Issue Information that matters to YOU about BB&T, the merger, payroll, benefits, policies, procedures and more from the BB&T Human Systems Division for associates of The Bank of Kentucky #4 April 2015 This issue of What about ME? provides a look at BB&T Work/Life Benefits. At BB&T, we recognize the importance of achieving and maintaining a balance between your career and your personal life. We understand that you have needs beyond the workplace, which is why we offer a number of Work/Life Benefits. These benefits include paid time away from work (holidays, vacation, and short-term absence days), time for parents to be involved in their children s school, personal planning programs, an Employee Assistance Program, and more. BB&T Holiday Schedule BB&T will observe the following paid holiday schedule effective July 1, 2015, and through the remainder of 2015: Holiday Day of the Week 2015 Date Independence Day Saturday July 4 Labor Day Monday September 7 Columbus Day Monday October 12 Veterans Day Wednesday November 11 Thanksgiving Day Thursday November 26 Christmas Day Friday December 25 When a paid holiday falls on a Saturday, BB&T associates may be granted a floating day to be taken in the same calendar year in which the holiday falls and at a time approved by the associate s manager. For example, Independence Day (July 4) falls on a Saturday in The Bank of Kentucky full-time associates are eligible for a floating day to be taken in 2015 with their managers approval.
2 BB&T Vacation Policy It is BB&T s policy to provide a competitive program of paid time away from the job to allow associates the necessary time for physical and emotional relaxation. BB&T offers associates generous vacation and shortterm absence pay benefits. While you were able to use PTO for either vacation or sick days, you will use vacation days for vacation and short-term absence days for time away from work for short-term illnesses or accidents. BB&T will convert your current PTO accrual rate into a vacation accrual rate and grandfather your vacation accrual rate with The Bank of Kentucky if it provides a greater benefit than the BB&T vacation policy. Read on to learn more about vacation at BB&T and your transition to the BB&T vacation accrual schedule. Vacation Accrual for 2015 To determine your number of vacation days for the remainder of 2015 (July 1, 2015, through December 31, 2015), use the following formula: The amount of PTO you accrue with The Bank of Kentucky for January 2015 through June 2015 The number of PTO days you have taken (or will take) for January 2015 through June 2015 The amount of PTO you would accrue with The Bank of Kentucky for July 2015 through December 2015 x 75% + = The number of vacation days available to be taken for the period of July 2015 through December 2015 with BB&T For example, Anna accrues 24 PTO days a year with The Bank of Kentucky. She has used 5 PTO days for the period of January 1, 2015, through June 30, Here is how Anna calculates her vacation days with BB&T for the period of July 1, 2015, through December 31, 2015: 12 (days of PTO accrued with The Bank of Kentucky for January June 2015) 5 (days of PTO Anna has taken for period of January June 2015) + 9 (12 days of PTO Anna would accrue with The Bank of Kentucky for July December 2015 x 75%) 16 days of vacation available to be taken for the period of July 2015 through December 2015 with = BB&T Please Note: In addition to vacation days, associates joining BB&T also have access to short-term absence pay for time away from work for illness and other approved absences (see page 5 for more information). Vacation Accrual for 2016 Effective January 1, 2016, former associates from The Bank of Kentucky will accrue vacation according to the BB&T vacation accrual schedule unless grandfathered in at a higher vacation accrual rate. The Bank of Kentucky vacation accrual rate is 75% of The Bank of Kentucky PTO accrual rate. The table below outlines the amount of annual vacation for regular associates scheduled to work 40 hours per week who have completed the indicated years of service on or before June 30 in any given year. Vacation days are accrued based on years of service and official title. Regular Full-time Associates Years of Service Less than 5 5 or Banking Officer/ AVP or VP/Sr. VP or above Number of Days What about ME?
