1 Residence Meal Plan Schedule D UNIVERSITY FOOD SERVICES (UFS) 1.1 Mandatory Residence Meal Plan Students who reside in Dormitory bedrooms (excluding apartments) are automatically placed on a Residence Meal Plan (RESCard) that has an allotted dollar amount for the semester. The RESCard is a declining balance meal plan, with students choosing the items they wish to consume and paying for each. This document outlines the costs, options and payment schedule for the Residence Meal Plan, rules applicable to it, and rules of conduct for the dining areas. 1.2 General Description of the Mandatory Residence Meal Plan: (RESCard) All students living in Dormitory residences must purchase a Residence Meal Plan. Accepting a placement in a Dormitory residence is an automatic acceptance of a Residence Meal Plan account and an acceptance of all of the terms and conditions of the Residence Meal Plan. 1.3 Carry Forward Policy All students who live in residence are required to purchase a meal plan each term. Students with an account balance on their meal plan at the end of the first term will have their entire balance carried forward to the second term. 1.4 Terms and Conditions of the Residence Meal Plan You will be issued with a University Food Services (UFS) Residence Meal Plan Card (RESCard), which must be presented at the time of purchase and may only be used for making purchases at UFS locations. Your receipt will show your remaining balance. RESCards cannot be redeemed for cash or applied as payment to any other UFS account. Manage your RESCard like cash. Report your lost, stolen or destroyed RESCard to any cashier located at any UFS location. Replacement RESCards are available at the UFS Main Office for a $25 fee upon the presentation of proper photo identification. The value used between the time the RESCard is lost, stolen or destroyed and reporting of lost RESCard will not be replaced. Use of the UVic Food Services RESCard constitutes acceptance of these terms and conditions. If your RESCard is unavailable to you and you wish to make purchases using your Residence Meal Plan outside regular business hours of the UFS Main Office, visit the Cadboro Commons Complex to report your RESCard lost, stolen or destroyed. Note that you are responsible for all use made of your RESCard and for any indebtedness arising from such use. For this reason it is essential that you report a missing, lost, or stolen RESCard to any UFS location immediately. You may also check your RESCard balance on the UFS website by signing into our secured portal using your Netlink ID or by visiting any UFS location. 1
2 1.5 UFS Residence Meal Plan Description There are three options for the Residence Meal Plan, described in 1.7, below. Each plan comprises a 50/50 split between service delivery costs and Residence Dollars. At the beginning of the term, 50% of your Residence Meal Plan is set aside for service delivery costs; however, each purchase made is reduced by 50%, as described in 1.6, below. Service delivery costs cover a portion of the expenses associated with operating the Cadboro Commons Dining facility in the Residence complex. These costs include, but are not limited to, labour, utilities, repairs and cyclical maintenance of facilities, china, cutlery, glassware purchases, and administrative and management costs. 1.6 Residence Dollars This declining balance amount is available for the following purposes: To purchase food and non-alcoholic beverages at 50% off posted retail prices at the Upper Commons Servery, Cap s Bistro and Village Greens in the Cadboro Commons Complex. To purchase convenience store items from the Village Market. Full retail pricing and taxation will apply. To purchase food and non-alcoholic beverage at all UFS Retail Outlets. Full Retail pricing will apply. 1.7 Types of Residence Meal Plans: Standard Meal Plan: All students will be automatically registered for the Standard Meal Plan, our most popular plan, designed for students who are on-campus on alternate weekends and those with average appetites. Full Meal Plan: Appropriate for students on-campus most weekends and those with larger appetites. Light Meal Plan: Suitable for students occasionally on-campus on weekends and those with lighter appetites. Transfer to a Full or Light meal plan must be done no later than September 20 or January 20 of each term by visiting the UFS office. 1.8 Residence Meal Plan Additional Dollars Additional Residence dollars can be added to any Residence Meal Plan at any UFS location (in $25, $50 or $100 increments), in any dollar amount at the UFS main office or via our secure on-line web payment service, Beanstream, located on the UFS website. Any amount added after September 20 is allocated entirely to the Residence Dollars portion of the Meal Plan and is eligible for the Carryover Plan as described in 1.10, below. 2
3 1.9 Meal Service Schedules for Dormitory Residences The schedule of first and last meal service dates is as follows: First Term First meal: Sunday, September 1, 2013 Last meal: Breakfast on the day following the last scheduled exam Second Term First meal: Wednesday, January 2, 2014 Last meal: Breakfast on the day following the last scheduled exam The schedule for meal service throughout these periods will be posted at Carryover Plan The Residence Meal plan is non-refundable. At the end of the second term in April, any Residence Meal Dollars added to any of the three plans after September 20 th, may be transferred into the Carryover Plan, upon request at the UFS Main Office. This transfer is subject to a $50 administration fee, which will be automatically deducted from the total plan balance at the time of transfer. This Carryover Plan allows you to continue spending your remaining money when you return to school, whether you live on or off campus. The Carryover Plan is accepted at all on-campus UFS locations. You will receive a 5% discount and all applicable sales taxes will apply. This plan is non-refundable and cannot have money added to it Cancelling Your Residence Meal Plan A Residence Meal Plan may be cancelled and a refund requested, if a student elects to move out of residence or withdraws from the University and provides an authorized Student Withdrawal Form from the Residence Services Office. Meal Plan refunds will only be processed if the student withdraws before December 1 st and April 1 st inclusive. If the term is complete refunds will not be issued. The Residence Meal Plan refund will be limited to the Residence Dollars portion of the Plan and will be subject to a $50 administration fee plus a pro-rated charge for the time the student lived in residence. There are no refunds or carry forward privileges for students who are required to withdrawal from the University. Additional Optional Meal Plans 2.1 General Description of the Tax Exempt Savings Plus 5% Discount Card: (TES5Card) Resident students who reside in non-dormitory rooms or students who live off-campus may elect to buy in to the TES5Card which can be used in any UFS location on campus. This Plan is tax-exempt under the following conditions: 3
