen will appear and it will display a record of workflow statuses. Search Criteria panel allows you to enter your search parameters to locate the workflow report you are looking for.. 122 Security The Security functionality on the File Menu bar has the following components: User Access Within User Access, sub-users accounts and the level of access and transaction levels can be created or amended for support staff. Once completed the new sub-users details will be ed to the new user. X-Plan Integration With X-Plan Integration an account can be created to a particular vendors requirements. This step must be set up prior to the Data feed being run. Investor Access Within Investor Access, the level of access, functionality and reporting can be set for investors who utilise Investor Online via the mlc.com.au website. User Activity Report This function provides an Activity Audit, and various Reports are displayed using the Find button. By double clicking on a record this will export the data to excel. Important: Terms & Conditions: By logging in and accessing n-link, as a user or sub-user, you hereby accept the Terms & Conditions. To view the most recent version of the Terms & Conditions (version date: 19 March 018) please click on the Terms & Conditions link when you login. Important: If the new sub-user will service more than one adviser (an office arrangement) select the Additional Details and tick the box Share sub user within dealer group. An investor can only be granted Online Withdrawal access if they have a nominated bank account assigned to account, it cannot be used for pay anyone access. 124 Adviser Reporting Adviser Reporting On the n-link home page, click Report on the n-link tool bar to open the Reporting Centre. Click the Adviser Reporting tab to view the multiple reporting capabilities that you can access. The Adviser Reporting screen is displayed in four panels. These are: Report Contents Report Type Report Period Output Options Report Contents In this panel, you can modify report contents for: Adviser Account Service Investment Manager Investment Product Investor Account Closed Investor Accounts Report Type The Report Type panel displays all of the available reports that you can utilise. In the search results, click the Account Name followed by clicking the Report button on the main n-link menu. A new screen will appear with all the investor reporting capabilities that you can set up for your investor s online access. If you would like to produce reports for the more than one investor account (packaged reporting), then use the Advanced Search tab and select multiple investor accounts followed by clicking the Report button on the main n-link menu. Setting up investor reporting The Investor Reporting screen is displayed in four panels. These are: Investor Account Report Type Report Parameters Report Output Investor Account This panel displays the investor account that reports will be generated for. Report Type The Report Type panel displays the available reports that you can produce. Click next to the report type and a tick symbol will appear to indicate you are selecting that report for your investor. To generate your selected report(s), click the Generate button on the right hand side. To view the reports, navigate to the Generated Reports tab and then click the View Word or View PDF button on the right hand side. Alternatively, tick all generated reports required and click the Merge/Print button. Click Delete if you want to discard the report. To reports to clients, navigate to the Generated Reports tab and then click next to the report types you want to . A tick symbol indicates selected report types. Click the button on the right hand side. You can send multiple reports to multiple clients simultaneously. Report Parameters Refine the parameters of the investor reports by using the various drop down menus to modify the report output by month, year, financial period and more. Customise your Cover Letters by using the Letter Template tab. Add your own branding and logos to your cover letters and reports using the Header/Footer Template tab. Investor Extracts N-link can produce a selection of reports in CSV format. To produce an Investor Extract, click on the Investor Extracts tab and select the extract type. 127 Adviser Filing Cabinet On the n-link home page, click Report on the n-link tool bar. Click the Adviser Filling Cabinet tab to view the multiple reporting capabilities that you can access. The Adviser Filing Cabinet screen is displayed in two panels. These are: Report Search Criteria Matching Reports In the Adviser Filing Cabinet the dealer group has the most comprehensive viewing capabilities followed by the adviser and then sub users. With dealer group access, you can view reports and written correspondence sent to investors by one or multiple advisers within the dealer group. With adviser access, you can view reports and written correspondence sent to investors by yourself only. With all other sub-user access, depending on what has been set up in User Access will depend on what can be viewed. The same search criteria principle applies to all users viewing reports and correspondence in the Adviser Filling Cabinet. The only difference is the scope of what can be viewed as its dependent on the n-link access type. To view reports go to the Report Search Criteria panel. Then scroll through the Report Type drop down menu and select the report type you want to view. Determine the time frame parameters and enter these in the relevant fields. Finally, click the Find button to generate your search results. These will be account names that have received the report type by some method of correspondence with further details displayed in the Matching Results panel. Next to the Account Number, click the tick symbol column to select the report. From this point on, you have three options: View Highlighted Report View All Envelope Contents Save Copy of Ticketed Reports Select the option that best reflects what you want to view. This triggers n-link to generate an electronic copy of the report for you to view or save. Important: Generated Investor Reports are only stored for seven days before they are deleted from n-link. n-link User Guide 17

