1 HOLIDAY ACCOMMODATION CONDITIONS ALEX SCOTT & STAFF Guests are agreeing to these terms and conditions when a booking is confirmed and payment is made. Any breach of the above conditions of letting, as agreed by both parties, permits the owner or Alex Scott and Staff to refuse entry, amend the rent or immediately terminate the letting. For rentals booked through the Inverloch agency, please note that you will be required to request terms and conditions through the booking agent. BOOKINGS We welcome you to view the property prior to booking either in person or on our website, Tenants hereby accept the premises as booked and cannot be relocated. All bookings are made in good faith of ongoing holiday letting by owners however maybe subject to change and Alex Scott and staff cannot accept responsibility for actions taken by the owner(s) of the property which are outside its control. Reasonable actions will be made by Alex Scott and Staff to offer alternative accommodation should this occur. Property tariffs may change online at any time without notice. THE DESCRIPTION OF THE PREMISES IS GIVEN IN GOOD FAITH; NO RESPONSIBILITY FOR MISREPRESENTATION WITLL BE ACCEPTED WE CORDIALLY INVITE YOU TO VIEW THE PROPERTY PRIOR TO CONFIRMING YOUR BOOKING. BOOKING FEE A $30 booking fee (GST inclusive) applies to all bookings taken by Alex Scott & Staff for holiday accommodation and is non-refundble. This fee is in addition to the rental accommodation charge, and is payable when you pay your initial security deposit. PAYMENT To secure your specified holiday accommodation you must pay 50% of the total rental plus the nonrefundable booking fee within 24 hours of booking confirmation. The balance of this payment is to be paid in full 28 days prior to occupancy. You can direct deposit your payment into our trust account or we accept cash payment or credit cards (Visa, Bankcard & Mastercard) at selected agencies. If your booking is made within 28 days of your stay, then the full amount is required at the time of booking. BOND A security bond will be processed with your balance payment (if booked through stayz) or when requested by the agency prior to your arrival. The bond will be processed as a pre-authorisation on the
2 guest s nominated VISA or MASTERCARD (we do not accept bank transfers or cash for bond payments unless by special arrangement). The funds will be released 7-10 working days after departure as long as there are no issues. Bond deductions are rare, however when they occur, Alex Scott and Staff will advise the guest of details of any charges and these will be forwarded via . **Please note that these procedures may be different at each agency, please confirm at time of booking with your agent** KEYS Keys will not be made available until ALL monies have been paid in full this includes the refundable damage deposit. Arrangements for the collections of keys outside of office hours should be made at least a week prior to arrival. At the Venus Bay office if tenants cannot pick keys up in office hours and request keys be left at the rental property they will be charged a $20 fee for this service. Keys must be returned to our office upon departure. If keys are not returned to our office, a key collection fee of $20 will be deducted from your bond. IF ANY KEYS ARE LOST DURING YOUR TENANCY, THOSE LOCKS WILL NEED TO BE CHANGED AT THE GUESTS COST. WE WILL ORGANISE TWO QUOTES FOR YOU TO CHOOSE FROM. CANCELLATIONS In the event of a cancellation within 28 days or less, prior to the commencement of the booking, the entire payment will be retained if the property is not RELET for the same time and same tariff as originally booked for. If the property is RELET again for same time and tariff, the deposit less a $100 cancellation fee will be refunded. In the event of a cancellation within 90 days or less, prior to the commencement of the booking, the deposit will be retained if the property is not RELET for the same time and same tariff as originally booked for. If the property is RELET again for same time and tariff, the deposit less a $100 cancellation fee will be refunded. In the event of a cancellation outside 90 days prior to the commencement of booking the deposit will be refunded less a $100 cancellation fee. In both instances the booking fee will be retained by Alex Scott & Staff.
3 Please speak to the Venus Bay Office directly in the event of cancellation as their cancellation fees may differ from above. DATE CHANGES Guest adjustments - Date changes are at the discretion of Alex Scott and staff and can incur cancellation fees. Additional rent charges due to season or additional nights may apply. Alex Scott and Staff - All bookings are made in good faith of ongoing holiday letting by owners however maybe subject to change and Alex Scott and Staff cannot accept responsibility for actions taken by the owner(s) of the property which are outside its control. Reasonable actions will be made by Alex Scott and Staff to offer alternative accommodation should this occur. THE TERM The premises are let for holiday purposes only and for the term stated on the receipt. ARRIVAL & DEPARTURE TIMES Arrival is between 2:00pm & 5:00pm Departure is before 10:00am If arrival time is outside normal office hours, prior arrangements for key collection will need to be made, at least a week prior to your arrival. ALL KEYS MUST BE RETURNED TO THE AGENCY YOU BOOKED YOUR ACCOMMODATION THROUGH. $50 PER HOUR PENALTY RATE WILL BE CHARGED FOR LATE CHECKOUTS. LINEN All properties are let WITHOUT LINEN unless otherwise specified. Tenants must supply their own sheets, covers, towels pillowslips, tea towels & toiletries. Linen hire is available through external companies, please speak to one of our staff upon booking for more information. (Please note: if you wish to order linen through an external company that it can take up to 3 FULL business days to complete and deliver an order). BREAKAGES As the guest you are responsible for any damages, breakages or loss incurred during the term of your occupancy. These are to be reported as soon as it occurs and/or replaced/paid for. NO SMOKING Please note all holiday properties are non-smoking. If you choose to smoke outside the premises, please smoke away from windows and doors and pick up all cigarette butts/empty ash trays upon departure.
