MADURAI TENDER SCHEDULE ANNUAL MAINTENANCE CONTRACT FOR A/C IN TAMILNADU STATE TRANSPORT CORPORATION (MADURAI) LIMITED, OF FIVE REGIONS 1) MADURAI 2)TIRUNELVELI 3) NAGERCOIL 4) DINDIGUL 5) VIRUDHUNAGAR Tender will be received by the Managing Director, Tamilnadu State Transport Corporation (Madurai) Ltd, at their Office in Bye pass Road, Madurai , up to 2.00 P.M on The tender should be in the prescribed format. The schedules and condition of the work are enclosed. The tenders will be opened by the Managing Director at their Registered Office on the date mentioned above at Madurai 3.30 P.M on in the presence of tenderers and agents who present at the time of tender opening. The tenders must be submitted in a sealed cover and addressed to the Managinh Director, Tamilnadu State Transport Corporation (Madurai)Limited, Bye Passs Road, Madurai 10. The name of the work should be written on the cover. If the tender is made by an individual, it shall be signed with his full name and the postal address shall be given. If it is made by a firm, it shall be signed by a partner name and postal address of the firm shall be given. In the case of Proprietary or partnership firm, it will be necessary to produce the certificate above mentioned for proprietary or partnership and each of the partners as the case may be. EMD Each tenderer must pay as Earnest Money Deposit of Rs (Rupees One thousand only) in the form of Demand Draft from any of the nationalized / Scheduled Bank payable to the Tamilnadu State Transport Corporation (Madurai) Limited, Madurai. The EMD will not be accepted in cash or currency. The EMD will be refunded to the unsuccessful tenderers on application after intimation is sent on rejection of his tender (or) after the expiry of two months from the date of tender whichever is earlier. The EMD will be retained in case of the successful tenderer and will not carry any interest. The EMD will be adjusted towards the security deposit. A further sum is payable by the successful tenderer to whom the work is awarded to make the security deposit equal to 2% of the contract. The security deposit paid by him will be refunded to the contractor along with the final bill. The tenderer should closely pursue all the specifications and clauses, which govern the rates which he is tendering. The schedule of quantities accompanying this tender notices shall be followed with care. It shall be definite understood that the Corporation does not accept any responsibility for the correctness or completeness of this schedule and that this schedule is liable to alterations by omissions, deductions or additions at the discretion of the Managing Director. The rates should be written both in words and in figures and the units in words. The schedule shall be written legibly and free from erasure, over writing or conversion of figures corrections were unavoidable should be made by crossing out initialing during their writing. (4)

MADURAI CONDITIONS FOR ANNUAL MAINTENANCE CONTRACT OF AIR CONDITIONERS 1) The contract will be force for a period of Three years from the date of communication of acceptance of tender and if necessary it will be extended for a further period of six months. 2) The successful tenderer should enter in to stamped Agreement with us. 3) The Service Engineer of the tenderer make 6 efficient services in a year in normal business hour of this Corporation on all working days except Sundays. 4) To make any mechanical adjustments necessary for the proper functioning of Air Conditioner at each such inspection. 5) To clean all the machine with lubricants as prescribed by the manufacturer of Air Conditioner for the purpose.. 6) To maintain the Air Conditioner in good working condition on free of charge. Routine service and break down service including free replacement of parts, compressor, and also charging of gas if found necessary. 7) The break down should be attended by the contractor Within 24 hours from the time of information of the break down of the A/C units. 8) In the event of the failure with regard to point no 7 above, a penalty of 1% of the AMC value for the particular A/C system will be levied for every day. 9) To depute the employees and also its own tools only for the purpose of service / maintenance or repair of the Air Conditioner. 10) To replace genuine / original parts approved by the manufacturer of the said Air Conditioner excluding the front grill, outer cover parts etc. 11) To replace the genuine spare parts and other necessary equipment s with out claiming any additional charge from the Corporation. 12) To undertake the jobs in connection with the service / maintenance at its workshop if any defect could not be rectified at the workshop of the Corporation and to return the items duly rectifying the defects. 13) To restore the damages if any caused to Air Conditioner during the transit period at its cost. 14) To make additional visit in between the time prescribed in the schedule as may be practicable to maintain the Air Conditioner in good working condition as and when intimated by the Corporation without claiming any additional charges. 15) To refund the amount on prorate basis, in the event of failure to complete the number of servicing / maintenance in a year as specified in the schedule or to attend to the call, requested by the Corporation in between the six times as specified in the schedule. 16) The Managing Director reserves the right to increase the tender called A/C units based on the actual requirement on pro-rata basis at the quoted rate accepted by the Corporation during the currency of the tender / extended period. 17) The Managing Director, Tamilnadu State Transport Corporation (Madurai) Ltd, Madurai does not bind himself to accept the lowest or any offer and reserves the right to himself to reject any or all tenders with out assigning any reason therefore. 5 (5) The Corporation undertakes 1) (i) To permit inspection of the Air Conditioner at such intervals as may be deemed necessary by the contractor. (ii) To report immediately any condition of the units which may indicate the need for rectification before the next regular inspection. (iii) Not to insist the contractor to attend any superficial defect found in the Air Conditioner due to chemical erosion or rusting of the units. (iv) To bear the cost of transporation of Air Conditioner from the workshop of the Corporation to the contractors worshop and back for the purpose of rectifying the defects. (v) Not to allow its own employees for any act of willful breakage of damage due to rough handling of parts of the units but it is agreed by both the parties that in the event of the contractor on all edging willful breakage or damage due to rough handling by the personnel of the Corporation, the decision of the Managing Director of the Corporation shall be final and binding on both parties. 2) Every year 1/3 of the AMC value will be paid as 25% advance and the balance 75% will be paid after successful completion of Annual Maintenance Contract period of every one year. 3) Every contractor is expected before quoting the rates to inspect the Air conditioners in the respective regions. 4) Every contractor may quote the rates for one or more regions and in any cases, within 24 hours from the time of break down of Air Conditioner the break down shall be attended to. 5) The legal jurisdiction in case of any dispute will be at Madurai.
