1 Thank you for booking to attend Poacher 2017 Jamboree we look forward to welcoming you. By making this booking you are entering an agreement with us and agreeing to comply with certain Terms and Conditions. Please read this document in full. All Group bookings (including those for Junior Poacher Days) will be given an individual Group number known as a GRP number. Bookings can be made by any Unit/Group or section as long as they are within the specified age range for Poacher 2017 Jamboree. Each booking must have assigned a Primary Contact who will be our main contact throughout the booking process. It is only this Primary Contact who will be able to authorise changes to the booking. The Primary Contact does not have to be the Leader in Charge or be at the event. During Poacher 2017 every person individual person on site will have a unique C number. This number will be assigned as part of the booking process. It is essential that your GRP or C number is quoted in all correspondence, and written on the back of any cheques. This enables us to deal with any queries or payments effectively. Failure to include the correct GRP or C number will result in delays in responses to queries and monies being allocated. 2 Once your place is booked via our online booking system you will be notified of the value of the deposit required. All deposits must be paid within 28 days of booking. Failure to pay your deposits could result in your booking being cancelled. Full payments for all bookings is due no later than 31 st March Deposits are non-refundable. * A discount of 10 will be applied to every full participant fee for all bookings made up and including midnight on 31 st January 2017 which are processed via the online booking system. Campmakers are not eligible to take part in activities and should be booked onto the staff booking system in order that they can be allocated a role. All amendments to the booking can be made by the Primary Contact up to 31st March 2017, by which time all places must be paid for in full. However, minor amendments including the adding of one or two additional campers/helpers and removal of one or two campers/helpers can be made up to 31st May Full Payment (including deposits) are non-refundable expect for in exceptional circumstances. If it is considered that your circumstances are exceptional an application should be made in writing to the Finance manager (Lizzie Taylor) for consideration by the Poacher 2017 Jamboree Management Committee. The Poacher Management Committee s decision will be final in this matter. After the 31st May 2017 no changes will be able to be made to your booking to enable Poacher 2017 Jamboree to complete the final pre-camp process checks. All Adults over the age of 18 must have a complete and valid DBS/CRB clearance (PVG Check for Scotland) for the duration of the event. The DBS/CRB/PVG number will be required as part of the booking process. This is essential for all members of Scouting and Guiding attending Poacher 2017 Jamboree. It is the responsibility of Groups/Units to ensure that this requirement is fulfilled. Some adults may be on site who are not members of Guiding and Scouting and who haven t got a valid DBS/CRB/PVG. These adults will be escorted at all times around the site, and remain the responsibility of an assigned adult from the unit. Each booking must have an assigned Leader in Charge whilst at Poacher 2017 Jamboree. This can be the same person as the Primary Contact or someone completely separate. The Leader in Charge takes responsibility for their camping group. The Leader in Charge must be notified to the Administration team as part of the booking process.

3 Each booking must have the appropriate ratios of Young People to Adults at the event. Any leaders attending the event as event staff are not to be included in ratios. Group/Unit Campmakers do not count as leaders in ratios. Each Group must have a minimum of two adults regardless of group size. The maximum number of Adults/Leaders allowed with a camping group is two adults over the ratios below. Should there be a requirement to exceed this number please contact Administration at the earliest opportunity to discuss. Any groups over the ratios are encouraged to assist with the supervision of Subcamp HQ duties, Activity provision or Transport Escorts where required. Groups Junior Poacher Groups Poacher Ratios 1 to 8 Young People 1 to 6 Young People To ensure the security of our campers, no one, will be allowed onto the campsite from 6:00pm on Saturday 29 th July 2016 without a valid id card or a valid Poacher 2017 wristband. Anyone without identification may be escorted from the site by Security. This is in place to ensure the security of the young people, leaders at Poacher We appreciate your co-operation. Anyone found to be causing disruptive behaviour may be asked to leave the site. All campers are to be back in their sub camps by 10.30pm. Lights out at 11.00pm. All campers to remain in their subcamps between 11pm and 7.00am It is the responsibility of each camping unit to ensure that they have the appropriate insurance cover for all adults in their contingent. Please seek advice from your respective Association s where appropriate to ensure your campers and equipment is insured. Poacher 2017 will operate a lost property service and ask that all lost property be handed in when found to the designated lost property station. We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

4 We would only cancel the event if the Lincolnshire Showground was unavailable for reasons beyond our control. We would refund all monies paid by you for the event excluding the non-refundable deposit. Our liability would not extend beyond this refund. Due to the new security systems installed at the Showground we are unable to offer leaders the opportunity to bring equipment to site on Friday 28 th July 2017 and/or stay over that evening. Marquees booked from third party contractors will be able to be erected on the Friday as long as Sub Camp teams are notified that this is happening in advance, and copies of the contractors insurance and RAMs provided to the sub camp team one week prior to errection. No camper, except staff will be permitted onto the Showground until Saturday 29 th July 2017, unless agreed with Sub Camp Teams for the purposes of third party marquees. The arrival time windows will be communicated to the Primary contact before the event. Please adhere to the allocated time. As part of the organisation of Poacher 2017 we have to receive clearance from local emergency services and part of the plan presented is in relation to traffic management. The arrival times are our commitment to assist in reducing congestion both on the roads leading to the Showground and on site. Any issues noted in this process may be held against us when it comes to future Poacher s. Please help us protect the future. If you will be arriving after 6pm on Saturday 29 th July 2017 please ensure you contact your sub camp team or administration at least two weeks before the camp to state your expected time of arrival. Otherwise failure to notify us may result in the site being locked down and you may not be able to gain access to the site. No vehicle access to the Showground for departure will be given until 9am on Saturday 5 th August This is for the safety of the young People in our care. Please do not ask if you can come on any earlier as you will be refused by the security team. Please also note any departure times allocated. These may be used for the same reason as arrival times. The guidelines for both Association s should be followed with respect to alcohol, knives and drugs. Our policy can be found on the Poacher 2017 website which in all users undertake to adhere to through the acceptance of this Terms and Conditions.

5 Sorry, we do not allow pets at Poacher 2017 Jamboree. All camping equipment must be in good working order. It is the responsibility of each unit to ensure that the equipment meets an appropriate standard and that it is used correctly and safely. In the spirit of Scouting and Guiding group leaders will be expected to work with their sub camp team to provide a Poacher 'workforce' which will support across the whole Jamboree. This may include providing escorts for Off-site trips, assisting with some activities and events and the cleaning of shower and toilet blocks. During the event, photographers will be taking still and moving pictures that may be used during and after the camp in Scout and Guide publicity or publications, or in local newspapers, or on Scout and Guide websites. Local newspapers and TV stations may also attend the camp to provide external media cover - members of the press will be accompanied at all times by a member of the media team. Images used within event publications will not be accompanied by surnames or postal addresses. External media may wish to use surnames, and our media team will endeavour to gain permission from group leaders for this. Anyone attending the jamboree, or giving permission for their child to attend the jamboree, should note that attendance at camp signifies their agreement for photographs of themselves/their child to be used in line with the above policy. All members of the group are the responsibility of the Leader in Charge. Anyone found to be behaving in an unacceptable manner may be asked to leave the camp. All participants are expected to behave in accordance with the Scout/Guide Law, respective Association rules i.e. POR and the Guiding Manual. In the unlikely event of any damage to property the management team reserve the right to invoice the group / unit. Any data collected during the course of this booking will be stored on our computer(s). We will not share your details with any third party and will destroy all details when no longer needed.
