1 W-2 Download Frequently Asked Questions All Jackson Hewitt Franchisees and Company-Owned Offices are encouraged to have all tax preparers complete the ew-2 and You online module located on the Learning Center. Detailed information about how to download a W-2 is provided in this module. The following are answers to questions frequently received by the Support Center. 1. How does a Walmart associate find their Walmart Employer Code or their PIN number? The Walmart employer code is This is the same for Sam s Club and for current and former (separated) Walmart associates. For active Walmart associates, the PIN is the 'Total Current Earnings (gross) with no decimal point from the most recent paycheck, not necessarily the end of year paycheck. PIN numbers are updated every other Friday following payday. This number is located in the bottom left corner of the paystub. For example: If Total Current Earnings' were $937.46, the PIN would be If needed, leading zeros should be added to insure the PIN number is at least four digits. Separated (former) associates should use the two digit month and two digit year of their birth date, rather than the information from their final paycheck. If there are PIN-related problems with EQUIFAX (formerly TALX) W-2s only, then try to reset the PIN using the instructions documented in question number 2. Jackson Hewitt Tax Service Page 1

2 2. How does an EQUIFAX (non-walmart) Form W-2 recipient locate their Employer Code and PIN? The Employer Code can be found at On the right side of the screen is the employee log-in. The client must type in their Employer Name or code if they have that information. Then enter their Social Security number. Jackson Hewitt Tax Service Page 2

3 Once the client has logged in using the Employer Name or Code, and entered their Social Security number, they will get the following screen. Here they can click the Forgot your PIN? link and reset their PIN. The client will need to enter personal and employee specific information to answer the questions that appear on the screen. The client can also contact the EQUIFAX W-2 Management (formerly W-2 express) customer service line. This is an automated line that will guide the client through the reset process, and the 800# usually varies based on employer. 4 3. How do I locate and enter an ADP PIN/Password? Profiler will prompt you to enter the following information located on the ADP paystub: 1. ADP Company Code 2. ADP File # 3. Year-To-Date Federal Income Tax Withheld -must include dollars and cents with the decimal point Jackson Hewitt Tax Service Page 4

5 Profiler will prompt you to enter the following information located on the ADP Form W-2: 1. Control number (include numbers, letters, special characters/symbols, and even spaces) 2. Wage amount from Box 1 (include dollars and cents with decimal point) 1 2 If an employee types in the incorrect information three times at JacksonHewitt.com or any other website to download their W-2, they will be locked out for the entire season. 4. How do I locate and enter a CIC Plus PIN/Password? Profiler will prompt you to enter the following information: Social Security number - this information is captured for all taxpayers in the personal information section of ProFiler. 6 5. What if a client s W-2 is not available but they inform me that a co-worker s is available? Inform the client that some companies issue W-2s for certain divisions or subsidiaries of the corporation at different times. Employees should check with their HR department. In the meantime, you can begin the tax return and put it on hold until the client brings in their W-2. NOTE: If your office is participating in Sign and Save, you can prepare your client s return using their last paystub, and electronically file it once they provide you with their final W Why does the EQUIFAX/CIC Plus expected availability list show that W-2s are available for download but the customer s data is not available? The timeframe documented on the list is an estimate provided in December by the vendor and its clients. It is subject to change. 7. The client is questioning the information contained on the W-2. What should you do? Instruct the taxpayer to contact their HR department for an explanation about the information contained on their W-2.