3 To calculate the number of vacation days available to you in 2016 under the BB&T vacation policy, determine the number of years of service (service from The Bank of Kentucky counts) you will have completed by June 30, 2016, and then locate the number of years of service in the chart. For those associates who would have a greater benefit under The Bank of Kentucky vacation accrual rate (75% of The Bank of Kentucky PTO accrual rate), BB&T will grandfather The Bank of Kentucky vacation accrual rate. To determine your vacation accrual rate at The Bank of Kentucky, use the following formula: Number of PTO days you would accrue in a year at The Bank of Kentucky x 75% = Your Bank of Kentucky vacation accrual rate for the year (round up if.50 or over; round down if under.50) Associates from The Bank of Kentucky will receive the greater of the two vacation accrual rates starting January 1, If your Bank of Kentucky vacation accrual rate provides a greater benefit than the BB&T vacation policy, you will be grandfathered at The Bank of Kentucky vacation accrual rate (The Bank of Kentucky PTO accrual x 75%). If the BB&T vacation policy provides a greater benefit than The Bank of Kentucky vacation accrual rate (The Bank of Kentucky PTO accrual x 75%), you will begin accruing the greater BB&T accrual rate. Maximum grandfathered accrual is capped at 25 days. Example of a Greater Bank of Kentucky Accrual Rate Two Years of Service, Full-Time Non-Officer If you accrue 14 PTO days per year at The Bank of Kentucky, your Bank of Kentucky vacation accrual rate is 11 vacation days per year (75% of The Bank of Kentucky PTO accrual rate). The BB&T vacation accrual rate is 10 days per year. Given The Bank of Kentucky s greater vacation accrual rate, you will be grandfathered at 11 days until the BB&T vacation schedule exceeds 11 days. Example of a Greater BB&T Accrual Rate Nine Years of Service, Full-Time Non-Officer If you accrue 19 PTO days per year at The Bank of Kentucky, your Bank of Kentucky vacation accrual rate is 14 vacation days per year (75% of The Bank of Kentucky PTO accrual rate). The BB&T vacation accrual rate is 19 days per year. Given BB&T s greater vacation accrual rate, you will follow the BB&T vacation accrual rate. Official Title For many associates, their current Official Title with The Bank of Kentucky will be their Official Title with BB&T. Eligibility to transition the current Official Title will be determined by the position and corresponding job grade of an associate s BB&T job position. This review is taking place now based upon the job offers that have been made, and Official Title recommendations will be considered by the BB&T Board of Directors in late April. Associates will be notified of their Board approved Official Titles in a separate communication. In addition to years of service, your Official Title also factors into determining your vacation time. For example, Robbie will complete 9 years of service by June 30, Based on 9 years of service, Robbie will accrue 19 days of vacation in 2015 under the BB&T vacation policy. However, if Robbie receives a Senior Vice President official title promotion (by June 30), he will accrue 20 days of vacation even though he has not reached his tenth year of service anniversary. 3 What about ME?
4 Remember, if The Bank of Kentucky s vacation accrual rate (75% The Bank of Kentucky s PTO accrual rate) is more than the BB&T accrual rate, you will be grandfathered The Bank of Kentucky vacation accrual rate until the BB&T vacation accrual rate exceeds The Bank of Kentucky rate. Additional BB&T Vacation Policy Details An associate s years of service with The Bank of Kentucky will be counted as years of service worked under the BB&T vacation policy. Beginning in 2016, all former associates of The Bank of Kentucky scheduled to work at least 20 hours per week must annually take five consecutive vacation days away from the office. This is referred to as the annual sabbatical compliance. The remainder of vacation days beyond five consecutive days may be taken one or more days at a time at the convenience of the associate and BB&T. During the time the associate is on vacation for five consecutive days, the associate may be engaged in only limited BB&T-related employment activity. In the event one of BB&T s observed holidays occurs during a week of designated sabbatical vacation, that day will be counted as a holiday rather than a day of vacation. The holiday would not be counted for the purpose of meeting the requirement of five consecutive days. Associates are awarded a one-time only fifth week of vacation, referred to as the 20th Year Vacation Award, during the calendar year in which they reach their 20th year of service. This time is accrued monthly during the year. Associates from The Bank of Kentucky who celebrate 20 years of service (The Bank of Kentucky service counts) on or after July 1, 2015, will be eligible for the 20th Year Vacation Award accrual. In 2015, eligible associates from The Bank of Kentucky will accrue vacation time at that higher rate for July 1 through December 31, 2015, resulting in an additional 2.5 vacation days. The 20th Year Vacation Award cannot be carried over to the following year; if it is not used it will be forfeited unless otherwise required by state law. In the event the 20th Year Vacation Award is not taken before terminating employment during the anniversary year, it will be forfeited unless otherwise required by state law. Note: Vacation days cannot exceed 25 days per year; if the 20th Year Vacation Award combined with any grandfathered vacation accrual rate from The Bank of Kentucky (The Bank of Kentucky PTO accrual x 75%) exceeds the 25 day cap, you will receive a maximum of 25 vacation days. An associate may be able to carry over up to one week of accrued vacation to the following year (unless otherwise required by state law) with prior approval of his or her manager. A carryover decision will be based on BB&T s best interest and is typically granted in situations in which a significant event has occurred that makes it difficult for the associate to take vacation in the current year. Any carryover that was approved by The Bank of Kentucky (8 hour maximum for non-officers) that has not been taken by July 1, 2015, will be included in the accrued PTO time provided by The Bank of Kentucky at the time of conversion. Birthday Day Off An associate (excluding on call associates) with a birthday of July 1 or after will be eligible for an extra day off for his or her birthday in This paid time off is granted on a year by year basis. 4 What about ME?
5 The BB&T Short-Term Absence Pay Policy The Short-Term Absence Pay policy is designed to provide salary continuation to eligible associates who are absent from work. This policy is intended to protect you from loss of income due to short-term illness or an accident. This policy provides a maximum of 40 workdays per calendar year that may be used for personal illness. Up to half of the 40-day allotment may be used for sickness or injury to a family member who is incapable of self-care. All absences must receive management approval. Your Transition to BB&T s Short-Term Absence Policy The Bank of Kentucky associates will convert to the BB&T Short-Term Absence Pay Policy effective July 1, The Bank of Kentucky associates who are on an approved Leave of Absence prior to July 1, 2015, will be eligible for the BB&T Short-Term Absence Pay Policy after they have returned to active work. Eligibility Regular full-time and regular part-time associates scheduled to work at least 20 hours per week who have completed 90 days of continuous service (The Bank of Kentucky service counts) are eligible under this policy. Newly hired associates in their first 90 days of employment are eligible for six days to be used only for personal illness. Any regular part-time associate scheduled to work at least 20 hours per week is eligible for a pro rata benefit under this policy based on his or her scheduled hours. Authorized Paid Absences Absences, for which associates may be compensated using available days, are limited to specific types of absences and life events. Additional information regarding the Short-Term Absence Pay policy is available in the Benefits Related Policy sections of the EXCELLENCE Associate Handbook and in the Work/Life section on BBTBenefits.com. The EXCELLENCE Associate Handbook is available on BBTBenefits.com in the Featured Documents section on the homepage. Once an associate exhausts his or her available paid absence days, additional absences due to illness or injury may be covered under the BB&T Disability Plan. The BB&T Disability Plan The Disability Program is structured to prevent a lapse in pay if you are out of work due to non-work related illness or disability. BB&T offers two coverage options: 50% Disability Option (premiums fully paid by BB&T) 60% Disability Option (associate contributes toward the premium for this enhance buy up option) Each option continues a different percentage of your monthly Benefits Annual Rate after you have exhausted your annual short-term absence days. On your 41st day of illness or disability, you may be eligible for disability pay. In order to receive disability pay, your absence must be certified by your doctor and approved by our disability insurance carrier, The Hartford. If you are not approved for disability, any continued absence will be without pay. 5 What about ME?
6 Any associates from The Bank of Kentucky who is already receiving a disability benefit prior to July 1, 2015, will remain covered and paid by The Bank of Kentucky s provider through the duration of that approved disability. Any new claims for disability for an injury/illness occurring on July 1, 2015, or later will be processed through the BB&T Disability Plan. Any injury/illness occuring prior to July 1, 2015, even if reported after July 1, 2015, will be covered under The Bank of Kentucky s provider. Given BB&T s generous leave benefit, including the 40 short-term absence days, the disability Supplement Bank will not be carried over and will not be paid to the associate. Other Absences The following absences will not be counted against an associate s 40 short-term absence days: Emergency Closings Emergency Closings/Late Openings of your branch or office will be compensated as regular pay. These absences will not be charged against the number of available days of paid absence. Involvement in Community Service To encourage all regular associates to participate in helping to make their communities better, you will be allowed to take four hours with pay, annually, to work on any community-related project of your choosing. This four-hour allowance is distinct from any other time involved in company-sponsored activities such as the Lighthouse Project, United Way campaigns, etc. The scheduling of the time off must be approved by your manager. Jury Duty We encourage our associates to be responsive to and active in community and civic affairs. A part of this responsibility includes serving on jury duty when called. Only in cases of emergency should an associate attempt to be excused from jury duty. In recognition of this, BB&T will allow up to 20 days of time off with pay to all regularly scheduled part-time and full-time associates called for jury duty. Beginning with the 21st day of jury duty, BB&T will offset pay continuation to the associate with any compensation received by the associate for jury duty services. Associates called for jury duty should provide the legal documentation to their managers immediately so that arrangements can be made for their relief. The associate is expected to report back to work on a daily basis if relieved or excused early by the court. Involvement in Education Associates are encouraged to take an active role in their children s education. BB&T provides time off with pay (eight hours per year, unless a greater provision is required by the associate s work State or District) for this purpose. This applies to the associate s dependent children. The scheduling of the time off must be approved by the associate s manager. Miscellaneous It is recognized that a written policy cannot be all-inclusive and cover all situations. In the event there is a need to be absent for reasons not covered in this policy, the associate s supervisor, following discussion with the associate and Associate Relations (if necessary), will determine whether or not the absence can be satisfactorily arranged and what compensation, if any, will be paid during the absence. 6 What about ME?
7 Additional Work/Life Benefits Life Conversations Personal Planning BB&T offers the Life Conversations personal planning program through The Hartford (in conjunction with BB&T s Term Life Insurance and Accidental Death and Dismemberment Programs). This program focuses on issues that can be difficult for families to discuss, including making end-of-life decisions, planning for the loss of a loved one, and meeting insurance needs. By preparing you to address these important topics, the Life Conversations program can eliminate uncertainty and make difficult times easier for your family. The following services are available: Estate planning Funeral planning Funeral concierge services Family support Filing a claim As a benefits-eligible associate, these services along with 24/7 advisor support are available to you and your beneficiaries. Travel Assistance BB&T offers travel assistance and an identity theft protection program through The Hartford to all benefitseligible associates. Additional information about this program can be found on BBTBenefits.com in the Work/Life section. Business Travel Accident Insurance BB&T provides insurance for you that may pay a benefit if you are injured in an accident while traveling on company business. The policy may pay up to $250,000 ($500,000 for Senior Vice Presidents and above) for injuries received. 7 What about ME?
8 Additional Work/Life Benefits (continued) Employee Assistance Program BB&T offers Employee Assistance Program (EAP) services to help associates meet a variety of life s challenges. The EAP is administered through Managed Health Network (MHN) and is available to all regular associates (not temporary or contract) without having to enroll. Additionally, anyone who resides with you as a member of your household can use the program. Through our partnership with MHN, we are pleased to offer a variety of services that extend beyond those offered by traditional EAPs. MHN offers Clinical Counseling services to provide help for a variety of emotional health issues. Eligible members are entitled to as many telephonic sessions as needs warrant. The services also provide for three face-to-face clinical consultations per incident, per calendar year, for a wide range of emotional health, family, and work issues such as: Marriage, family, and relationship issues Stress and anxiety Depression Grief and loss Anger management Domestic violence Alcohol and drug dependency, and Other emotional health issues Along with the services described above, MHN offers a variety of features that go beyond traditional EAPs. These features are geared toward helping you take care of a wide variety of life s chores and challenges and achieve a healthy balance between work and life. Work and Life Services: The EAP features a number of services that affirm BB&T s commitment to helping associates achieve a healthy balance between work and life. These services include: Childcare assistance Eldercare assistance Legal services Other daily living services Online Member Services: Through the EAP, you can access helpful information and powerful emotional health and work-life tools online such as: Search for an MHN counselor Obtain a referral to a health counselor Ask emotional health questions Find helpful tips, tools, and articles.
