1 handweavers guild of boise valley, inc. Policy on Guild Participation in Member Estate Sales I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. to assist with the organizing for the sale of weaving /spinning /fiber assets of a member s estate as a complimentary service to the family. II. The Guild will provide ideas for possible avenues of dispersing the assets at no charge. III. The Guild will provide assistance in sorting, identifying, and valuing of the weaving/spinning/fiber assets of a member s estate as the family wishes. IV. If the member, family, or estate would like someone to handle the entire liquidation of the weaving/ spinning/fiber assets, the guild will provide names of individuals who may be willing to provide this service for a fee. This will be independently negotiated between the estate and the individual, not through the guild. Policy on Payment of Membership Dues I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that dues are due in June each year (currently, $25.00). II. Late dues will be accepted until September 15th. Members who have not paid their dues by that date will be dropped from the membership rolls, will stop receiving the monthly newsletter, will not receive an updated membership directory, will not be listed in the directory, and will be removed from the Yahoo Group called BoiseGuild. III. If a New Member pays for their dues in April or after, the dues will apply to the remainder of the current year and to the following year, as well. Dues paid late in the year, but before April, will apply only to the current year. Policy on Budget and Spending I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that the Treasurer and the Board will prepare a budget in March. The Budget will be voted on and approved by the guild membership in April. II. Any expenditures of more than $100.00, which are over and above the approved budget, shall be voted on by the guild membership. 2 Policy on Library Use and Late Fees I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that members only may check out items from the guild library. II. The check out period for borrowed materials is one month. For the months when there is no meeting scheduled at the Adelmann House, the items will be due at the next meeting held there. The main instance when this occurs is over the summer. Items checked out at the last meeting at the Adelmann House in the Spring will be due at the first meeting in the Fall. III. Members can extend the loan period by arrangement with the Librarian. This is the responsibility of the borrower. IV. Members are responsible for returning items in a timely manner to assure other members will have access to the items they wish borrow. V. All library items should be returned in good order. VI. If damage is assessed, the borrower is responsible for repair or replacement. Policy on Newsletter and Directory Advertisement Fees I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that advertisements may be placed in the Directory or the Newsletter. II. Directory - Fees for any business advertisements in the Directory will be $10.00 per space of 4 1/4 by 5 1/2 inches. III. Newsletter A. Guild members may place fiber related classified advertisements in the Newsletter free of charge. B. Non-Guild-member individuals may place fiber related classified advertisements in the Newsletter for the sale of personal equipment or supplies for $5.00 per month per ad. C. Advertisements for fiber related commercial business purposes in the Newsletter will be charged a fee of $10.00 per space of 4 1/4 by 5 1/2 inches per month. D. Fiber related commercial businesses may also wish to develop and print their own fliers that can be added to the collation of the Newsletter. The fee for the guild placing these in the Newsletter is $ The business should print enough so that one can be placed in each newsletter for the hard copies being mailed. 3 Policy on Honorarium for Non-member Program Speakers I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that Guild members provide their expertise at no charge when presenting a program at the monthly meeting. II. Outside speakers (non-members) may be offered a small honorarium, up to $50.00 for their services, when they give a program at the guild meeting. Policy on Workshop Fees and Registration I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that participant workshop fees shall be determined based on the projected cost of conducting the workshop. II. Participants must be a member of the guild in order to be able to register for the workshop. See the Policy on Payment of Membership Dues, item III. III. Registration for a workshop consists of paying the entire fee for the workshop. IV. Refunds A. Prior to 6 weeks before a workshop is to be held, a full refund will be given to participants canceling their registration in the workshop. B. After 6 weeks before the workshop, a full refund will be given only if there is a participant to take the place of the participant in the workshop. See the policies below about waiting lists. C. The Board will make the decision as to whether refunds will be given, if it is requested by the participant due to significant extenuating circumstances. D. If a replacement is assigned for a person canceling their registration, a refund will be given by the Guild to the person canceling. The new participant will pay their own fee directly to the Guild. E. If the workshop is cancelled, due to lack of participation or other