1 Hi Meridian Firs 2 Residents, Seal Coating of Roadways has been postponed. Unfortunately, the company we chose to do the seal coat work could not get us on their schedule before they shut that portion of their business down for the winter. So we will be doing the seal coating in Mini-Minutes from Aug , 2015 Annual Meeting The meeting was called to order at 7:01 p.m. Those in attendance were Paul Sunderhaus, Henry Do, Christi Milligan, Bob Potts, Britt Pidgeon, Bill Owens, Bill Cook and our manager, Dennis Biggs. Three homeowner were present to observe. Budget 2016: Our insurance premiums are now $20, (up from $19,996.00) which starts at 9/1/2015. It generally increases about 5% each year so we adjusted that increase for the last four months of 2016 for a total of $21, We moved Reserve items out of the Maintenance & Repairs General fund to show up in the Reserve Transfer Funds. We finalized the Budget for 2016 with an increase of dues to $230. Motion made by Bill Owens and seconded by Britt Pidgeon to accept the budget as made. Passed unanimously.
2 Reserve Study: Paul and Dennis worked on a spreadsheet that uses diagrams with a way to show the gutters, siding and roof sections for each building. Then an overview chart that plots down when the work was completed for each building s components. Once this spreadsheet is finalized, it will be handed to our Reserve company so they can update the 2016 Reserve study. Manager s Report: Current maintenance completed and underway: o The back siding of one unit below the slider is bad. Once we opened it up there were a lot of moisture ants. The homeowner removed the deck. There were ant mounds in the crawl space. They ate through the sill plate. We found a construction error with the foundation. Homeowner is paying for the siding ($1085+). HOA needs to pay for the sill plate (around $240). o Another neighboring unit has a huge concrete slab under the deck and the deck was built onto the concrete slab and access to the sill plate is impossible. They have ants too. Homeowner has not been available to talk over this issue with Dennis or Paul. Dennis and Christi will work on contacting the homeowner. We can t finish previous unit without dealing with this unit's sill plate as well. o Dryer vents on hold. o Another unit has the same siding issue and homeowner will pay for the repair. o Two units have a party wall and fence that needs to be replace. So a letter will be sent out. o Another unit is for sale and an inspector gave a punch list of flashing to be nailed down, roof vent boots need to be nailed down, south side of the siding needs to be repainted. The new buyer will buy the unit if we give them a letter agreeing that we ll paint the side of building. Dennis has it scheduled to be painted in a few weeks. o Another unit had a roof leak about three years ago and Bruce s Roofing found some staples that popped up which fixed the issue. He told the homeowner that it would take a few weeks for their repair guy to come out and fix the inside ceiling. About a week ago, a section of their ceiling came down in the living room with a ton of wasps. Wayne fixed it roughly to contain the wasps so they could get pest control done. Under the eaves were not sealed in their unit so that is how the wasps entered. We waited 12 days to repair the patch but more wasps were still there. $250 estimate. o Pressure washing is need on J1 to do trim work to paint. Maintenance Projection and Future Projects:
3 1. Homeowner s expenses: 2 car driveway seal coating will cost $ car driveway s seal coating will cost $50 plus tax. This information will be included in the newsletter with the date of the seal coating. (UPDATE: this project has been postponed until 2016 since the company could not get us on their schedule before shutting down in September.) Architectural Report: Two unit's garage door replacements have been approved. Landscape Report: None. Secretary s Report: July minutes were approved as written. Correspondence: about missing National Night Out. Real estate agents needing info from Henry. Treasurer s Report: Homeowner Balance Summary: There are 4 units 45 days or more past due with a total of $5, outstanding. Bill Owens has resigned from the Board. He has sold his unit. We thank him for his many years of service and work on the Landscape Committee. Next Meeting: The next meeting will Sept 16, 2015 at 7:00pm in the cabana. With no further business to conduct, the meeting was adjourned at 9:32 p.m. (UPDATE: The September meeting was cancelled due to a lack of satisfying a quorum. So the next meeting will be October 21, 2015 at 7:00pm.) $220 Dues for 2015 Please remember that the monthly dues for 2015 are $220 and are due on the 1st of each month. 4 Architectural Request Forms A friendly reminder to anyone planning on replacing any of their windows or doors that lead to the outside of your unit, such renovations require the approval of the Architectural Committee which can take up to 30 days for approval. So please plan your projects accordingly and be sure to fill out a Architectural Request Form and turn it into Dennis, our manager.
