3 View Customer Accounts Navigation: Student Financials > View Customer Accounts Enter Student NSHE ID or Last/First Name Click the SEARCH button This will take you to the Customer Accounts page
4 Customer Accounts Account Details The links displayed contain all historical financial data for all Terms a student has enrollment. Each new Term creates a new row.
5 Account Details, cont. Mandatory & Registration Fees 1. Every student is charged Mandatory fees-ugrd=acad. Success Initiative Fee-CSUN-Technology-Rebel Recycling-Student Health Charge- Student Life Facilities-Study Abroad & Student Service Fees. Note: GRAD/DENTAL/LAW- add Professional & Activity fee. 2. Registration fees are divided by Reg l (State) and Reg ll (Non State)
6 Account Details, cont. Review Balance on Account Note; When a student enrolls, the fees are posted on account creating a 2 line entry for each Fee. 1. Fees Paid in Full-the zero s represents fee has been paid. 2. Outstanding Balance-student owes fee. 3. Partial Balance Owed-student paid a portion of the fee.
7 Item Details link Review how & what charges were paid A. Click on the Item Details link. B. The Payment Line Details page displays what charges and amount were paid by the Waiver, FA or Payment transaction.
8 Refunds Direct Deposit or Check There are three types of Refunds; FA, Non Financial Aid & Refund to CC Non FA(usually from a overpayment) Click on the Item Details link to view the Refund Details. 1.Example: Refunded by Check-Voucher ID-SF25009=check nbr 2.Example: Refunded by Direct Deposit-Voucher ID-DDREFUND=direct deposit
9 Refunds, cont. Credit Card Refund When a student makes a payment with a credit card and FA is applied after the payment date, the FA will pay the fees that were previously paid by the student cc payment. A refund status is created, the refund is processed back to the credit card used to make the payment (Sent to epayment Servicer). Click on the Item Details to view Refund details.
10 Anticipated Aid Example of a student view with Anticipated Aid Note: The View Anticipated link displays ONLY when Aid has been authorized, once the FA is applied to account, the link disappears.
11 View Anticipated Aid Details link The View Anticipated details page displays the Amount and Type of Financial Aid that was authorized for the next Term. -Scholarships, Grants, Loans/Sub Loans- Note: Authorized means the student has passed all the eligibility checks for the aid to disburse.
12 Payment Plans link When a student signs up for a PPL, all fees move from a Tuition Term Fee to a new PPL line that is created by the Payment Plan assignment (except when Late Fees are assessed-those remain on the Tuition Term Fee line). The PPL line displays the installment payment amounts and history. Note: Summer Term-students must be manually placed on PPL s
13 Payment Plans, cont, Review Contract Plan History Payment Plans link displays all current and past term contract information for Payment Plans and Third Party Contracts, also if contract is Active or has been Cancelled. Plan Detail tab: Listing of types of Plans-Payment (PPL) or Third Party (TPC). History of contract types. Note: TPC are contracts created when a business organization has agreed to pay students tuition; part/all or certain fees.
14 Academic Information The Academic Information link displays Bio information, Career Term Data for each Term which includes Residency status and Units enrolled. The Academic Plan link displays Academic/Sub Plan Career information. The Enrollment link displays a summary of enrolled classes.
15 Academic Information, cont. Enrollment link When enrollment occurs, the add date is on the first row, when the class is dropped the date displays below the add date. The Reason code displays what type of reason this class was Student dropped or Administratively Withdrawn.
16 Go to links: Due Charges The Go to links are displayed on the bottom of the View Customer Accounts page. The Due Charges link displays the due dates for Fees and Payment Plans. Not all fees have the same due date. The other Go To links contain financial data found in Account Details-each with different criteria. Note: All pages and links found in View Customer Accounts are View Only.
17 Financial Impacts Actions that effect data on a students account The Following slides are components which impact Financial data on a students account.
18 Tuition Calculation Updating data by T Calc process When changes are made to a student s account by adding, changing or removing data, the Tuition Calc process should be completed manually at the time of change. Review the results in View Customer Accounts, before making another change, you want to ensure you are getting the desired results. Ø Example if a student s Residency status is changed to In State from Out of State, the OS fee would reverse, you would not see the results unless the account is updating by the Tuition Calc process.
19 Student Groups / Study Agreement Impacts to Students Financial data Students who are assigned to some Student Groups are coded to either ADD fees or REMOVE fees or tracking a special group of students. Example: INTL code-adds Health Insurance Fee and International Fee Study Agreements (External Study) identifies groups of students who are charged differently than other students, for example; Study Abroad-USAC, Cemexe and National Student Exchange In/Out. Example: StudyAbroad code removes all fees on a students account. Warning: Deleting a row with existing data may result in Fees reversing and student receiving a refund.
20 Service Indicators Service Indicators or Holds? Called Service Indicators for internal use. Displayed as Holds to students in Student Center. Positive does not affect registration and is generally just a notification, for example FA will request the Student Accounts Mgr. to exclude students from Late Fees or Enrollment Cancellation by placing a Positive Service indicators on these accounts. Negative It is very important to view the content of each placed Service Indicator-not all are due to financial holds. Note: Past Due Holds Service Indicators are now synched across NSHE, this new process allows us to view students who have outstanding balances with other Institutions. Students can view message of the Service Indicator with instructions in their Self Service Center. NEGATIVE POSITIVE