circumstances, full refunds will be made. Exceptions to this may occur, depending upon any obligations required by the teacher s contract. The final decisions related to this policy will be made by the Board. V. Waiting List A. If a waiting list is started for a workshop due to a tremendous response to the workshop, registration in the workshop will be allowed on a first-come first-served basis. B. If a participant needs to cancel their participation in the workshop, they will contact the Vice President in charge of the workshop. A replacement will be assigned by the Vice President. C. If a participant finds someone who would like to participate in the workshop and may be a potential replacement for their spot in the workshop, they will first contact the Vice President in charge. Again, the Vice President will assign the replacements, according to the waiting list. VI. Guests or children may visit workshops during meal breaks. It is most fair to the paying participants, and to the teacher hired by the Guild, to be able to have a quiet and focused environment without distraction. 4 Policy on the Annual Yarn and Equipment Sale I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. to hold an annual Yarn and Equipment Sale at the May meeting, for the purpose of selling personal fiber or equipment items. II. Members pay the guild 10% of the total amount they receive from the sale of their items. III. Non-members or commercial vendors may also bring items for sale at the meeting. They are responsible to pay the guild 20% of the total they receive from the sale of items they offer. IV. The fee percentages are paid to the Treasurer on the day of the sale, and is done on the honor system. Policy and Instructions on the BoiseGuild Yahoo Group for Members I. A private Yahoo Group has been set up for members of the Guild. Each month notification that the newsletter has been posted to the website is sent to all members who have signed up to the Yahoo Group. It is a great tool in contacting everyone with important information if a meeting has been changed or for questions between meetings. Joining the Yahoo group is simple. A. Create a Yahoo identity if you do not already have one. Yahoo Registration B. Contact Irene Chandler at gcgreenbean@cableone.net and ask for an Invitation to the Yahoo Group. The BoiseGuild Yahoo Group is set to private so only members who have received an invitation may join. All postings to the BoiseGuild Yahoo group are private and are not accessible to internet searches. C. Follow the instructions you receive with the Invitation to the Group and you will be all set. Be sure to bookmark the Yahoo group once you join, it does not come up in searches since it is private. II. The BoiseGuild Yahoo group is the master list of addresses for Guild members. If you need to contact someone, you can find their address from the list of members to the group. Private e- mails can be sent as well as a general post that all members of the group will receive. III. To send a private , you can click on the person's address from the Members page inside the BoiseGuild Group webpage. Or you can copy the desired and paste it into your usual e- mail program. IV. To send an to everyone in the Group, you can click on the "Post" link under Messages from the Group webpage or you can copy and paste the group address BoiseGuild@yahoogroups.com into your usual program. Everyone will receive the message you send. If you click reply to a Group message, everyone will see your reply. So be sure to double check the address attached to your message if you wish to send a private message. V. If you are not getting notices about the newsletter of if you are having trouble with the Yahoo Group, contact the Membership Officer. 5 Policy on Equipment Rental and Late Fees I. It is the policy of the Handweaver s Guild of Boise Valley, Inc. that members may rent equipment held by the Guild. II. For reference: Equipment Rental Fees A. Drum Carder - $5.00 per month. B. Schacht Hand Cards - $5.00 per month. C. Dorothy Table Loom - $10.00 per month -- both 4 and 8 harness looms are available. D. Minerva 4 harness Floor Loom - $20.00 per month. E. Wool Combs - $5.00 per month. F. Bead Loom - $5.00 per month. G. Display Unit - $10.00 per week. H. Mannequin - $5.00 per week. I. Inkle loom - $5.00 per month. J. Warping Board - $5.00 per month. III. The equipment will be stored in a safe place. IV. Transportation of the equipment to and from the storage location is the responsibility of the renter. V. If no one else has reserved the equipment, members can extend the rental period by arrangement through the Equipment Custodian, and by paying another rental fee on a per month basis. VI. Equipment care is the responsibility of the renter. If damage is assessed, the renter is responsible for repair or replacement. VII. Members who return equipment late will be responsible for paying the regular rental fees that are due for the entire time the equipment is in their possession. VIII.Check-out Procedure A. Check availability of equipment with the Equipment Custodian. B. Reserve equipment. C. Make arrangements for pick-up of the equipment with the Equipment Custodian. D. Sign the short rental agreement. E. Pay the rental fee to the Equipment Custodian. F. Pick up equipment from the storage location. IX. Check in Procedure A. Make arrangements for drop-off of the equipment with the Equipment Custodian. B. Equipment will be returned to the storage location. C.