128 My Statements On the n-link home page, click Report on the n-link tool bar. Click the My Statements tab to view available statements. The reporting function Statements can be viewed and downloaded from n-link. The below statements are available: Annual Statements (Investment) Annual PRP Mail outs Pension Payment Summaries Pension Review Superannuation Mail outs Important: Adviser reports on n-link are generally made available up to five days earlier than the scheduled mailing to investors and are accessible 4 hours a day. Viewing a Statement 1. On the n-link home page click the Report button on the n-link menu. A new screen will appear with the investor reporting capabilities.. Select the My Statements tab. Then double click on the Year and the statements from that year will populate. 3. Double click on the report and a PDF will open. Important: During statement period, you are notified via the MLC weekly that statements will be available to view on n-link (5 7 days before mail out). MLC do not list the investor names, therefore it is at the adviser s discretion to determine which statements are available. To save a copy, select the report and click on the download button. n-link User Guide 18

129 Report Templates Use the My Templates tab to create, save and edit reporting templates to assist when producing multiple reports, with multiple date ranges, for multiple clients. Once you ve saved your templates access them in the Templates tab. Creating a new Template 1. Click on the My Templates tab and select New.. The template details window will open. Create the Template Name (For your reference only) and enter the Output File Name. 3. Personalise your template by selecting one of your customised Letter, Header/Footer templates using the drop down boxes 4. Select the reports you want to include in your template from the right hand report type menu. After each selection, click on the single arrow pointing left to export it to the list of reports for your template. Repeat to include all reports for your template. 5. To change the date range for each report, double click on the parameter type and use the drop down box to select your preferred date range from the drop down menu. 6. Save your template Tip: Reports will print in the order they are listed in your template. You can change the order of reports by highlighting the report you want to move and clicking the up or down buttons to move your report up or down n-link User Guide 19

131 Insured / Protected Investor On the n-link home page click on Account Search. Tick the insurance box (deselect Platform) then either enter additional search parameters or click the Search button to find the insured investor. Then double click on the investor. Tip: For more details and exclusions on the risks double click on the Risk. 1. The Policy Details screen has four tabs: Policy Summary, Relationships, Requirements, Transaction Details and Archived Reports.. The Relationships tab details the relationships between the Life Insured, Owner of the account and Payer of the account. It also gives details on the address and phone number of the investor. 3. The break down of policy details are shown on the Requirements tab. Clicking on the tab will show any notes on it at the bottom of the page. 4. The Transaction Details tab details all billing and premium payments and gives a running balance. Refine the parameters of the transactions by using the various drop down menus to modify the output by description, category, created dates from/to and more. Important: To show reversals click the Show Reversals box on the right. 5. The Archived Reports tab displays all correspondence sent to the investor. Alternatively by double clicking on the Investment Research Information is displayed including General, Performance, Fee Options, Restrictions, Notes, Unit Price, Market Exposure, Dist./Bonus Rate and Status. Separately Managed Accounts This function provides detailed information on SMAs. By placing a tick in the column next to the SMA the Report button becomes active and a number of reports can be run including the ability to compare the performance against the index or other products. Alternatively by double clicking on the Investment Research Information is displayed including General, Performance, Fee Options, Restrictions, Notes, Composition, Market Exposure and Status. Online Research Resource Centre This link takes you to the mlc.com.au web page Resource Centre tab>research. Here you can find Market reviews and outlooks, Fund ratings and reports, Fund Profile Tool, Monthly performance and General Information. Stock Centre The Stock Centre provides in-depth research on ASX shares, after locating an ASX Code in the Share Search Criteria more information will be displayed on the company after clicking on any of the buttons or hyperlinks. Fund Profile Tool The Fund Profile Tool is interactive and assists with the Fund Selection process, by entering investors Investment Amounts, Product Type, Product and Investment category the tool will highlight information on the selected fund. Market Indices Market Indices displays Index values over a period of time. By searching and finding the index, then double clicking or highlighting then pressing the Details button it will display the index value over time. On the initial search screen by selecting one fund then holding down Control on the computer keyboard, you may also select other indexes then click the Compare button to view an Indices Comparison of performance and $1,000 invested over a period of time. History The History functionality on the File Menu displays the last couple of n-link screens you were in.