4 Purchase is for a minimum of one term (e.g. September December). Based on a minimum of 10 meals per week. Participants must be students living off campus or in non-dormitory residence. Purchases are charged at retail price and receive a 5% discount at all UFS locations. Purchases made at the Village Market Convenience Store are not eligible for a discount and are subject to regular taxation. When your plan expires, any remaining balance may be transferred into the Carryover Plan, upon request at the UFS Main Office. This transfer is subject to a $50.00 administration fee, which will be automatically deducted from the total plan balance at the time of transfer. This Carryover Plan allows you to continue spending your remaining money when you return to school, whether you live on or off campus. The Carryover Plan is accepted at all on-campus UFS locations. You will receive a 5% discount and all applicable sales taxes will apply. This plan is non-refundable and cannot have money added to it. 2.2 Terms and Conditions of the Optional TES5Card Your UFS TES5Card must be presented at the time of purchase and may only be used for making purchases at UFS locations. Replacement cards are available at the UFS Main Office for a $25.00 fee with your TES5Card number and UVic student ID or valid driver s license. TES5Cards cannot be redeemed for cash or applied as payment to any other UFS account. Manage your TES5Card like cash and record your card number in a secure location. The value used between the time the TES5Card is lost, stolen or destroyed and reporting of lost TES5Card will not be replaced. You may check your TES5Card balance on the UFS website, at any UFS location or at the UFS Main Office. You may also check your TES5Card balance by calling , please have your TES5Card number available. Note security questions will be asked to verify identity. Use of the UFS TES5Card constitutes acceptance of these terms and conditions. 3.1 General Description of the optional Faculty/Staff/Guest 5% Dining Discount Card: (DD5Card) All guests of students not living on campus may purchase a DD5Card. The DD5Card offers guests a 5% discount on purchases at all UFS locations. Purchases made at the Village Market Convenience Store are not eligible for a discount. The minimum amount to join this plan is $50, with a minimum additional amount to add to an existing plan of $25 dollars. 3.2 Terms and Conditions of the DD5Card Your UFS DD5Card must be presented at the time of purchase and may only be used for making purchases at UFS locations. The receipt will show your remaining balance. Report your lost, stolen or destroyed DD5Card to any cashier located at any UFS location using your DD5Card number. Replacement DD5Cards are available at the UFS Main Office for a $25 fee with your DD5Card number. If DD5Card number is not known the DD5Card cannot be replaced. DD5Cards cannot be redeemed for cash or applied as payment to any other UFS account. 4
5 Manage your DD5Card like cash and record your card number in a secure location. The value used between the time the DD5Card is lost, stolen or destroyed and reporting of lost DD5Card will not be replaced. You may reload your DD5Card balance on the UFS website, at any UFS location or at the UFS Main Office. Use of the UVic Food Services DD5Card constitutes acceptance of these terms and conditions. 4.0 Dining Room Rules and Conduct In addition to the other rules regarding conduct set out elsewhere in this Contract, you are required to abide by the following dining room rules and conduct standards. 1) Trays, dishes and cutlery are not to be removed from the dining room. The loss of dishware and cutlery increases your costs, inconvenience, and the use of disposable dishes. Additionally the accumulation of dirty dishes in residence is not permitted. 2) A resident or their Guest(s) found responsible for any of the following may be subject to residence Community Standards follow-up; University follow-up; compensation to University Food Services (UFS), a fine, and/ or referral to the police: misuse of the UVic Residence Dining card (RESCard) or number; removal of any product or dining room property from a UFS facility without payment; consumption of a food item prior to payment; or damage to UFS property or equipment. 3) All individuals must wear clean, appropriate clothing in the residence dining room (shirt, shorts, pants or skirt, and shoes). Muddy cleats and dirty athletic wear are not allowed. 4) Alcohol is not permitted in the Cadboro Commons complex during regular operating hours. 5) UFS staff may refuse to serve any individuals who use offensive language, appear to be under the influence of alcohol or illegal drugs, or who are acting in a threatening manner, and may ask those individuals to leave the dining room. If you are asked to leave the dining room, you will comply with such request. Please speak to Residence Life staff if you have any questions or concerns. 6) Use of roller blades, skateboards, et cetera, are prohibited in the dining room. Bicycles may not be brought into the dining room area. Please use the bike lock areas. 7) When engaging with UFS staff, please have the courtesy not to use any social media/electronic or leisure listening devices. 5
6 4.1 Additional General Terms and Important Information 1) If you have any special dietary needs, including but not limited to those due to health or religious beliefs, you must contact UFS immediately to provide the particulars of your needs. UFS will determine whether your needs can be met. 2) Your guest(s) are permitted to dine with you at your residence s dining room on the following conditions: a) You and your Guest(s) are in compliance with all of the provisions in this Residence Agreement that relate to guests (see, for example, Section 2.14 of Schedule C); and b) Your Guest(s) will be charged the retail prices listed in the dining room. For greater certainty, you are not permitted to use your Residence Meal Plan privileges to purchase items or obtain discounts for your Guest(s) at any UFS location. 6
