1 NAD International Camporee, 2009 South Pacific Division Club Newsletter 1 / May 2008 Page 1 Dear Pathfinders/Staff, As many of you may be aware, the North American Division (NAD) International Camporee, Courage to Stand, is taking place next year, August 2009, in Oshkosh, Wisconsin. It is going to be an exciting event where you will have the opportunity to meet Pathfinders from all across North America and the rest of the World. You will be spiritually blessed by this once in a lifetime experience, participate in many fun activities, make friends with Pathfinders of all nations and create long-lasting memories. In this issue: 1. SPD Club Travel Options 2. Quota Allocations for Options1, 2 & 3 3. Application Procedure 4. Payment Plan 5. Cancellation Policy 6. Application Form 7. Payment Tear-Off Slips A South Pacific Division (SPD) Club is being organised to go across and represent this part of the world while sharing in the experience of this awesome event. We have devised three travel options to choose from, if you wish to be part of the SPD Club. Please take some time to read through this newsletter and familiarise yourself with the travel options before filling out an Application Form. 1. SPD Club Travel Options Option 1 / AU$375 This option is for Pathfinders/Staff who will make their own travel arrangements to Oshkosh, Wisconsin and meet the SPD Club on the day of Camporee registration, Tuesday, 11 August This option is also for those who wish to plan their own tour. Package includes: Camporee fee. Accommodation & meals at Camporee. Travel Insurance (refer policy attached). SPD Club polo shirt & collector s pin. Donation to Host Club. Itinerary: Tue / 11 Aug Meet Option 2 & 3 group for registration at Camporee Tue / 11 - Sab / 15 Aug: Camporee Program Sun / 16 Aug Make own arrangements home after conclusion of Camporee. * Travel assistance from Chicago, the closest International Airport, to Oshkosh and return can be arranged at a cost. Option 2 / AU$2100 This option is for Pathfinders/Staff who will make their own travel arrangements from their place of residence to Los Angeles on Tuesday, 4 August 2009, where they will meet the rest of the SPD Club who will participate in the tour before Camporee. At the conclusion of Camporee they will return back to Los Angeles. Package includes: All air & land travels from Los Angeles, return. Travel Insurance (refer policy attached). All accommodation & meals. Entry to theme parks & other attractions. Camporee fee. SPD Club polo shirt & collector s pin. Donation to Host Club. Despite our best efforts to provide an accurate estimate of the costs, we recognise that there may be some slight variations (more or less than the current estimates). If this is the case, you will be notified of any changes at the earliest convenient time and prior to the date of the final payment. 2. All adjustments will be done at the time the final payment is due. 3. The above costs do not include any personal spending money. 2. Quota Allocations for Options 1, 2 & 3 While we have secured 300 places for participants at Camporee, we can only accommodate 88 participants for Options 2 & 3 (the tour options). The remaining 212 participants for Option 1 can organise their own tour before meeting with the others on the day of Camporee. The 212 participants for Option 1 will be allocated as follows: Australian Union Conference: New Zealand Pacific Union Conference: Trans Pacific Union Mission: Papua New Guinea Union Mission: * Should the number of applicants exceed 212, we will negotiate with the NAD Camporee Director for a possible allocation increase. The participants for Option 2 & 3 will be allocated as follows: Australian Union Conference: New Zealand Pacific Union Conference: Trans Pacific Union Mission: Papua New Guinea Union Mission: Should you select Option 2 or 3 as your preferred option and miss out on a place, you can still choose to be part of Option 1. You will have the opportunity to indicate this choice on your Application Form (Section 6 of this newsletter). In each Union the quota will be filled based on the date the application and deposit are received at your local Conference/Mission Office. A reserve list will be compiled if necessary.

Application Procedure Many of you are aware that registration for the NAD Camporee normally takes place online and that each individual is able to register independently. However, for our SPD Club, this application procedure will be taken care of by the SPD Youth Ministries Department as a group registration. You are therefore requested not to fill in an online application. All you need to do is follow the instructions outlined below: 1. Send your completed application form to your local Conference/Mission along with your deposit. 2. Wait for notification from your Union with regards to the status of your application. Your Union office will either confirm your place or advise that you are on the reserve list. 3. Once you have received confirmation of your successful application for your selected Travel Option, refer to the payment plan for more details and please make the required payments by the deadlines as outlined. Your selected Travel Option will not be confirmed until: 1. Your deposit is paid to your local Conference/Mission. 2. You have received notification from your Union Office (as advised by the SPD Youth Ministries Department). 4. Payment Plan Option 1: Total AU$375 Deposit (Instalment 1): AU$250 Due with Application Form by Thursday, 31 July Instalment 2: AU$125 Monday, 3 November 2008 Option 2: Total AU$2100 Deposit (Instalment 1): AU$500 Due with Application Form by Thursday, 31 July Instalment 2: AU$600 Monday, 3 November 2008 Instalment 3: AU$600 Monday, 2 March 2009 Instalment 4: AU$400 Monday, 6 July 2009 Option 3: Total AU$4300 Deposit (Instalment 1): AU$500 Due with Application Form by Thursday, 31 July Instalment 2: AU$1300 Monday, 3 November 2008 Instalment 3: AU$1300 Monday, 2 March 2009 Instalment 4: AU$1200 Monday, 6 July 2009 Application Forms must be submitted to your local Conference / Mission by Thursday, 31 July The deposit must accompany your application form at the time of submission, otherwise your application will not be valid. All instalments are to be made directly to your local Conference/Mission. 5. Cancellation Policy The Camporee Fee of US$165 (which has been built into the cost of each option) is NOT REFUNDABLE. This is a NAD Camporee policy which is beyond the control of the SPD. If for any reason you decide to cancel your participation, the balance of the total contribution you have made will be fully refunded until January 30, After January 30, the equivalent of 5% of your Option cost will be retained by the SPD to cover the cost of any booking cancellations. Any unused portion of this 5% will be refunded. Please direct any questions to your local Conference/Mission or check our website for regular updates:
