8 Retaining Your Business The renewal process begins 120 days before the end of the insured s policy term. At 90 days, underwriting assistants or small business operations service reps request renewal applications. If we haven t heard anything back within 30 days, a follow-up request is made. Forty days before the renewal date, the underwriting assistant or small business service rep forwards the renewal submission to the agency s assigned underwriter, who is given five days to approve or decline the submission and return it to the assistant underwriter or service rep. Proposals are released by underwriters 30 days prior to the renewal date. If we don t hear back within 15 days, it will be resent. If a bind order has not been received within 5 days of the renewal date, the underwriting assistant or service rep will renew the policy automatically. If you have questions, please contact your dedicated underwriter assistant. Valid as of 05/31/2017 Information listed here is subject to change. MC-000 Pg. 8
9 CopperPoint: Audit Information CopperPoint uses mail, phone, virtual and field audit methods based on complexity of the operations to complete the final audit. When the time for your policy audit approaches, a letter is sent notifying the policyholder from CopperPoint or one of its third-party contractors JMI INC, Afirm (formerly US-Reports Inc.) and Property & Casualty Surveys of the Southwest Inc. (PCS). All official letter notifications will bear a CopperPoint logo. As in any situation in which records for a given period are finalized, certain and specific documents are needed. Among the records that may be needed by the auditor are: Journals and/or Ledgers Tax reports including bonuses, commissions, holiday pay, sick pay, overtime, vacation and all pretax amounts (State and federal quarterly tax reports (DES, 941 & A1)) Contracts of subcontractors used along with their certificate of workers compensation coverage if applicable. If no insurance, the client should list and detail the work performed and amount paid. Cash d b b k d h kb k The auditor will need a short description on each of the policy s covered entities; names of officers/owners and titles; number of employees, names and job duties with class codes and locations. Following the audit, the insured receives the Audit Summary, which reflects audited exposures and calculations. An Estimated Audit Summary is used when audit information has not been received from the policyholder and estimated wages are used to calculate the results. When audit calculations are complete, we add Total Billed Premium and Total Premium Variance to the Audit Summary. Total Billed Premium reflects the amounts billed during the policy period. This amount may not always reflect the total premiums received. The Total Premium Variance equals the amount on the insured s next scheduled invoice. Because of timing, later payments to the policy may be reviewed in the CopperPoint Agent Portal for validation. To help resolve final audits disputes, complete in detail the Policyholder Audit Dispute Form available on our website. To avoid interruption of coverage, premium payments for the current policy period must be kept current while the Audit Department works to resolve the dispute on the prior policy period.
