1 PAM Setup for California Sick Leave Accruals The setup instructions below are only one example of how to setup the new CA Sick Leave Accrual in PAM as setups will depend on each particular client s guidelines based on the Healthy Workplace Healthy Family Act of Since the law allows employers choices on how they implement the accruals within the guidelines of their organization, each setup could be unique and will require discussion with the client during setup. Below are employer responsible items to be tracked offline: If the organization chooses to cap the sick hours used in a year to 24 hours per employee, the employer must track the amount of sick time used by using the Accrual Report and the YTD Hourly Benefit Report and not allow the employee to request or take more than the allotted amount. The employer must also determine the status of the employee and add the CA Sick accrual code only if the employee meets the requirements of the law. Accrual carryover in PAM is an all or nothing option. The example below shows the Carry Forward option active which will allow the accrual to carryover any balance in the CASICK bucket at the employee's anniversary. The employer must track the amount of sick time available at the employee anniversary using the Accrual Report and the YTD Hourly Benefit Report and adjust the employee s balance accordingly throughout the year. TeamTrack # The employer must also understand that the sick accrual amount will show as a decimal on the employee s pay stub, but the employee will only be allowed to use the sick accrual amounts in increments of one. So if the employee has 3.65 hours of sick available, the employee will only be allowed to use three hours by the employer. Below are screenshots of one example of how to setup a California Sick Leave accrual. 1. Setup the accrual in PAM on the main client screen using option 21 (Accrual). a. Option 1 (Accrual Data).
2 b. Option 2 (Accrual Plans). Add the CASICK accrual to the first open position. c. Select option 3 (Sick) on the Accrual for CASICK screen. 2. Setup the employee accrual in PAM on the main client screen using option 1 (Employee Maintenance). a. Option 1 (Employee Maintenance) > option 2 (Revise Employee) and select the employee you wish to enter the accrual on. Then select option A = Accrual.
3 b. Add the accrual to the employee using option 1 (Accrual Plan Number) and add the Accrual Base Date using option 2. The accrual Base Date is the start date for the employee accrual. It is normally the employee start date and is completely independent of the employees actual hire date. c. Depending on the client s guidelines for this accrual setup, you may also use options 6, 7 and 8. Instructions below.
4 3. Sick time accrual is a billable service in PAM. Setup the accrual billing in PAM on the main client screen using option 8 (Billing Maintenance). a. Option 8 (Billing Maintenance) > Additional Screens T (Task Tables) > F12 = add. Then add option 32 (Accrual Report). You can leave the Eff-Date (effective date) blank to start the billing immediately. 4. Setup the Accrual Report and YTD Hourly Benefit Report using option 4 (Payroll Reports). a. Option 4 (Payroll Reports) > option 17 (Reports to Run). Select the next available line and add the reports. b. The Accrual Report is option 1. c. The YTD Hourly Benefit Report is option 35.
5 5. If the client chooses to show the sick accrual balances on the employee check stubs use option 11 (Client Maintenance) on the main client screen. a. Option 11 (Client Maintenance) > option 6 (Report Options) > option 3 (Pay Checks) and change option 19 (Print Sick Accrual) to Y.
