1 e-taxfree Operating Guide
2 Legal requirements for a taxfree sale Tourist must reside outside the EU. Purchases must be a minimum of 50 to qualify. Tourist must present the taxfree document to Customs on leaving Europe within 3 months of original purchase date. List of Countries NOT eligible for taxfree shopping:
3 Advantages of e-taxfree Edits the tax-free form in just a few steps Prints the tax-free form on A4 or thermal ticket receipt printers Tracks all tax-free forms issued by the store, including information such as date, transaction value, tourist data Archives all tax-free forms as pdf files Direct and safe online access through individual username and password
4 How to Access the e-taxfree service Direct access: Go to Recommended: create a shortcut on your desktop for easier access Access through our web page: Go to DIRECT ACCESS
5 LOGIN to e-taxfree A User name and Password will be provided to each store/ user that requires access to the e-taxfree system. These LOGIN details will be entered on this page.
6 Helpful tools Create Document: Creates a new form submission page History: Access to a complete history of all forms produced updated live every time a new form is produced. Possibility to reprint copies of the form should the customer come back to the store, for example if he lost or damaged his tax-free form. Help: Direct access to the Innova website query form. Also has contact detail for Head Office. Exit: Click to Log Out of e-taxfree system
7 Procedure at POS This is the start of the e-taxfree procedure.
8 Procedure at POS ) Select Family Category from drop down box 2) Enter Item description (this can be 1 word; Jewellery, Clothing, etc.) 3) Enter Quantity of goods being sold 4) VAT will always be at 21% as standard in the Netherlands. A reduced VAT value is available if applicable to a specific affiliation. 5) Enter the Total Amount of the sale. Do not make any deductions. You may complete more than one row if required. Please follow the same steps (1-5) above to complete any additional rows.
9 Procedure at POS There are fields available for the user to complete tourist details. These will be printed on the e-taxfree document. The user does not have to complete these fields. The tourist may complete the fields once the e-taxfree document has been printed. If the fields are not completed when the user clicks OK an ATTENTION box will appear. Click YES to proceed.
10 Procedure at POS The next page shows a preview of the e-taxfree document. The image will differ depending on the chosen print method (A4 or Ticket). Click on the print icon to print Click on the disk icon to save a PDF version Only 1 copy may be printed. The store copy can be found in the History tab.
11 History Tab The History Tab gives the user access to all e-taxfree documents that have been produced. If a duplicate e-taxfree document is required, the user may search for, choose a document and then print.
12 Summary Complete the sale as normal. DO NOT make any reductions for the VAT amount. Inform the Tourist at Point of Sale that you will provide them with a tax-free form to claim their VAT/ tax back. On your computer/ EPOS; Follow the Procedure at POS slides On the printed e-taxfree document; Under Retailer Declaration User must sign and date the form. Place the printed e-taxfree form, stamped till receipt and information flyer into the Innova pre-paid, self addressed envelope and hand to the Tourist. The Tourist will take the envelope and complete the form before presenting it to Customs The information flyer details where the Tourist can go to get a refund and who to contact if they have any questions.
13 Summary Items that will travel in hold baggage must be presented to Customs before they check in their baggage at the airport. If the Netherlands are the final departure country, then the tourist must present their goods along with the pre paid envelope containing the taxfree document and till receipt to the VAT refund Customs desk before they depart. The desk will be signposted at the airport. If the tourist is departing the EU via another EU country, the tourist must present their goods along with the pre paid envelope containing the taxfree document and till receipt to the VAT refund Customs desk in that EU airport. The desk will be signposted at the airport. Some of the smaller European ports and airports do not have a 24 hour Customs desk. At these locations, there will be a Customs telephone to contact an Officer or a clearly marked Customs VAT Refund post box for the tourist to leave their taxfree document. Customs will empty the post box daily and process these forms. If the Tourist does not hand in their VAT Refund form at the airport, they can post it direct to Innova in the Pre-paid envelope when they return to their home country.
14 Cash versus credit card refunds When issuing the taxfree form in your store, you will be given the opportunity to have the tourist chose the preferred refund method : cash or credit card refund Please inform tourists that most European airports will be deducting an extra processing fee from the refund amount for cash refunds at an airport refund location We therefore strongly recommend credit card refunds which are 100% commission free