4 PETS Pets are strictly prohibited unless you have booked a specific pet friendly property or previous arrangement has been made. Pet friendly terms and conditions must be agreed to, and any damages caused will be deducted by bond. This permission is provided on a case by case basis and is subject to the following terms and conditions. All pets are to remain outside, however small and toy breeds may be allowed inside following specific approval. Guests must ensure their pet: Is groomed to avoid moulting and is cleaned prior to entering the house to avoid marks to the property Has had up to date worming, flea treatments, vaccinations Has had nails trimmed to avoid scratches to the floors and furnishings Does not jump up on beds, furniture or rugs (indoors or outdoors) Is not left unattended resulting in complaints from neighbours. If complaints are received and the disturbance cannot be rectified, guests will be required to remove the pet from the property at their own expense. Additional cleaning charges may apply should pet hair, urine, fleas, excrement or any evidence (including smell) of the pet be left behind when guests leave. It is advised for pets to wear tick/flea collars to avoid bringing or picking up ticks/fleas to/from the area. Alex Scott and Staff accepts no responsibility for death of, loss of, injury or sickness to pets during the accommodation period - full and sole responsibility for the pet and its actions lie with the pet owner and upon acceptance of terms and conditions the guest agree that no legal action (including payment of veterinary accounts) will be taken against the landlord and that no discussion will be entered into. Please be aware that some properties have not been designed to be pet friendly. CLEANING Please assist by leaving the premises clean & tidy, with cutlery & cooking utensils washed and put away, beds made and in the same condition as it was presented on arrival or additional cleaning fees will be charged to return the property to the same condition as when you arrived. A fee of approximately $80.00 may apply. If, upon occupation, the property or contents fail to meet acceptable cleaning standards every endeavour will be made to rectify the problem. However, this shall not constitute grounds for cancellation or refund.
5 NOISE, PARTIES AND FUNCTIONS Properties are for confirmed guests only. No outside guests are permitted on the premises without prearrangement from Alex Scott and Staff. The number of occupants must not exceed the number of persons prescribed/confirmed at time of booking. Excessive noise, parties and functions are strictly prohibited. If an unauthorised function is held at the property the bond processed for the booking will be retained and you will be asked to vacate without refund. ACCOMMODATING EXTRA PERSONS Setting up makeshift structures i.e. tents or caravans & accommodating more persons than the property permits is strictly prohibited. DISPUTES The agent reserves the right to resolve any disputes on behalf of all the involved parties. VACATE DEMAND The guest must vacate the premises upon demand of the agent or owner without refund upon breach of this agreement. Infringements include, but are not limited to, incorrect information supplied to the agency upon booking the property, causing malicious damage to the property, being/causing a public nuisance, excess noise, accommodating more persons than agreed, setting up makeshift structures or ignoring warnings/requests from the agent. If guests fail to vacate upon request the police will be asked to remove all occupants of the property. INSPECTIONS The agent or landlord can inspect the property upon demand at any time. RUBBISH There are bins provided, one for recycling & one for household waste (some properties may not have a recycling bin). Please use these appropriately. The bin is to be put out for council collections during the week. Any excess rubbish must be taken home with you and if left a removal fee will incur additional charges. LOST & FORGOTTEN ITEMS Please check carefully before you leave the property, as we cannot guarantee any items left in the property will be found and returned to you.
6 In the event that we do locate an item left at a holiday property, guests will be responsible for the cost for postage or organisation for the item to be collected from our agency. PRIVACY ACT 2000 The personal information the guest provides or that which is collected from other sources is necessary for the agent to verify the guests identity, process and contact the guest. The personal information collected about the guest may be disclosed for the purpose for which it was collected to other parties including the landlord, our staff, our cleaners or contractors if a problem arises, the police, referees, financial institutions, other agents, third party operators of tenancy databases and other third parties as required by law. Information already held on tenancy reference databases may also be disclosed to the agent or landlord. If the guest would like to access his/her personal information held by the agent, they can do so by contacting the agent with whom the booking was made. The guest can also correct this information if it is inaccurate, incomplete or out of date. PLEASE NOTE THAT THESE TERMS AND CONDITIONS ARE SUBJECT TO CHANGE WITHOUT NOTICE
