1 Ellis, Rooks, Trego and Gove Counties will start e-filing in August 2015 The Kansas Supreme Court and the Kansas Court of Appeals will make e-filing mandatory in their courts in November The e-filing program being used statewide is the Kansas Courts Eflex Program.
2 Over the next 30 days, the Clerk s office staff, Judges and Administrative Assistants will be begin doing training with the Office of Judicial Administration and utilizing online training videos. Attorneys and their staff will be provided with an online website to do training.

4 You will be able to see all filings on your cases. o Entry of Appearances are important on cases. They trigger you being able to see your cases and filings on eflex. E-filing will save you paper, time and the fabulous scenic views you get driving out to the NEW Building. You will no longer have to wait for the Clerk s Office to process your paperwork in order to get a file stamped copy. Once the document is processed, the system automatically sends you a file stamped copy. E-filings using eflex are currently being accepted in 42 counties. (Johnson County has their own system)
5 Times, Times New Roman and Helvetica are recommended. Please use correct upper and lower case. Do not type everything in upper case. Docx, Doc and RTF are the recommended document types. Documents should be ready before attempting your upload as there is a time out on the website. Should you cancel out before finishing the process nothing will be saved on the site or submitted to the court. Your documents are saved and converted to a PDF for filing, with the exception of any orders signed by the judge or clerk. These are sent through the site as a word document. Once approved, they are filed and then converted to a PDF document.
6 New cases still require the same information as the current Civil Information Sheet. It will be entered on the e-filing system. We still need the all identifying factors available on the parties as well as current addresses, etc. Court dates must be obtained prior to the submission.
7 Fees to file: o E-check is $2.00 per fee (this would be from your checking account) o Credit card (cite-pay) is 4% of the fee Have your staff pay attention to the fees. You may find it cheaper to use the e-check in some instances and cheaper to use the cite-pay in other instances. $176 Docket Fee would be $2.00 by e-check and $7.04 if by cite-pay. But the $12.50 fee would be $2.00 by e-check and 50 by cite-pay. You may want to be careful and make sure you know which would be cheaper to file your documents that require a fee.
8 If everything is submitted correctly, the case submission will be approved by the clerk s office for filing. At this time we can only think of a couple of reasons that your documents might be rejected. We will send a note on the case in eflex as to why it is rejected. o The case number and/or the case caption is incorrect. o There is a Satisfaction of Judgment filed and we have no Journal Entry of Judgment on file. o A court date is missing when needed. o The document is missing a signature. o Other reasons may come up in the future. We will notify you if any come to our attention.
9 The filing stamp time on your document will be the exact time your document was submitted. Exceptions: o Anything needing a judge s or clerk s signature. Those will be file stamped once a judge or clerk electronically signs them. o Any document that was rejected by the clerk s office for any error.
10 If you e-file a document and want sheriff s service you will be required to take the appropriate paperwork to the sheriff for service along with their required fee. When you file a new case there is a place to put information in for a summons. Certain information will be needed and then it will be sent to us for signature through the e-flex system. All summons will look the same when this is done. Don t prepare the summons on new cases. You will fill in the information that is appropriate for that particular case on the website and the summons will be sent through e- filing for our electronic signature.

The eflex system has just recently come out of the testing phase. Although the statewide rollout has started, not all of the glitches have been worked out. o Example: No specific court name on the file stamp. This should be fixed soon.
