Dear Sir, As you might be aware, Hindustan Prefab Limited is a Public Sector Undertaking, wholly owned by the Government of India in the field of Construction works. Some of our Computers and its peripherals need to cover under AMC. We are enclosing the brief details of the devices as Annexure-I as well as Terms and Conditions for the AMC. The service providers called agency, would request to kindly furnish the quotation in one bid system (three sealed covers containing EMD, company profile/technical documents and Financial Bid) for taking up the above job super scribing Quotation for AMC for Computers and its peripherals along with acceptance of our Terms & Conditions before 15:00 hours of 26 st September 2018 at HPL office. The quotation should be dropped in the sealed tender box located at the Security Gate. Quotation / tender must accompany Earnest Money Deposit (EMD) of `2000/- (Two Thousand only ) by way of bank draft of schedule bank in favour of Hindustan Prefab Limited payable at New Delhi. The amount shall be confirmed as performance security deposit (without any interest) for successful bidder and refundable on successful execution of contract. The quotation / tender without EMD will be considered as unresponsive and rejected. EMD deposited with Bids shall be refunded to unsuccessful bidder after completion of the bidding process maximum within 60 days from the date of deposit of the amount. The quotation will be opened on 26 th September 2018 at 15:30 hours. Kindly note that if the above conditions are not complied with your quotation shall liable to rejected.

SCOPE OF WORK HINDUSTAN PREFAB LIMITED (A Govt. of India Enterprise) Jangpura, New Delhi TERMS & CONDITIONS 1.1 The scope of work covers annual preventive and corrective maintenance of all equipments covered under AMC during office hours i.e AM to 6.30 PM on all working days i.e. from Monday to Saturday. Your Engineer shall visit this office as and when required for smooth and uninterrupted function of the computers and its peripherals and carry out preventive maintenance of all equipments covered AMC once every month. 1.2 During the AMC period, original equipments/spares in brand new condition are to be supplied and installed by you at your own cost and risk. All the parts except print cartridges of the printers will be covered under AMC. 1.3 It will be your responsibility to ensure smooth running of the machines along with its installed software s in healthy condition during the entire AMC period. 1.4 The system will be considered working for the purpose of uptime/downtime on fulfilment of the following:- Counting of downtime shall be as follows: Call for equipment malfunction shall be reported by HPL to your Service department by FAX, TELEPHONE etc. For this purpose, you shall furnish details viz. Postal address, phone/fax number, address etc. to HPL You will inform the call serial number and the time of call reporting for which record will be maintained by HPL and by our complaint registering office The time of reporting of all calls shall be within our normal office hours and you shall ensure due and proper receipt as well as lodgement of complaints at your end during these hours. The maximum response time to attend the complaint shall be 4 (Four) hours from the time of lodgement of the complaint with you All calls reported after 4.00 PM on Monday to Saturday shall be treated as a call reported on the next working day for the purpose of downtime calculations. You shall, however, make efforts to rectify the problems at the earliest All calls of any system, subsystem and/or any peripheral device being down for more than 24 hours, the same shall be temporarily replaced by you within 48 hours with a machine and/or component of similar configuration to ensure continuous functioning of the computer system. The system will be considered up in this case and no downtime will be counted. All efforts shall be made by you to limit such temporary replacements to less than 15 days. However, you have to ensure that on any such temporary replacements, overall performance of the system is not affected.

3 1.4.6 The agency should be provided copy of PAN CARD and GST registrarion However, under no circumstances, the system shall be considered as up, if any of the devices along with software is not in running condition In case the downtime exceeds, 48 hours from the lodgement of complaint, unless decided otherwise by this office, ½% per week or part thereof subject to maximum of 5% of the total value of the contract for items covered under AMC shall be imposed till the equipment/system is fully restored or a proper stand-by is provided In case the problem is not resolved within a reasonable time, the complaint may rectified by third party at the discretion of HPL and amount charged will be deducted from the AMC charges in addition to the penalty If all or any hardware and/or software (up to Operating System level) covered under this contract are not operational, the system will be treated as down and downtime will be counted after allowable 24 hours only Cleaning & servicing of all items covered under AMC properly at least once in a month Proper maintenance of LAN (Local Area Network). 2. PRICE/CHARGES Item-wise AMC charges inclusive of all taxes, charges, fees and duties etc. for all items covered under AMC to be quoted by the party as per Annexure-I. 3. PERIOD The period of AMC shall be for one year from the date of commencement of the contract. After completion of the contract with better performance, we may further extend the contract on mutual acceptance by both sides. 4. PAYMENT Payment shall be made on prorate basis on completion of each quarter. The prorate payment shall be made on completion of one quarter of operation by system after deducting the penalty amount, if any as may be payable in terms of aforesaid sub-clause on account of the down time. All statutory deductions would be made at sources in terms of applicable statue for applicable taxes. 5. TERMINATION OF CONTRACT HPL shall have the right to terminate the AMC at any stage due to unsatisfactory services for which no compensations shall be payable. 6. PERFORMANCE SECURITY In addition, the contractor shall be required to deposit an amount equal to 10% of the contact value of the contract in the form of Banker s cheque/dd or submit Bank Guarantee Bond of scheduled bank for equal amount as performance security within the period prescribed for commence of work in the letter of award issued. The performance guarantee shall be initially valid up to the stipulated date of completion plus 60 days beyond that.

4 7. REJECTION OF TENDER The company (Hindustan Prefab Limited) has the right to cancel the tender at any stage without any clarification and intimation.
