Definitions In the following terms and conditions, the term Exhibitor describes any organisation or person who has made an application and has been allocated space at the exhibition. The term Organiser refers to Pavilion Publishing and Media Ltd. The term exhibition refers to Learning Disability Today Sheffield Stand bookings Intending exhibitors must confirm their booking in writing, using the booking form. No application will be considered valid until a signed form is received. Exhibitors will be invoiced for the full cost of the stand and any additional marketing opportunities taken up. Invoices should be paid within 30 days. No stand may be sub-let to a third party without written consent of the organisers. 3. Amendment of site plan Whilst every endeavour is made to preserve the published layout of the exhibition, should it be necessary to revise the layout for any purpose, the organiser reserves the right to transfer an exhibitor to an alternative suitable site. 4. Postponement or abandonment The exhibitor will have no claim against the organiser or their contractors with respect to any loss or damage consequent on the prevention or abandonment of the exhibition or the exhibition building becoming wholly or partially unavailable for the holding of the exhibition for reasons beyond the control of the organisers or their contractors. 5. Cancellation a. An exhibitor cancelling, reducing or withdrawing their application for a stand or additional marketing opportunities that have been allocated by the organiser will still be liable for payment of the full charge of the original booking. b. If, however the exhibitor notifies the organisers in writing of their intention to cancel, reduce or withdraw their application for a stand or additional marketing opportunities before 16 March 2015 the exhibitor will only be charged 25% of the original booking. 6. Health and safety at work regulations a. It is the responsibility of the exhibitor to ensure that their contractor, employees, displays and exhibits comply with the latest legislation regarding the Health and Safety at Work regulations. b. The exhibitor, on booking a stand, certifies that all materials brought on site for use in construction or for display purposes are either non-flammable or meet British Class 1 standards of flammability. c. It is the responsibility of the exhibitor to insure the contents of their stand. 7. Bar code scanners a. The stand representative can collect the scanner(s) from the visitor registration area during the afternoon of the build day. Any scanners not returned within half an hour of the show closing will be considered lost and a charge of 300 will be made for any scanner not returned, or returned in a damaged condition. b. Pavilion ( the organiser ) cannot be held responsible for data loss in the unlikely event of hardware failure. c. Pavilion ( the organiser ) can only supply as much information as is supplied by the visitor on their registration card. We cannot guarantee that visitors will supply full and accurate data. d. In the event that complete data is unavailable at the close of show, data will be forwarded as soon as they are complete. 8. Photography Please be aware that a photographer may be present and that images may be used in a professional context. 9. Removal of exhibits No exhibit can be dismantled, packed away or removed until the event has terminated. If the Exhibitor is in breach of this provision he shall pay, in addition to all sums otherwise due under this agreement, an amount equal to 25% of the total stand cost + VAT. The exhibitor must ensure that all exhibits are removed from the premises by 9pm on 30 April Failure to do so may render him liable for all costs incurred in storing or handling the said exhibits together with additional rental costs imposed by the venue and/or their contractors.
