With Foxfire Management s assistance, Ledgewood is managed and operated by people just like you, who have a desire to maintain and manage one of their singular most important assets, which is their home. An opportunity to continue the legacy of excellence will be available in 2019 as three of our current Board of Director positions will be up for re-election, Chris Siebert, Don Horadan and Salli Haberman. Anyone wishing to be considered to be on the Board of Directors, should fill out the attached nomination form. The final date to submit your Nomination Application if you wish your information to be included in the January Newsletter will be January 4. You may drop your application in the mailbox at the clubhouse. If you decide after that date that you wish to be considered, you may still submit your application up to the Annual Meeting Date of January 16, 2019. In addition to the Board of Directors, opportunities exist to serve on a variety of committees such as the Pool Committee, Garden Committee, Midrise. Owner s Christmas Party Wednesday, December 19 th at 6 p.m. at the clubhouse. Bring your holiday spirit and an hors d ouevre or dessert to share! We hope to see you all there! 1

From time to time, special committees are formed to specifically address an issue or concern, such as the recently formed Roof Committee. There are no special qualifications required other than to have an interest and to work diligently towards a common committee goal. The Budget Process It is important that owners understand the budget process. It has been customary for the Finance Committee to coordinate a budget and present it to the Board for approval. Since changes in condo rules have occurred, the owners are now responsible for approving the budget. The budget information is attached to this newsletter, and will be made available on the website. The vote will be taken during the Open Session of the December 19 th Board of Directors meeting. The law states, Unless 2/3 of all unit owners or any larger number specified in the Declaration reject the budget, the budget is ratified, whether or not a quorum is. present. If proposed budget is rejected, the budget last ratified by the unit owners continues until the unit owners ratify a subsequent budget. The budget and a ballot are attached to the newsletter and you may also find them on our website in the Owners Only section. Ballots must be signed and and will be verified against the list of owners in good standing. Tenants renting units are not eligible for voting. Please return the completed ballot to the Property Management Office at 3 Dogwood Drive by December 18 th, or bring in person to the Board of Directors meeting on Wednesday December 19 th at 7:00 pm at the clubhouse. Holiday Decorations Please remember that all holiday decorations must be removed no later than January 15 th. Property Manager Report The budget will be voted on by the owners at the Open Session of the Board of Directors Meeting on Wednesday, December 19 th. Assuming that the budget will be approved, there is a form attached to update the preauthorized payments for those owners who have their condo fees taken directly from their accounts. The forms will not be processed until the budget has been approved. The forms can also be found on our website, www.ledgewoodhills.com. Return the completed form to Property Management by dropping it in the office mailbox at the clubhouse, or by mailing it to 2

You will be receiving an envelope in the mail with the notice, minutes from last year s meeting and a proxy form. We have 3 directors whose terms are expiring. We must have a quorum of 113 units or more to vote. If you cannot attend, please send in your Proxy to name the person who can cast a vote on your behalf. Please note that if you name someone to vote on your behalf, you should not fill out the ballot as well. If you know of owners who will not be attending, please encourage them to fill out their Proxy form and send it in. Trash Pickup Holiday Schedule Week of Christmas 2018, pickup will run one day late. 2019 New Contractor - Stateline Waste Midrise Building pickup days are Monday and Thursday, Curbside pickup day is on Monday. Holiday Tree pickup will be on Tuesday, January 15, 2019. Finance Committee Meeting Monday, December 17th, 7:00 pm in the Clubhouse Monthly Owners' Meeting Wed., December19th, 7:00 pm in the Clubhouse Holiday Decorations With the holidays approaching, please be reminded that all holiday decorations must be discreet and in good taste. The following are: Allowed: Natural, as well as artificial, interior trees Interior white bulb electrical window candles Exterior wreaths Not Allowed: Exterior Christmas trees Exterior lighting Exterior decorations of any kind except wreaths Nothing else on any exterior portion of the building or trees/shrubs/lawns. Chimney Cleaning and Firewood Storage A reminder that you must get your chimney cleaned and inspected every two years, so if you have not done so, please schedule as soon as possible. Also, per the Rules and Regulations, up to 1/3 cord of firewood is allowed to be stored. Please do not use your fireplace for heating, as this is a safety and fire hazard, they are not meant to heat your home. President s Remarks Your Ledgewood Hills Board of Directors has approved the attached budget for the 2019 fiscal year. The budget approval process begins in September each year with the Finance Committee meeting several times throughout the Fall to approve a budget that they can recommend to the Board of Directors. The Board of Directors, based on the recommendation from the Finance Committee, will then go through the budget line by line to justify each expense line for approval, and vote on the budget. The Board of Directors will then vote on the budget. Once approved it is sent out to all owners at Ledgewood Hills. Your Board recognizes the increase this year and respectfully asks each owner to review the budget and return your ballot to approve or disapprove the budget by December 18, 2018. A disapproval of two-thirds of the owners will result in the budget not passing and the 2018 budget must then be used as a default budget. Key items which have caused the proposed increase in expenses: Prior Year Operating Deficit: We are projecting a $29,000 deficit from operations in 2018. Much of this is caused by the sprinkler repairs which have been necessary in the mid-rise buildings. We are currently working with a sprinkler engineering firm to put a plan of action in place to help alleviate these repairs. However, this will probably have to be done in phases. Pool, Tennis, Litter: The costs to maintain the two pools have gone up. This item reflects an $8,500 se over the 2018 budget. Gutter Maintenance: Gutter Maintenance increased by $10,000 because the 2017 invoice was paid in 2018. Pre-Paint Wood Repair: This is a continuation of our scheduled rot repair cycle. This item reflects a $20,000 increase over the 2018 budget. Sprinkler System Repairs: This is a new line item in the 2019 proposed budget. We have broken it out from Interior Maintenance/Repairs. The net increase combining the two accounts over the 2018 budget is $20,000. Replacement Reserves: These are the funds that are put aside monthly for capital repairs. Annual proposed increase $18,048. I would like to personally thank all of those volunteers who have given up their nights, and sometimes weekends, to put this budget together. As I m sure many of you know, all committee and board positions are manned by volunteers.
